EU sales list (form)

Click Organization administration > Periodic > Foreign trade > EU sales list.

Use this form to report on European Union (EU) sales to your tax authority for value added tax (VAT) declaration purposes. The information is retrieved from updated sales and project invoices. If it has to be, this information can be corrected before reporting.

You can also create transactions in the form manually.

Prerequisites for transferring transactions to this form

Item

Description

Country/region codes

In the Address setup form, set up country/region information for the relevant countries/regions.

Customers

In the Customers form, on the Invoice and delivery FastTab, enter a value in the Tax exempt number field. On the Addresses FastTab, add or select an address.

Parameters

In the Foreign trade parameters form, set up a number sequence for the EU sales list. In the EU sales list area, select the Report cash discount check box to report the cash discount.

Sales tax codes

In the Sales tax codes form, on the Report setup FastTab, clear the Excluded check box to include the sales tax code amounts in the value columns on the EU sales list.

Item sales tax groups

In the Item sales tax groups form, select a reporting type. The reporting type determines where the transaction line amount is included on the EU sales list: Items value, Services value, Investment value, or Not assigned value.

If the setup is correct and you create a free text invoice, customer invoice, or project invoice, the List code field in the EU sales list form will be set to EU trade, if your legal entity and the customer organization are in different countries/regions. For example, if your legal entity is in Denmark (country/region type of Domestic), and the customer organization is in the Netherlands (country/region type of EU), the List code field will be set to EU trade. The country/region type is specified for each country/region in the Foreign trade parameters form. If you deliver to a customer in the Netherlands but receive the payment from the customer organization in Belgium, the List code field will be set to Triangular/EU trade. You can change the list code manually before you update an invoice.

Task that uses this form

Generate the EU sales list

In the Selection list, you can select one of the following levels to determine which information is displayed in the form:

  • Included – This is the default level when you open the form. The form displays the transferred transactions that will be included on the next report. You can change the information before reporting, except for the Dispatch and Number fields. You can also mark the transactions as having been reported.

  • Reported – The form displays transactions that were reported previously. The information can still be changed and marked as included. It can then be included on the next report as a correction if you select the Corrected check box on the Correction tab. You can also mark the transactions as closed.

  • Closed – The form displays transactions that were marked as closed. You cannot change the information in the form. To change the transaction, you must transfer the transaction to the first level as a new transaction that will be reported next time. You can also delete transactions from this level.

Delete

Delete the selected transactions. If you accept the query default, all transactions in the form are deleted.

Transfer

Open the Transfer transactions for EU sales list form, in which you can transfer transactions from customer invoices and project invoices to the form for reporting.

Validate

Open a form in which you can specify the data from the EU sales list form that should be validated. The result is shown in the Infolog.

Error text

Display the errors for the line. The error icon is shown in the rightmost field on the line.

Totals

Open the Totals form, in which you can view the invoice totals for the line.

Reporting

Open a form in which you can generate a file or report that you can submit to the tax authority.

Mark

Open a menu that contains the following items:

  • Mark as included – Mark reported and closed transactions as included. You might do this if you want to make a correction to transaction that was already reported. If you accept the query default, all reported and closed transactions are marked as included. You can set up criteria for any field in the query.

  • Mark as reported – Mark the selected transactions as reported.

  • Mark as closed – Mark the selected transactions as closed.

Dispatch

The automatically allocated dispatch number.

Number

The automatically allocated sequence number for the item transaction in the dispatch.

Account number

The customer account number from the sales order that is relevant to the EU sale.

Country/region

The identifier of the country/region for the customer or vendor.

Tax exempt number

A European tax identification number that only EU companies have, and that they must provide to avoid added taxation. This is the tax exempt number from the Sales order form.

Invoice date

The invoice date. A change in the date to another quarter or year is automatically reflected in the Quarter and Years fields.

Invoice

The identifier of the current invoice that was received by the customer.

Items value

The invoice amount for items, recalculated in the accounting currency. This column includes line amounts for products that have a product type of Item. It also includes line amounts for lines that are identified by descriptions and categories, and that use an item sales tax group that has a reporting type of Item.

Services value

The invoice amount for services, recalculated in the accounting currency. This column includes line amounts for products that have a product type of Service. It also includes line amounts for lines that are identified by descriptions and categories, and that use an item sales tax group that has a reporting type of Service.

Investment value

The invoice amount for investments, recalculated in the accounting currency. This column includes line amounts for lines that use an item sales tax group that has a reporting type of Investment.

Not assigned value

The invoice amount that is not assigned to items, services, or investments, recalculated in the accounting currency. This column includes line amounts for lines that use an item sales tax group that has a blank reporting type.

List code

The list code for the current invoice. This is required for reporting, and offers the options:

  • Not included

  • EU trade

  • Production on toll

  • Triangular/EU trade

  • Triangular/Prod. on toll

Quarter

The quarter that is used when filling in official reports.

Years

The calendar year.

Validated

If a check box is displayed in the column that does not contain a column heading, the selected line has been verified by using the form that opens when you click the Validate button.

Corrected

Select this check box if manual changes have been made to the information on the current invoice and you want these reported as corrections.

Declaration type

Select whether the EU sales list is for a month or a quarter.
