Receive Change Notification for a Single File in a Document Library

The Subscriptions feature is available in all lists that are based upon SharePoint Team Services from Microsoft. After you subscribe, you receive e-mail notification when there is a change to the list, such as when someone responds to a survey or adds a file to a document library. For information on using the Subscriptions feature, refer to SharePoint Team Services Help.

To receive notification when only a particular file in a document library has changed, use Web Discussions. This feature lets you subscribe to individual documents, so you will know when someone has modified the file or added a comment to it.

To subscribe to a file using Web Discussions, do the following:

  1. Navigate to the file that you would like to subscribe to in your Web browser.

  2. On the Standard Buttons toolbar at the top of your browser, click Discuss subsin01.

  3. On the Web Discussions toolbar, click Subscribe.

  4. If you are prompted to select a discussion server, complete steps 1 through 3 below, otherwise, continue to step 5.

    1. In the Type the name of the discussion server your administrator has provided box, type the name of a discussion server. Consult your server administrator for the URL of the Web server that is hosting discussions for this document.

    2. If your system administrator has set up security by using the Secure Sockets Layer (SSL) message protocol, select the Secure connection required (SSL) check box.

    3. In the You can type any name you want to use as a friendly name for the discussion server box, type a friendly name you want to use for the server; for example, My Server.

  5. Click File to specify that you want to subscribe to the current page and not the entire document library.

  6. In the When box, select the conditions under which you want to be notified of changes made.

  7. In the Address box, type your e-mail address.

  8. In the Time box, select how often you want to be notified of changes.

Note: If you receive an error message while trying specify your subscriptions settings, make sure that subscriptions are enabled for your SharePoint team Web site. See your server administrator for more information.
