Microsoft Online Services offers services for deskless workers. Deskless workers are people who spend most of their time away from a computer or do not dedicate the majority of their time to a single computer. Subscriptions to these services offer value and flexibility for companies with deskless workers.
Subscriptions to the deskless worker services include the following. Your company purchases subscriptions in the Microsoft Online Services Customer Portal.
-
Business Productivity Online Deskless Worker Suite (Exchange Online Deskless Worker plus SharePoint Online Deskless Worker)
-
Microsoft Exchange Online Deskless Worker

Microsoft SharePoint Online Deskless Worker
Business Productivity Online Deskless Worker Suite
The Business Productivity Online Deskless Worker Suite is made up of the Exchange Online Deskless Worker service and the SharePoint Online Deskless Worker service. These services give your company the flexibility to choose a scenario that meets the needs of your workers and their workstations. The basic configurations are:
-
Dedicated: One computer, one Microsoft Windows account, one user
-
Shared, one Windows account: One computer, one Windows account, multiple users
-
Shared, multiple Windows accounts: One computer, multiple Windows accounts, multiple users
The following table specifies what configurations are supported in the services.

* Depending on your business needs, you might have your company’s deskless workers share a single computer and a single Windows account. In this situation, the workers can still be assigned individual Microsoft Online Services user accounts in the Microsoft Online Services Administration Center. When they use the Exchange Online Deskless Worker service they will be able to log onto their individual accounts in Microsoft Office Outlook Web Access. However, the SharePoint Online Deskless Worker service does not support more than one Microsoft Online Services user account per Windows account. If it meets your business needs, you can create a unique user account in the Administration Center that your workers share to access your SharePoint sites.
Exchange Online Deskless Worker
A subscription to Exchange Online Deskless Worker supplies your company with mail storage and the ability to create a mailbox for each licensed account. Your users read and manage their mail with Outlook Web Access. Outlook Web Access does not require a mail client (like Microsoft Office Outlook) on the user's computer. The user can access it from any computer with a Web browser and access to the Internet.
There are some noteworthy features that differentiate the Exchange Online Deskless Worker subscription from a standard Microsoft Exchange Online subscription. Consider the following Exchange Online Deskless Worker features when making the decision to purchase a standard or deskless subscription:
-
Mail cannot be accessed through the Office Outlook 2003 or Outlook 2007 client.
-
Mail cannot be accessed from a mobile device.
-
The maximum mailbox size for each user is 500 megabytes (MB), which cannot be increased.

|
If you change a user account with a standard Exchange Online subscription to an Exchange Online Deskless Worker subscription, it will take up to three hours for the 500 MB mailbox size limit to be applied. During this time, the user assigned the Exchange Online Deskless Worker subscription may experience some inconsistent e-mail behavior.

Exchange Online Deskless Worker and the Sign In Application
Users that only have Exchange Online Deskless Worker licenses do not need to install the Microsoft Online Services Sign In application. They can access their OWA account directly in their Web browser. However, if they also have licenses for SharePoint Online Deskless Worker, they should install the Sign In application. See below for more details about SharePoint Online Deskless Worker and the Sign In application.
SharePoint Online Deskless Worker
A subscription to SharePoint Online Deskless Worker gives each licensed user read-only access to your SharePoint site. However, the subscription does not include storage space. In order to post documents to a SharePoint site, your company needs to also purchase a standard subscription (minimum five licenses) to SharePoint Online. With a standard subscription you obtain .25 gigabytes (GB) of storage space for each license. For example, a subscription with five licenses gives you a total of 1.25 GB storage space. You can also buy additional storage space to increase the total size.
A possible scenario is as follows. Your company has 100 workers. You purchase a standard subscription to SharePoint Online with five licenses, which gives you 1.25 GB of storage space. You assign the five licenses to users who post documents for the entire company to read. Your company also purchases a subscription to SharePoint Online Deskless Worker with 95 licenses. These licenses are assigned to the remaining users in the company who need read-only access to your SharePoint site.
SharePoint Online Deskless Worker and the Sign In Application
We recommend that you install the Sign In application on users' computers that access SharePoint sites so that they are not repeatedly prompted for their passwords. For more information, see About the Sign In Application.
