Set up mobile phones and devices in Office 365

Summary: Describes how to set up email and Lync on mobile phones and devices and how to move from other hosted services to Office 365.

You can access email, instant messaging, documents, and other Office 365 services from your mobile phone or tablet. For more information, see setting up and using Office 365 on your phone or tablet.

To set up your mobile phone to access your email using the Exchange ActiveSync protocol, you will need the Exchange ActiveSync server name as well as your user name and password.

If a Windows Mobile device is already set up to synchronize with another computer running Exchange Server, you must delete that email account from your mobile device before your device can sync with Exchange Online.

The following procedures describe how your Exchange Online administrator can do the following:

  • Delete an existing relationship between a Windows Mobile 6.5, 6.1, and 6.0 device and Exchange Server

  • Set up a new Windows Mobile and Windows Phone relationship with Exchange Online.

    • Use the remote wipe feature.

The menu options displayed on your device may be different from those described in the procedures that follow. If you have questions, refer to your mobile device documentation.
To delete an existing Windows Mobile relationship
  1. From the Windows Mobile Start menu on the mobile device, tap Programs, and then tap ActiveSync.

  2. Tap Menu, and then tap Options.

  3. Tap Microsoft Exchange, and then tap Delete to delete the existing relationship.

To configure a Windows Mobile device connection
  1. On the mobile device, tap Start, tap Programs, and then tap ActiveSync.

  2. Tap Menu, tap Add Server Source, and then enter the mobile device address for your organization’s data (example; outlook.com)

  3. Select the This server requires an encrypted (SSL) connection check box, and then tap Next.

  4. In User name, enter your Office 365 email address.

  5. In Password, enter your password, select Save Password, and then tap Next. Leave the domain box blank.

  6. Select the check boxes for the types of data you want to synchronize, and then tap Finish.

Use the following steps to configure your connection on a Windows Phone 7.

To configure a Windows Phone 7 connection
  1. Press the Windows button to return to home.

  2. Slide right and then up, and select Settings.

  3. Select email & accounts.

  4. Click add an account.

  5. Select Outlook.

  6. Enter your email address (for example, michael@contoso.com)

  7. Enter your password (with single sign-on this would be the same as your Active Directory password).

  8. Click Sign in.

Administrators in your organization have the ability to remotely erase data from an Exchange ActiveSync mobile device in the event that an Exchange Online user’s device is lost, stolen, or otherwise compromised.

To remotely erase data from an Exchange ActiveSync device
  1. Log on to Microsoft Outlook Web App using the email address and password of the user account that the mobile device synchronizes with.

  2. In the Outlook Web App window title bar, click Options.

  3. In the navigation pane, click Mobile Devices.

  4. Click the ID of the device you want to remotely erase, click Wipe All Data from Device, and then click OK.

  5. Click Remove Device from List.

Lync Online now includes support for Lync mobile devices. Users can install Lync on selected Windows Phone, iPhone, iPad, Android, and Nokia devices. Features supported by Lync mobile clients include presence, instant messaging (IM), contacts, and the ability join a conference call by having your audio conferencing provider call the mobile device. For customers who are migrating user accounts from Hosted BlackBerry for Exchange Server to BlackBerry Business Cloud Services, the following provides guidance and useful resources to help ensure a successful migration.

Key Migration Tips

  1. Plan your migration to BlackBerry Business Cloud Services in three phases

    1. Pre-migration preparation of the BlackBerry® user list, EA passwords and IT Policies and Group assignments

    2. Administration tasks of creating your Blackberry Business Cloud Services tenant and adding the BlackBerry user list from above to the system

    3. End user tasks to activate their BlackBerry on the new BlackBerry Business Cloud Services either using our Onboarding wizard or by over-the-air activation

  2. Timing is important to ensure a successful migration

    1. The BlackBerry Business Cloud Services cannot be enabled until you are notified by Microsoft your Office 365 migration has been completed

    2. The administrator must add each individual BlackBerry user to the BlackBerry Business Cloud Services tenant before the respective user can be activated

  3. Check your email

    1. Check the inbox of the email account used when your organization signed up for BlackBerry Business Cloud Services. Upon sign up, customers receive (via email) their welcome guide, including support contact information and the Research In Motion (RIM®) BlackBerry® Expert Support Center portal login and password

  4. Ensure encrypted media cards are decrypted before migrating services

    1. Media cards will need to by re-encrypted once a user migrates to Office 365/ BlackBerry Business Cloud Services

  5. Leverage Microsoft migration tools

    1. RIM recognizes that customers have many choices when determining the tools they utilize to facilitate their migration to Office 365.

    2. RIM and Microsoft have conducted extensive testing with Microsoft migration tools and recommend that these tools be used to ensure your migration is as smooth as possible and to help avoid any data errors, which could cause issues with your BlackBerry service.

  6. Reference the RIM BlackBerry Business Cloud Services Migration Technical Note - The documentation provides a comprehensive overview to help customers migrate from Hosted BlackBerry for Exchange Online to BlackBerry Business Cloud Services. Information includes:

    1. Migrating User Accounts: migrate accounts associated with BlackBerry smartphones from a Microsoft-hosted environment to a RIM-hosted environment
