Prospects (form)

Applies To: Microsoft Dynamics AX 2012 R3, Microsoft Dynamics AX 2012 R2, Microsoft Dynamics AX 2012 Feature Pack, Microsoft Dynamics AX 2012

Click Sales and marketing > Common > Prospects > All prospects. On the All prospects list page, open or create a prospect.

Use this form to store information about prospective customers and vendors.

The following tables provide descriptions for the controls in this form.

Tabs (Action Pane)

Tab

Description

Prospect

Create, change, or delete a prospect. View contact information, or attach a document to the prospect record.

Sell

Create a new lead, opportunity, or quotation from the selected prospect. Or, view the lead records, opportunity records, or quotation records that are associated with the selected prospect.

Market

View the campaigns, call lists, or mailings that include the selected prospect.

General

Create a case, or view related information and activities for the selected prospect.

General

View or modify information about the prospect’s account and organization.

Addresses

View or add address information for the selected prospect.

Contact information

View or add contact information for the selected prospect.

Miscellaneous details

View or modify information about the prospect's status, industry, and business hours.

Sales demographics

View or select sales information for the selected prospect, such as the line of business and currency.

Credit and tax

Enter or update information about credits and taxes for the selected prospect.

Delivery defaults

Select default information about deliveries that are made to the selected prospect.

Financial dimensions

View information about financial dimensions, such as the default dimensions and where the dimensions are used in account structures and advanced rule structures.

Administration

View information about when the selected prospect was created and modified, and who created and modified the prospect.

Create a new record for a prospect.

Contacts

View the contacts for the selected prospect, add contacts to the selected prospect, or add the prospect to your contact list in Microsoft Outlook.

Financials

View or enter financial information for the selected prospect.

Item statistics

Generate a graph that displays financial information or transaction information for the selected prospect.

Attachments

View the documents that are attached to the selected prospect record, or attach documents to the prospect record.

Opportunity

Create an opportunity record for the selected prospect.

Leads

Create a lead record for the selected prospect.

Sales quotation

Create a sales quotation for the selected prospect.

Project quotation

Create a project quotation for the selected prospect.

Leads

View the lead records that are associated with the selected prospect.

Opportunities

View the opportunity records that are associated with the selected prospect.

Quotations

View the sales quotations and project quotations that are associated with the selected prospect.

Campaigns

View the campaigns that include the selected prospect.

Calls

View a record of the telephone calls that have been made from your organization to the prospect.

View the call lists that include the selected prospect.

Create a case for the selected prospect.

Create or change a business classification for the selected prospect.

Add or assign a worker who is responsible for the selected prospect.

Check for duplicates

Check for duplicate prospect records.

Convert to customer

Convert the selected prospect to a customer.

Convert to vendor

Convert the selected prospect to a vendor.

Cases

View the cases that have been created for the selected prospect.

Customer

View the customer records that are associated with the selected prospect.

Vendor

View the vendor records that are associated with the selected prospect.

Transaction log

View a list of transactions for the selected prospect.

Change name

Change the name of the party.

Note

This control is not available if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

Change party association

Change the party record association of the selected record.

More options 
(On the Address FastTab)

Select the action to perform for an address record.

In Microsoft Dynamics AX 2012 R2, select from the following options:

  • Remove – Mark the selected address record as inactive.

    You can delete all inactivated addresses by running a batch job in the Delete inactivated addresses form.

  • Set defaults – Select the default address.

  • Advanced – Open the Manage addresses form.

In Microsoft Dynamics AX 2012, select from the following options:

  • Remove – Delete the selected address record from the list.

  • Deactivate – Set the status of the selected address record to inactive. The address record is not deleted.

  • Advanced – Open the Manage addresses form.

More options 
(On the Contact information FastTab)

Select the action to perform for a contact information record.

In Microsoft Dynamics AX 2012 R2, select from the following options:

  • Remove – Delete the selected contact information record.

  • Set defaults – Select the default contact information record.

  • Advanced – Open the Edit contact information form.

In Microsoft Dynamics AX 2012, select from the following options:

  • Remove – Delete the selected address record from the list.

  • Deactivate – Set the status of the selected address record to inactive. The address record is not deleted.

  • Advanced – Open the Edit contact information form.

