Match records

When you import or link data in MapPoint, the Import Data, Link Data, Import Territories, or Link Territories wizards attempt to match each record in your data precisely to locations on the map. However, if the program is unable to match any record to an exact location, it will present possible alternatives in the Unmatched Records dialog box.

You can match records on the map with the Unmatched Records dialog box in the following ways:

  • If you have records that could not be matched to a location on the map, it is displayed after you click Finish in the Import Data, Link Data, Import Territories, or Link Territories wizards.

  • You can also display this dialog box to match unmatched records on an existing data map.

    How?

To match any unmatched records with a location on the map

  1. Select the location for this record from the list of potential locations.

  2. Click OK.

To skip matching for this record

  • Click Skip Record.

Note   Skipped records will not be displayed when matching unmatched records for an existing data set when you click Match Records on the Data menu. You can match skipped records from the Matching tab in the properties dialog of the data set.

To skip matching for all unmatched records

  • Click Skip All Records.

To cancel matching for unmatched records

  • Click Cancel.

Note   Cancelling matching leaves any unmatched records available for matching and mapping later.

Note   Certain types of records are considered unmatchable. MapPoint automatically skips these records. For example, the following records are skipped:

  • A blank record

  • A record with latitude beyond +/- 90 or longitude beyond +/- 180

  • A record with an inappropriate address abbreviation

Tips

  • To quickly see a list of all records in a data set and their matched-to-map status, on the Data menu, click Data Set Properties, and then click the Matching tab. Unmatched records are at the bottom of the list. To match an unmatched or skipped record to the map, select the record in the list, and then click Match Record.

  • If all or most of your records are unmatched, you may need to specify the country to which most of your data belongs.
