Configure quotas with a second-stage Recycle Bin

The ability to store items that have been deleted from the Recycle Bin is a new feature in Microsoft Office SharePoint Server 2007. The Recycle Bin now provides two stages of file retrieval:

  • The first stage occurs when an item is deleted; it is removed from its list or library and is stored in the Recycle Bin. On the Recycle Bin page, end users can restore or permanently delete any item. Restoring a file moves the item from the Recycle Bin to its original location, making sure that the file name does not conflict with existing files. In addition to the basic Recycle Bin functionality, the site collection administrator has the option of automatically and permanently deleting items that have been deleted for a specified period of time.

  • The second-stage Recycle Bin stores items that end users have deleted from their Recycle Bins, for easier restoration as necessary. This second stage adds to the space requirements, which can be increased by a specific percentage. When you enable the second-stage Recycle Bin for a Web application, you must designate how much disk space should be available to the second-stage Recycle Bin, as a percentage of the quota allotted to the site. For example, if you have allotted 100 megabytes (MB) of space for the site and a 50 percent quota for the second-stage Recycle Bin, then it allots 50 MB for the second-stage Recycle Bin and 150 MB for the entire site. You can also allot up to 100 percent for the second-stage Recycle Bin quota.

Management Notes

By default, the second-stage Recycle Bin stores items that are deleted from the Recycle Bin. The administrator of the site collection manages the second-stage Recycle Bin. If you turn off the second-stage Recycle Bin, files are permanently deleted when a user empties the first stage.

The Recycle Bin is security trimmed, which means that users can see their files only in the Recycle Bin. A site collection administrator can restore the items for the users from the second stage, from Site Actions > Site Settings > Site Collection Administration > Recycle Bin.

Design Notes

The second stage adds to the default site quota. So, if you have planned site quotas in such a way that the content databases will not exceed 100 GB, leaving the second stage to the default 50 percent could cause those content databases to grow to 150 GB. Therefore, if you turn off or trim the second-stage Recycle Bin quota, all or some of the contents in the second-stage Recycle Bin are permanently deleted and cannot be recovered.

You must be a member of the Farm Administrators group to complete this procedure.

Use this procedure to configure the quota for the second-stage Recycle Bin.

  1. On the home page of the SharePoint Central Administration Web site, click Application Management.

  2. In the SharePoint Web Application Management section, click Web application general setting.

  3. In the Recycle Bin section, click Second stage Recycle Bin.

  4. Specify the numeric value, as a percentage, in Add ____ percent of live site quota for second stage deleted items.

  5. Click OK to return to the Application Management page.
