Beginning balance journal (form)

Click Project management and accounting > Journals > Beginning balance.

–or–

Click Project management and accounting > Common > Projects > All projects. Select or open a project. On the Action Pane, on the Project tab, in the Set up group, click Beginning balances.

Use this form to create, maintain, validate, post, print, approve, or reject beginning balance journals.

Create a project beginning balance

The following tables provide descriptions for the controls in this form.

Tabs

Tab

Description

Overview tab

Create a new journal, and view open, posted, or all journals according to the selection in the Show list at the top of the form.

General tab

Select or view additional posting parameters for the journal that is selected on the Overview tab.

Default values

Enter the default values to use when new lines are created for the journal.

Blocking

Enter and view parameters that indicate how the journal that is selected on the Overview tab is blocked for use.

To exclude users or user groups from the journal, either select the Private check box or select a group in the Private for user group field. For security reasons, only one user at a time is allowed to enter lines in a particular journal.

History

View details about the approval procedure, if any, for the journal that is selected on the Overview tab.

If the journal is created through intercompany accounting, you can also view origin details.

Description

New

Create a journal that is based on the options that are selected on the Journals tab in the Project management and accounting parameters form.

Delete

Delete the selected beginning balance transaction from the project.

Copy

Copy the information from a selected beginning balance journal to a new beginning balance journal.

Lines

Enter and post lines on the current journal.

Post

Post the whole journal.

Approval

Change the approval status, if a journal approval procedure has been entered for the current journal setup.

Print

Print the journal.

Show

Select one of the filter settings:

  • All – All transactions.

  • Open – Transactions that are not posted.

  • Posted –Posted transactions.

Name

The default journal name is based on the setting on the Journals tab in the Project parameters form. You can change the name of a journal by clicking Name and selecting another journal name from the list.

Journal

The identification number of the journal. This number is assigned automatically by the system.

Description

View or change the description for the journal. The default description is based on what was entered in the Journal name setup form, but you can change the text to meet your needs. For more information, see Set up project journal options.

Lines

The number of journal lines in the journal.

Posted

If this check box is selected, the transaction has been posted.

In use

(Overview tab)

Indicates whether the journal is being used.

Journal type

The journal type that determines what the journal is used for.

Created from timesheet

Indicates that the select beginning balance journal contains timesheet data.

Timesheet number

The identifier of the timesheet that the beginning balance journal is associated with.

Voucher series

The number sequence that is used to create voucher numbers, one per line, associated with the journal.

Detail level

Specify whether transactions are to be summarized financially or remain as separate transactions after posting.

Approve

Select journal approval setup.

Status value

Change the journal status.

Project date

The project transaction date.

Project ID

The project number.

Category

The category that is used by default.

Worker

Select the worker number that is automatically copied to the journal lines.

Line property

The status that the transaction is attached to.

Description

The default text that is copied from the journal header into the journal lines.

In use

(Blocking tab)

If this check box is selected, the journal is currently in use.

Private

If the current user of the journal selects this check box, the Private for user field is automatically completed with the user identification.

Used by user

The user that is currently using the journal.

Private for user

The user to whom the journal is private.

Locked by system

A selected check box indicates that the current journal has been blocked by the system.

Clear the check box to unlock the journal and post it.

Private for user group

The user group to which the journal is private.

Posted

If this check box is selected, the journal has been posted.

Note

An indication of whether a journal has been posted allows you to filter the journals that appear in the Journals form.

Posted on

The date on which the journal was posted.

Posted by

The user who posted the journal.

Original journal number

The journal number from which the lines are transferred.

Lines

Indicates the total number of journal lines in the beginning balance journal.