Map

Open an online map for the selected address.

Fields

Field

Description

Account

The unique account number that is assigned to the selected prospect.

Record type

Select the record type that is used for the selected prospect.

Personal title

Select the personal title that is used by the prospect. This field is available only if the prospect record type is person.

Personal suffix

Select the personal suffix that is used by the prospect. This field is available only if the prospect record type is person.

Name

Enter or select the name of the prospect.

Search name

Enter a name that can be used to search for the prospect.

Professional title

Select the prospect’s professional title. This field is available only if the prospect record type is person.

Professional suffix

Select the prospect’s professional suffix. This field is available only if the prospect record type is person.

Type ID

Select the prospect type.

Display as

Select how you want the prospect’s name to be displayed. For example, the order of names can be last, first, and middle.

Number of employees

Enter the number of people who are employed by the organization. This field is available only if the prospect record type is organization.

Organization number

Enter the organization number that is assigned to the prospect. This field is available only if the prospect record type is organization.

ABC code

Select the ABC code. This field can be used to categorize parties. Your organization can determine the categories. This field is available only if the prospect record type is organization.

DUNS number

The Data Universal Numbering System (DUNS) number that is assigned to the organization. This number is unique to the organization. This field is available only if the prospect record type is organization.

Address books

Select the address books that you want the selected prospect record to be included in.

Known as

Enter the phonetic pronunciation of the prospect’s name.

Language

Select the prospect’s preferred language.

Name or description

  • Addresses tab – The name or description of the selected address record for the prospect.

  • Contact information tab – The name or description of the selected contact information record for the prospect.

Address

View the formatted information for the selected address. This is the address that will appear on a printed document. The original address record may contain information that is not included in this view, depending on the specific country/region format.

Purpose

View the purpose of the selected address. For example, the address may be used for deliveries only, or for deliveries and services.

Primary

View whether the address is primary. A primary address is the principal postal address for the selected party. A primary address can also be the default address for the party.

Type

The type of contact information, such as an e-mail address or telephone number.

Contact number/address

The contact number or address, such as the e-mail address, telephone number, or URL.

Primary

If this check box is selected, the contact information is primary. Primary contact information is the principal form of communication for the selected party. To select or clear this check box, click More options and then select Advanced.

One-time customer or vendor

Select this check box if the prospect will be a customer or vendor only one time with your organization.

Status

Select the status of the selected prospect.

Invoicing and delivery on hold

Select whether any invoices or deliveries have been put on hold for the prospect.

Customer group

Select the customer group that the prospect is assigned to, if the prospect is assigned to a customer group.

Vendor group

Select the vendor group that the prospect is assigned to, if the prospect is assigned to a vendor group.

Opening time

Select the time of day that the prospect opens for business.

Closing time

Select the time of day that the prospect closes for business.

Direct mail

Select this check box if the prospect can receive mail directly.

Employee responsible

Select the worker in your organization who is responsible for the prospect.

Line of business

Select the prospect's line of business.

Segment

Select the segment of business that the prospect belongs to.

Subsegment

Select the subsegment of the prospect's business.

Company chain

Select the company chain that the prospect belongs to.

Sales district

Select the sales district that the prospect is located in.

Currency

Select the currency code for the prospect. This code corresponds to the currency type that is used by the prospect.

Mandatory credit limit

Select this check box to display an error if the prospect’s credit limit is exceeded.

Credit rating

Enter the credit rating that is assigned to the prospect.

Credit limit

Enter the credit limit for the prospect.

Prices include sales tax

Select this check box if all prices that are offered to the prospect include sales tax.

Sales tax

Select the sales tax group that is assigned to the prospect.

UPS zone

Enter the prospect’s UPS zone.

Delivery terms

Select the terms of delivery for the prospect. For example, cash on delivery (COD) or vendor delivery.

Mode of delivery

Select the mode of delivery for the prospect. For example, ground or next-day air.

Destination code

Select the destination code for the prospect.

Receipt calendar

Select the type of calendar that is used for deliveries that are made to the prospect.

Last modified date

The date that the prospect record was last modified.

Modified by

The role of the worker who last modified the information about the selected prospect.

Imported

Select this check box if the information about the prospect was imported into Microsoft Dynamics AX.
