Windows Search 4.0 Troubleshooting Guide

The Troubleshooting Guide describes troubleshooting tips and lists current known issues with Windows® Search 4.0 and differences from previous versions that might cause support issues. This guide is intended for IT professionals.

Finding Items I Know Exist

The following are troubleshooting tips to help you find items that Windows Search seems to miss.

When I search in a specific folder, nothing is found.

For files to be indexed, the folder containing the files must have SYSTEM permissions. These may have been removed.

To troubleshoot this, do the following:

  1. Right-click the folder which is not returning results.

  2. Select the Properties option.

  3. Click the Security tab.

  4. If SYSTEM appears in the Group or user names box, system permissions is not the problem.

  5. If SYSTEM does not appear in the Group or user names box, click the Edit… button to open the Permissions dialog.

  6. In the Permissions dialog, click the Add… button.

  7. In the Select Users, Computers, Service Accounts, or Groups dialog, enter system in the Enter the object names to select box and click the Check Names button.

  8. Select SYSTEM from the list of Matching names and click OK.

When I search on a tag, nothing is found.

The property handlers for Windows XP, Windows server 2003, and Windows Home Server do not emit tag values, and therefore the tag values are not indexed. The tags are indexed on Windows Vista.

No workaround available.

Querying Remotely

The following are troubleshooting tips to help you query a remote machine.

When I query a remote machine, nothing is found.

Remote queries fail when the machine name is longer than 15 bytes. This is a known issue, and the only workaround is to give the remote machine a shorter name.

When I query a remote machine as admin, nothing is found.

In order to query a remote machine, the folder you want to search must be shared even if you access it as admin. Sharing is a prerequisite for querying. First, share the folder to yourself, and then you can query it remotely.

Searching E-mail

This section suggests ways to resolve problems related to searching e-mail.

Outlook items are duplicated in the search results.

Outlook 2003 If you switch from cached mode to classic-online mode and also enable the Enable Indexing uncached Exchange Folders Group Policy, Windows Search might show duplicate search results for each MAPI item: one result is from the cached store (classic-offline), and the other is from the online store. Once the classic-offline items are already indexed, they are not deleted from the index when you switch modes.

To resolve this, rebuild the index.

Outlook 2007 When users run in classic online mode and also have corresponding classic offline OSTs, they might see duplicate search results for each MAPI item. One result is from the online store, and the other result is from the cached store (classic-offline). This functionality supports the search experience when Outlook is offline.

If you don’t want the classic offline items to be indexed in Outlook 2007 or higher, you can start Outlook in offline mode, and then open the Indexing Options Control Panel and clear the checkbox for the offline Outlook store. This prevents the offline items from being indexed.

I cannot find items in Outlook after changing operating system language.

If you have changed the operating system language using an operating system MUI pack, you may need to restart to get your e-mail indexed.

Slow or CPU-Intensive Performance

This section describes ways to resolve performance-related issues.

SVCHOST consumes up to 100% CPU when Outlook is in Classic Online mode.

This happens when firewall software or similar application which monitors outgoing connections prevents SearchProtocolHost.exe from accessing the Exchange server.

To resolve the issue, add SearchProtocolHost.exe to the list of exceptions for your firewall. If your firewall application is managed using Group Policy, ensure that the appropriate polices are in place to allow SearchProtocolHost.exe to communicate through the firewall.

Setting Group Policy

This section suggests ways to resolve problems with Windows Search and Group Policy.

I can’t prevent the indexing of Outlook Express.

If you look in the Indexing Options Control Panel and Outlook Express is a selectable option, then the Group Policy is not correctly applied.

Add the following path to the “Prevent Indexing Certain Paths” policy:

outlookexpress://{*}/*

How can I tell if I’ve enabled/disabled the indexing of mapped network drives?

You can tell if you’ve correctly enabled or disabled indexing in the Indexing Options Control Panel. Open the Indexing Options Control Panel. If the mapped drive is selected (and you are trying to enable indexing) or grayed out (and you are trying to disable indexing), the appropriate policy has been selected.

