Sales posting (form)

Click Sales and marketing > Periodic > Sales update > Sales order confirmation.

Click Sales and marketing > Periodic > Sales update > Picking list.

Click Sales and marketing > Periodic > Sales update > Packing slip.

Click Accounts receivable > Periodic > Sales update > Invoice.

Use this form to confirm and print sales orders. You can also post and print picking lists, packing slips, and invoices. The name of this form varies, depending on the path that you use to open the form:

  • Use the Confirm sales order form to confirm and print sales orders.

  • Use the Posting picking list form to print and post picking lists for sales orders.

  • Use the Packing slip posting form to print and post packing slips for sales orders.

  • Use the Posting invoice form to print and post customer invoices for sales orders.

Specify parameters that are used to post and print documents that are related to sales orders.

Other

Specify whether credit limit checks will be automatically performed and the method that will be used.

To select how multiple documents are updated at the same time, use the Summary update for field. If you update multiple orders, you can click Arrange to consolidate the orders into one order on the Overview tab.

Overview

View a list of sales orders that require updates.

Setup

View date and shipment information for the selected sales order.

Lines

View the lines that are attached to the selected document.

Line details

View inventory and delivery information for the selected line.

Packing slip

View quantity information about packing slips that are related to the invoice. This tab is available only if Packing slip is selected in the Quantity field.

Sales orders

View the name and number of the sales order.

Transportation document

View the transportation document details that will be printed on the packing slip.

Note

(ITA) This control is available only to legal entities whose primary address is in Italy. Additionally, the Use transportation document information on packing slip check box in the Accounts receivable parameters form must be selected.

Buttons

Button

Description

Select

Define a query to limit and sort the data that will be posted. Select the Late selection check box to perform the query later, when a batch job is run.

Select packing slip

Select the packing slips to base invoices on. This button is available only if Packing slip is selected in the Quantity field.

Arrange

Consolidate multiple orders into, for example, one invoice. To make the Arrange button available, on the Other tab, in the Summary update for field, select a value other than None.

Note

When you consolidate several orders by performing a summary update, you can view the summarized order in the Sales order form. Select the relevant sales order, and then, on the Action Pane, click the Sell tab. Click Sales order confirmations, and then select the journal name.

Totals

View the totals for all the orders in the posting form.

Payment schedule

View and modify information in the Payment schedule form.

Printer setup

Print the document. To specify the printer to use, click Printer setup, select the type of document to print, and then select a printer.

Sales order line

Open a menu with the following item:

  • Dimensions – Open the Dimensions display form, where you can specify the product dimensions to display in the posting form.

Inventory

Open a menu that contains the following items:

  • Output orders – Open the Output orders form, where you can view information about the output orders that have been entered. Output orders are used for warehouse management, for activities that are related to advanced picking. Output orders are also used to ship items to production or to distribution channels.

  • Reservation – Open the Reservation form, where you can reserve inventory.

  • On-hand – Open the On-hand form, where you can view on-hand quantities for the selected product.

  • Lot – Open the Lot form, where you can view transaction quantities for the specified lot.

  • Transactions – Open the Inventory transactions form, where you can view the item's inventory transactions represented as receipt transactions or issue transactions.

Update line

Open a menu that contains the following items:

  • Registration – Open the Registration form, where you can register inventory issues.

  • Pick – Open the Pick form, where you can register inventory picking. If the Picking requirements check box is selected in the Item model groups form, an item issue must be picked before the packing slip for the item is updated.

Fields

Field

Description

Quantity

Select the quantities on which to base the posting of the document. The options that are available in the field vary, depending on the type of document that you are posting, such as a packing slip or an invoice.

  • Deliver now – Select all quantities that are entered in the Deliver now field. Use this option to confirm or deliver a partial order.

  • Picked – Select all quantities that have been picked.

  • All – Select all quantities on the sales order that have not yet been updated by the current document type.

  • Packing slip – Select all quantities that have been updated by a packing slip.

  • Picked quantity and not stocked products – Select all quantities that have been picked and all product quantities that are not stocked.

Posting

Select this check box to journalize the sales order.

Clear this check box to print a pro forma sales order.

Note

If you made an agreement for a payment schedule, the payment schedule is not shown on the pro forma sales order. Payment schedules are shown only on actual sales orders.

Late selection

Select this check box to apply the selected query later. This option is used for batch jobs. The query is run when the batch job is run.

Reduce quantity

Select this check box to automatically reduce the delivered quantity when the document is posted, so that the delivered quantity equals the available inventory.

Print

Select when to print documents:

  • Current – Print documents after each invoice has been updated.

  • After – Print documents after all the invoices have been updated.

Note

The Print field is available only if you select the Print invoice, Print confirmation, Print picking list, or Print packing slip check box.

For example, in the Form sorting form, you have set up the system to sort the information by invoice account. You can then select After to print the documents in a batch that is sorted by invoice account. Otherwise, the documents are printed before processing is completed, and the documents are not sorted in the order that is specified in the Form sorting form.

Print invoice

Select this check box to print the invoice.

Send e-mail

Select this check box to send the invoice for a sales order to the customer as an email attachment after the invoice is posted. Attachments are sent as PDF and XML files. This check box is available only if you select the Enable CFD (electronic invoices) check box in the Electronic invoice parameters form.

Note

(MEX) This control is available only to legal entities whose primary address is in Mexico.

Print confirmation

Select this check box to print the confirmation document.

Print picking list

Select this check box to print the picking list.

Print packing slip

Select this check box to print the packing slip.

Use print management destination

Select this check box to use the print settings that are specified for the transaction, document, or module in the Print management setup form.

