Set project-level permissions in Project Web App

Summary: In Microsoft Project Web App, project managers can set up permissions at the project level.

There may be times when a project manager would like to grant additional permissions to a specific project for a certain user or group of users. The Project Permissions feature allows a project manager to give another project manager limited access to a project without adding that project manager to the project's team. Project managers can also use this feature to give an executive rapid access to a project that she or he needs to view.

How project permissions differ from groups and categories

The Project Permissions feature helps project managers get the right information to the right people quickly. It is not designed to be used as the primary source of security for all projects in your organization. Instead, we highly recommend that the Project Server administrator use groups and categories to grant permissions to most users. Using project permissions on a large scale can adversely affect the performance of Project Server. Additionally, using project permissions can make administration more difficult. Project Server administrators cannot tell which users have project permissions by checking groups or categories. They must examine each individual project.

Set specific permissions for a project

To be able to set project-level permissions, the project manager must have the Manage Basic Project Security category-level permission. If you are a project manager and you cannot set project-level permissions, contact your Project Server administrator.

To set project-level permissions

  1. On the Quick Launch, in the Projects section, click Project Center.

  2. In the Project Center, click the row header for the project for which you are setting permissions. This selects the row.

  3. On the Projects tab, in the Navigate group, click Project Permissions.

    Tip

    You can also access the Project Permissions page while you are viewing or editing a specific project. With the project open, on the Project tab, in the Navigate group, click Project Permissions.

    On the Project Permissions page, each row represents a set of permissions that have been granted to a set of users and groups, specific to this project. Permissions granted for a specific project supersede the security permissions set up by the Project Server administrator.

  4. Choose whether you are creating a new permission or editing an existing one:

    • If you are creating a new permission, on the Permissions tab, click New to give a new set of users specific permissions for this project.

    • If you are editing an existing permission, select the check box to the left of the permission that you are changing, and then, on the Permissions tab, click Edit.

    Tip

    If you no longer need a permission listed on the Project Permissions page, select the check box to the left of the permission that you want to remove, and then, on the Permissions tab, click Remove.

  5. In the Available Users and Groups box, select the specific people and groups that you want to have unique permissions for this project, and then click Add to move them to the Users and Groups with Permissions box.

    If you want all users and groups to have these permissions, click Add All.

    Note

    When you grant permissions to a user by using the Project Permissions feature, the user is automatically granted permissions to all project views. For this reason, we recommend that you not use this feature to grant project permissions to team members.

    You can also remove permissions for specific users and groups by selecting them in the Users and Groups with Permissions box, and then clicking Remove.

  6. In the Permissions section, select the check box for each permission that you want to grant to the users and groups that you identified in the previous step.

  7. Click Save to save these project-level permissions.

  8. Repeat steps 4 through 7 for each set of users and groups for which you want to have unique permissions for this project.

  9. When you are finished adding or changing the project-level permissions, on the Permissions tab, click Close.