If indexing doesn’t seem to be working correctly, be sure the correct syntax is used for inputting a mapped network drive:

otfs://{*}/<drive letter>/*

An example using the P drive is the following:

otfs://{*}/p/*

Indexing with EFS Encryption

The following are troubleshooting tips to help you index encrypted files.

I cannot access an encrypted file.

Due to a limitation on the number of handles that can be open per thread, EFS-encrypted files are available to only sixty-three (63) logged on users at one time.

I cannot reliably search the contents of EFS-encrypted files using smartcards.

To use smartcard encryption, you must select this caching setting in the secpol.msc: Create caching-capable user key from smartcard. Windows Search does not support a multiuser scenario with smartcard EFS-encryption and uncached keys.

My EFS-encrypted documents are not getting indexed.

I cannot find EFS-encrypted files when I search, even though the ‘Allow Indexing of Encrypted Files’ Group Policy has been activated.

To resolve this, you must rebuild the index after the Group Policy is applied.

Windows Search doesn't find the encrypted files that I expect. I am not using Windows Vista.

When you are given permission to decrypt an encrypted file, Windows Vista automatically notifies WS4 to update your index. This notification, however, doesn’t happen on older operating systems.

To solve this problem, you or another user needs to open and save the file in order to notify WS4 to re-index the file so it will appear in your search results.

i've been using windows search 4.0 on my c drive for about a month with no problems. two weeks ago i added my d drive to the indexing and everything was fine until yesterday. when i booted up, windows stared a chkdsk and locked up in the middle of the chkdsk. i noticed chkdsk deleted corrupt attribute records that appeared to be indexing file reocrds. i had to reboot and skip the chkdsk in order to start windows (xp with sp3). i've lost the d:\program files directory and various other folders on the d drive most of which i can recover. however, i cannot get chkdsk to complete and I'm afraid of what else will be deleted if i am able to complete a chkidsk. any suggestions???

After deinstalltion of WS 4.0 with the user account "1" the user account "2" does not work anymore. After a reinstall with the user account "1" the user account "2" works again. After deinstalltion with user account "2" the user account "1" does not work anymore. any ideas how to fix this problem? at the moment WS 4.0 is installed and all account are working, but i want to deinstall it because the tool takes to much resources on windows startup.

by the way i`m using a windows xp home sp3 with local user accounts.

XP64 Windows Search 4 Bug or Buggered?      A John W Harrison   |   Edit   |   Show History

I am an XP 64 user and have installed Windows Search 4 several times now and I just cannot get it to index emails within an dbx file. Is there some secret setting or is everybody else having the same problem? Either way it is driving me insane because I have a huge email database and must be able to search it.

Can anybody out there either put me straight or recognise the issue and let me know when it will be fixed?

This may not be a problem with Windows Desktop Search itself, but it is interfering with my ability to use it. Installation went fine, and I am able to search in Outlook. My indexing is complete on the desktop. As I type text into the desktop search box in the system tray, you can see the choices narrowing down as they should. Problem is when I hit the search button (or when I press the green "Search Desktop" button in the "Windows Search Results" box): I get the "Open With" dialog. It says the following:

Choose the program you want to use to open this file:

File: - Windows Search

The "Always use..." box is not enabled and I can find no program that makes sense. (Even if I could, I can't make it always be chosen.)

I suspect this is not really a WDS problem alone because I keep runnning into the "Open With" dialog in disturbing places, for example on mapped network drives. Any help would be appreciated.

I work in an "enterprise" setting and received a replacement computer a few weeks ago. It came preloaded with Windows XP SP2 and the Windows Desktop Search is installed (at least to some degree, I haven't determined how completely at this point.)

Under Windows Explorer, any time that I double-click on a folder in the right pane, Windows Desktop Search automatically opens instead of "Explore" and the right-click menu for folders does, in fact, display Windows Desktop Search as the first choice ("Search...")

