Grant details (form)

Click Project management and accounting > Common > Grants > Grants. Select a grant, and then, on the Action Pane, on the Grant tab, in the Maintain group, click Edit.

Use the Grant details form to create new grants or maintain the details for existing grants. Grant details include project statements, dates and deadlines, information about the organization that provided the grant and the staff members who manage it, and other information.

Create or modify a grant

The following tables provide descriptions for the controls in this form.

Modify details about the grant and set up new grants. You can also update project transactions such as invoices and vouchers for the grant, view an audit trail of historical transactions, and export grant details to a Microsoft Excel workbook.

View project statements and other financial information that are related to a grant.

General

Enter or modify the basic details about the grant, such as name, alphanumeric identifier, type, status, amount, and purpose.

Contact information

Enter or modify contact information for the organization that provided the grant and for staff members from your own organization who manage the grant and oversee how grant funds are spent.

Dates and deadlines

Enter or modify dates for when the grant was awarded, approved or rejected, and started. You can also enter or modify deadlines for when the grant expires and when it must be renewed.

Associated projects and project contracts

Enter or modify information about projects that are associated with this grant, including funding sources, projects, and project contracts.

Setup

Enter or modify details about matching funds and other information that is required by the grant provider or a governmental organization.

Drawdown details

Add or remove drawdown details for the grant. Drawdown details specify how often grant funds can be withdrawn or billed for.

Edit

Modify information for this grant.

If Edit Record is selected on the View menu (File > View > Edit Record), you can make changes in the form without clicking Edit.

Delete

Delete this grant.

Note

You cannot delete a grant if it has a status of Awarded or if the grant is associated with any of the following:

  • Another grant as a parent record

  • A project contract

  • A funding source

  • Financial transactions such as invoices and purchase orders

Grant

Create a new grant.

Copy from grant

Create a new grant by copying this grant. When you do this, enter a grant identifier and name for the new grant.

Transactions

Open the Grant transactions list page, where you can update project transactions such as invoices and vouchers for this grant. This page shows a filtered view of the Posted project transactions list page, and displays only project transactions for this grant. For more information, see View project transactions.

Attachments

Open the Document handling form, where you can view documents that are attached to a grant, and create or attach new documents. For more information, see Document handling (form).

Project statements

View project details of transactions, activities, and requirements that are related to this grant. This button is available only when the Grant status is something other than Entered or Submitted. For more information, see Project statements (form).

Invoice control

View details about amounts that have been invoiced or remain to be invoiced for this grant. For more information, see Invoice control (form).

Cost control

Calculate and analyze the costs of a project or set of projects that are related to this grant. For more information, see Cost control (form).

Hour utilization

Calculate the percentage of how the hours for customers and projects for this grant are used. This includes the billable rate and the efficiency rate. For more information, see Utilization hours (form).

Cash flow

Show the cash flow of income and expenses for this grant. For more information, see Cash flow (form).

Add funding source

Open the Funding source definition form, where you can add a new funding source to match those provided in the grant. For more information, see Funding source definition (form).

Add project contract

Open the Project contracts list page, where you can open an existing project contract or add a new project contract. For more information, see Project contracts (form).

Add project

Open the Project form, where you can open an existing project or add a new project. For more information, see Projects (form).

Description

Grant ID

View the alphanumeric identifier for the grant. You can enter this manually, or the number will be automatically generated from the number sequence if you have selected this option in the Project management and accounting parameters form.

Grant application ID

Enter a temporary alphanumeric identifier for the grant application.

Grant name

Enter the name of the grant.

Grant type

Select the type of grant, such as state, federal, or other special categories for programs or projects that fit the needs of your organization. The information in this field also makes it easier to find a grant in the system. When you search for a grant, you can filter the search to return grants of a specific type only.

You can create grant customer types in the Grant types form. For more information, see Grant types (form).

Grant status

Select the status of the grant, such as entered, submitted, or approved.

Requested amount

Enter the amount that was requested for the grant.

Awarded amount

Enter the amount that was awarded for the grant.

Parent grant

Select the parent grant if one exists. Parent grants must have a status of Active or Awarded and cannot be a grant that is waiting to be approved.

Description

Enter a description of the grant.

Purpose

Enter the primary purpose for the grant.

Grant customer

Select the identifier and name of the grant customer who is associated with the grant. The grant customer is the organization that provides the grant. You can set up grant customers in the Customers form. For more information, see Customers (form).

Grant customer type

Select the type of organization that provides the grant. Grants can be awarded by governments and many types of private organizations. You can create grant customer types in the Grant customer types form. For more information, see Grant customer types (form).

Pass-through

Select this check box if the grant customer transfers the grant funds to other recipients.

Organization number

Select a unique alphanumeric identifier for your organization. These identifiers are set up in the Address book form. For more information, see Party (form).

Contact

Select the worker who is associated with the grant. Names are set up in the Worker form. For more information, see Worker (form).

Grant manager

Select the person who is responsible for managing the grant. Names are set up in the Worker form. For more information, see Worker (form).

Application due date

Enter the date on which the grant application is due.

Application submitted date

Enter the date on which the grant application was submitted.

Estimated award date

Enter the approximate date on which the grant will be awarded.

Actual awarded date

Enter the date on which the grant was awarded.

Board approval date

Enter the date on which the board approved the grant.

Actual start date

Enter the date on which the work that is funded by the grant started.

Actual expiration date

Enter the date on which the grant expires.

Renewal action date

Enter the date on which the grant must be renewed.

Rejection notification date

If the grant application was rejected, enter the date on which notification was received.

Project

The identifier of the project that is associated with the grant. This identifier is entered in the Projects form. For more information, see Projects (form).

Project name

The name of the project that is associated with the grant. The project name is entered in the Projects form. For more information, see Projects (form).

Project contract

The project identification number that is associated with the project contract and funding sources. This is entered in the Project contract details form. For more information, see Project contracts (form).

Contract name

The name of the project contract that is associated with the grant. This name is entered in the Project contract details form. For more information, see Project contracts (form).

Funding source name

The name of the funding source that is defined on the project contract and associated with the grant. This is entered in the Funding source definition form. For more information, see Funding source definition (form).

Matching type

Select the type of matching funds, if matching funds are required for the grant. Matching funds are the money or resources that many grant recipients are required to spend to match the amount that is awarded in a grant. You can set up these types in the Matching types form. For more information, see Matching types (form).

Description

The description of the matching type that is set up in the Matching types form.

Matching percentage

Enter the percentage of the grant amount that must be matched, if matching funds are required.

Matching amount

Enter the amount of matching funds that the recipient must provide, if matching funds are required for the grant.

Comments (Setup tab)

Enter comments about the matching funds, if they are required for the grant.

Local project or tracking ID

Enter a local project tracking identifier that is different from the project identifier.

Catalog of Federal Domestic Assistance (CFDA)

Enter the Catalog of Federal Domestic Assistance (CFDA) number that is associated with the grant.

Note

This field is available only if the primary address of your organization is in the United States.

State mandate

Select this check box if the grant is part of a state mandate.

Federal mandate

Select this check box if the grant is part of a federal mandate.

Note

This field is available only if the primary address of your organization is in the United States.

Subgrantor

Select this check box if part of the grant will be awarded to a different organization.

Drawdown frequency

Select the frequency at which grant funds may be withdrawn or billed for. For example, daily, weekly, or monthly.

Comments (Drawdown details tab)

Enter comments about the drawdown frequency for this grant.
