This article describes how to configure document library versioning settings for co-authoring functionality in Microsoft SharePoint Foundation 2010.

Configure versioning for co-authoring

By default, document libraries in SharePoint Foundation 2010 have versioning disabled. It is recommended that this feature be enabled for document libraries where users will be co-authoring documents by using PowerPoint 2010 and Word 2010. For document libraries with OneNote notebooks, minor versions should not be enabled. Minor versioning can result in synchronization errors that prevent edits from being saved.

When multiple authors work on the same document, edits are retained on the server as document versions. Administrators can limit the number of versions retained in order to limit server storage usage. If major versioning is enabled in a document library with OneNote notebooks, we recommend that the maximum number of versions be specified in order to make more efficient use of disk space.

To enable versioning

  1. Browse to the document library you want to configure.

  2. In the toolbar, under Library Tools, click Library.

  3. In the toolbar, click Library Settings.

  4. In General Settings, click Versioning Settings.

  5. In Document Version History, select Create major versions.

  6. To specify a version retention limit, select Keep the following number of major versions and in the text box, type the number of versions.

Configure Require Check Out

When a document is checked out of a document library, the document is locked, making it unavailable for co-authoring. The Require Check Out setting should not be enabled in document libraries that are used for co-authoring. By default, for SharePoint Foundation document libraries, this setting is not enabled.

To disable Require Check Out

  1. Browse to the document library you want to configure.

  2. In the toolbar, under Library Tools, click Library.

  3. In the toolbar, click Library Settings.

  4. In General Settings, click Versioning Settings.

  5. In Require Check Out, select No (default).