How do I get "Explore" back as the default selection for folder double-click action rather than Windows Desktop Search?

At this point, I can't find any service going that should support Windows Desktop Search even if I did want to use it.

When I do double-click a folder, the Windows Search Results window launches with the advisement "Windows Search isn't running..." When I go to the Start => All Programs => Windows Search selection, it just launches another Windows Search Results window to tell me yet again that Windows Search isn't running.

If I check properties on the WindowsSearch.exe file under \Program Files, the version is reported as: 7.0.6001.16503.

Any advice is appreciated.

Hi - This came from a MS rep and works:

Open RegEdit (Start > Run > regedit).
Find the following : HKEY_CURRENT_USER\Software\Microsoft\Windows Desktop Search\DS
Double-click on ‘ShowStartSearchBand’ and set the value to ‘0′. Close that and you’re done, the next time you click ‘Search’ in explorer, the old, reliable search companion will appear.

Hi,

i've encountered the problem that the windows search doesn't find any items.
The problem was that the registry key HKEY_CLASSES_ROOT (after a new XP Prof SP3 Slipstream installation) and its subkeys hadn't the right sec ACLs. It's important that SYSTEM has full access and that Users have the right to at least read the keys.

This resolved also other problems concerning the file ext., SQL native driver etc.

Now, dont know if it related to this but, sometimes, people work on a network document (other people indexing the network drive in same time) and the document who is already open pass in read only mode.

I use Windows XP and installed Outlook 2007 a few months ago. I found the Instant Search capability very useful and had no problems using it. I use MicroSoft Update and am kept bang up-to-date. One week ago I decided to upgrade to IE8. After this was installed Instant Search stopped working. I have spent nearly a week looking for a solution. I even downloaded a Trial version of Office 2007 in the hope this would provide a fix. It hasn't. When I attempt to re-install 4.0 I now get a message that says ""Cannot continue - could not initialise the log file."" I have got a copy of a previously unsuccessful installation logfile - kb940157.log. Not being very technical I do not know how to interpret this log file. The original error message was "Cannot install 4.0 on this machine" I have found this forum after five days of surfing the various Microsoft Support sites. All the other Communities have so far failed to come up with a solution that works for my stand-alone PC. Can someone here please help me. Steve - mymobile566@hotmail.com

After new security restrictions were put in place, running Windows Search caused the following issues:
* Slowdown of other work on the PC
* Creation of temporary indexing files and directories on C: root
A number of efforts to fix the issue failed, including reducing the types of files being indexed, setting priority to "idle" for searchindexer.exe and other search processes.
The resolution of the issue was to use Windows Control Panel applet Services to set the login for the Windows Search Service to a specific account, rather than use the default login as System.

Hi,
For testing purpose i tried applying the some the GPO setting mentioned in the article . It is working fine with windows XP but i dont see the changes reflected in RSOP on windows vista PC.

There are seven polices to be enabled as recommened in the site . all seem to be reflecting in Windows XP pc but in Windows vista am able to see only one GPO setting getting reflected. Is this is a normal? Please help

I want to link the Microsoft Desktop Search 3.0 to pass on the search query to our intranet (Sharepoint 3.0, WSS)

What I did:
I added in the group policy the PrimaryIntranetSearchScopeUrl like: WSS,http://intranet/_layouts/1033/searchresults.aspx?q=$w

My way to search:
Then I add to the 'Microsoft Desktop Search' deskbar: 'WSS WordsIWantToSearch' or 'WordsIWantToSearch'... but don't find anything, nor a browser with the sharepoint pages is getting opened.

Question:
Do I have to add more group policies to get this working? What do I do wrong?

Randomly Adding Folders      Emmanuel_1983   |   Edit   |   Show History
I`m having problems with Windows search, it is adding folders to my settings for no apperant reason.
For example, i add only one folder to the options/modify. And that is the only folder there.
After a couple of days it adds more folders which i dont want to happen.
How can i prevent windows search from adding random folders by itself.
The computers are on a network but have a local C drive search folder.
