Add and enable CRM App for Outlook

Dynamics CRM App for Outlook is a lightweight app for Office that you can use together with Outlook 2013 or Outlook on the web (included with Office 365). You can use the app to track incoming email in Microsoft Dynamics CRM. When you track an email message, a copy of that message is stored as an email activity record in Microsoft Dynamics CRM. You or anyone with access to your CRM activities can then access that activity record in CRM, Dynamics CRM App for Outlook, Dynamics CRM for Outlook, or in the CRM mobile apps.

Dynamics CRM App for Outlook isn’t the same as Dynamics CRM for Outlook. For information on Dynamics CRM for Outlook, see the CRM for Outlook User’s Guide.

Important

Dynamics CRM App for Outlook is a preview feature. Here are a few things to know about preview features:

  • They must be enabled by a CRM system administrator.

  • The CRM administrator must agree to the Supplemental Terms of Use for Microsoft Dynamics CRM Online Previews.

  • Preview features:

    • Are not supported by Microsoft Support.

    • Are available on a “preview” basis so customers can get early access and provide feedback.

    • May have limited or restricted functionality.

    • Aren’t meant for production use.

    • May be available only in selected geographic areas. Dynamics CRM App for Outlook is only available in North America at this time.

Overview

When Dynamics CRM App for Outlook is installed, CRM data appears in your Outlook when you select an email message.

With Dynamics CRM App for Outlook, you can:

  • Tap the power of CRM while working in the familiar Outlook environment.

  • Track incoming email wherever you are, as long as you have access to a browser.

  • Track an incoming email message and, optionally, link it to an existing record in CRM. For example, you might want to link an email message to a specific account or opportunity. If a record doesn’t exist, you can create it right from within the app!

  • Find out whether an email message is already tracked, and change the regarding record (the CRM record that the message is linked to).

  • Create CRM contact or lead records for people on the From list that aren’t already included in the CRM database. You can also create new CRM records for any entity (record type), as long as the entity has been enabled for mobile and for multi-entity search.

  • Preview information about contacts and leads stored in CRM. For example, you can find a number or company name for a contact or lead, or preview the last and next activities for a contact or lead.

  • Open CRM records directly to find or enter more detailed information.

Requirements

The following are required to use Dynamics CRM App for Outlook:

  • CRM Online version: Microsoft Dynamics CRM Online 2015 Update 1 or later

  • Exchange Online

  • Synchronization of email through server-side synchronization

  • Synchronization of appointments, contacts, and tasks through server-side synchronization

Important

At this time, the Dynamics CRM App for Outlook Preview is available only for CRM Online organizations in the North America region. Support for other regions will be added at a later date.

Supported versions of Outlook

  • Outlook on the web (included with Office 365)

  • Outlook 2013

You can use Dynamics CRM App for Outlook with Outlook on the web on the following browsers:

At this time, Dynamics CRM App for Outlook is only available for desktop browsers.

  • You can use Dynamics CRM App for Outlook with Outlook 2013 and Outlook 2016 on Windows 7, Windows 8, Windows 8.1, or Windows 10.

  • You can use Dynamics CRM App for Outlook with Outlook for Mac on Mac OS X Mavericks or Yosemite.

Enable the Dynamics CRM App for Outlook Preview feature

  1. Go to Settings > Administration. (How do I get there?)

  2. Click System Settings.

  3. Click the Previews tab.

  4. In the Enable the Dynamics CRM App for Outlook Preview section, click Yes next to the Enable the Microsoft Dynamics CRM App for Outlook Preview option.

  5. Click OK.

Required privileges

Microsoft Dynamics CRM uses two security privileges, Use CRM for Office Apps and CRM for mobile, to provide access to Dynamics CRM App for Outlook. Use the following process to check security privileges for a security role:

Important

You won’t be able to access the Use CRM for Office Apps security privilege if you haven’t enabled the Preview feature as described in the previous procedure.

  1. Go to Settings > Security. (How do I get there?)

  2. Click Security Roles.

  3. Choose a security role and then click the Business Management tab.

  4. In the Privacy Related Privileges section, review the Use CRM for Office Apps and CRM for mobile privileges settings.

You can add or remove these privileges from custom or default security roles to meet your business needs. If a user doesn’t have these privileges, they’ll receive the following error:

“You haven't been authorized to use this app. Check with your system administrator to update your settings.”

Set the CRM App for Outlook and CRM for mobile privileges for a security role

  1. Go to Settings > Security. (How do I get there?)

  2. Click Security Roles. Select the security role (for example, Salesperson), and then click the Business Management tab.

    Verify that Use CRM for Office Apps and CRM for mobile are set to Organization. If not, click Use CRM for Office Apps and CRM for mobile.

  3. Click Save and Close to save the changes to the security role.

Deploy CRM App for Outlook

You can use the Exchange admin center to quickly and easily deploy Dynamics CRM App for Outlook to your users.

  1. Sign in to the Office 365 admin center.

  2. On the left-side menu, under Admin, click Exchange.

  3. On the Exchange admin center page, under organization, click add-ins.

  4. Click (Add button) > Add from the Office Store.

  5. Search for and add the Microsoft Dynamics CRM for Outlook app.

  6. Once the app is installed, refresh (refresh_grid) the list, select the app, and then click Edit (Edit button).

  7. Choose how you want to deploy Dynamics CRM App for Outlook to your users.

  8. Click Save to enable the app for your organization.

Your users will now see Dynamics CRM App for Outlook in the list of apps in Outlook on the web or Microsoft Outlook 2013. If you’ve deployed Dynamics CRM App for Outlook as Optional, disabled by default (as shown in the illustration), users will need to enable the app. For instructions about how to do this, see CRM App for Outlook User’s Guide.