Check credit limit

Select the information that will be analyzed when a credit limit check is performed. For more information, see About credit limit types in Accounts receivable parameters.

  • None – There is no requirement for the credit limit check.

  • Balance – The credit limit is checked against the customer balance.

  • Balance + packing slip or product receipt – The credit limit is checked against the customer balance and deliveries.

  • Balance+All – The credit limit is checked against the customer balance, deliveries, and open orders.

Credit correction

Select this check box to display the credit note as a debit in the voucher transactions.

Credit remaining quantity

If you are posting a credit note, select this check box to keep the remaining quantity on order. If this check box is cleared, the remaining quantity is set to 0 (zero).

Summary update for

Select how multiple sales orders will be summarized:

  • None – Do not summarize sales orders. For example, a separate invoice will be created for each sales order.

  • Invoice account – Summarize all selected orders based on the criteria that are set up in the Summary update parameters form.

  • Order – Summarize a selected range of orders into one order that you specify. The orders are summarized based on the criteria that are set up in the Summary update parameters form. If you select this option, you must select a value in the Sales order field.

  • Automatic summary – Summarize all selected orders based on the criteria that are set up in the Summary update parameters form, but only if summary updating has been specified in the Summary update form. If summary updating has not been specified, the order will be posted separately.

  • Packing slip – Summarize a selected range of orders into one invoice for each packing slip. This option is available only if Packing slip is selected in the Quantity field.

Update

The type of document to update, such as order confirmations, packing slips, or invoices.

Sales order

The identifier of the consolidated sales order.

Sales order

The order number that corresponds to the number in the Sales order field on the sales order.

Name

The order name that corresponds to the name in the Name field on the sales order.

Currency

The currency code for the transaction.

Customer packing slip number

The identifier of the packing slip that corresponds to the selected line item.

Date of confirmation

–or–

Packing slip date

Enter a date to specify the transactions that are included in the proposal.

Due date

Enter the last date of payment. The last date of payment is not related to the terms of payment.

The following considerations apply:

  • The due date can also be set on the Price/discount tab in the Sales order form.

  • The due date in the posting form overrides the due date in the Sales order form.

You cannot use a payment schedule and a due date at the same time.

Document date

Enter or view the document date.

When a customer invoice is entered, the actual date of the invoice is usually used as the posting date. In that case, both the due date and the cash discount date are calculated based on the date in this field.

Sometimes, you might have to calculate the due date and the cash discount date based on a date other than the posting date of the transaction. In that case, enter the transaction date in this field.

Associated payment attachment on customer invoice

Select the type of payment slip to print when the sales invoice is posted. Select one of the following options:

  • None – Do not print a payment slip. Select this option if the payment amount is in a currency other than Danish kroner (DKK).

  • FIK 751 – Print an FIK 751 payment slip if you intend to manually write the payment amount and due date on the payment slip.

  • FIK 752 – Print an FIK 752 payment slip if you intend to use a computer-generated payment slip that has a preprinted payment amount and due date.

Note

(DNK) This control is available only to legal entities whose primary address is in Denmark.

Bank account

The identifier of the customer's bank account.

Sales order

The order that the line is generated from.

Packing slip

The identifier of the packing slip that corresponds to the line item.

Sales category

The category in the hierarchy of sales categories. If the order line has a product number that is internally defined, the category is derived from the setup of the product. If the order line does not have product numbers, the category is selected on the lines.

Text

The description of the item or service on the line. This description is used on reports and in queries.

If the item number on the order line is not uniquely identified in the product database, this description is the main identifier of the item or service that was sold. If the item number on the order line is uniquely identified, this description adds more information about the item or service that was sold.

Ship date

The delivery date from the packing slip that corresponds to the line item.

Shipment number

The shipment number from the packing slip for the letter of credit.

This field is available only if the Enable export letter of credit check box is selected in the General ledger parameters form.

Item number

The item number for the order line.

Configuration

To specify an item that has specific attributes, select an item configuration.

Note

If you work with purchase orders and sales orders, you cannot change the item configuration if you have updated order transactions, such as registrations, packing slips, and invoice updates.

Size

The item size.

Color

The item color.

Warehouse

Enter the warehouse from which you will ship the items.

Batch number

Enter the batch number dimension. If you select Edit lines and Explode lines in the upper section of the Shipment or Receive form, you can edit the batch number for the transfer order line.

Serial number

Enter the serial number dimension. If you select Edit lines and Explode lines in the upper section of the Shipment or Receive form, you can edit the serial number for the transfer order line.

Update

Enter the quantity that is to be updated for the order line, in the sales unit. The value is based on the selection in the Quantity field on the Parameters tab.

Net amount

The currency value of the quantity that is specified in the Update field.

Close

If an order line cannot be delivered, or if the order line can be only partially delivered, select this check box to set the remaining quantity to 0 (zero). If there is only one order line, the whole order will be closed, and the status will be changed to Canceled.

Scrap

Select this check box to designate the line as scrap. No inventory transactions will be created for the line.

Deliver remainder

The quantity that will remain back-ordered after the order line has been updated.

You can change the quantity in this field. For example, you made an agreement with the customer, and then you want to make a final delivery of a quantity that is less than the quantity that was originally ordered. This kind of delivery is referred to as an underdelivery. Underdeliveries are permitted only if the Accept underdelivery check box is selected in the Accounts receivable parameters form.

Update

The quantity, in inventory units, of the total number that is specified in the Update field on the Lines tab.

The calculation for this field is based on the Update field on the Lines tab and is multiplied by the unit conversion factor that is specified for the product. You can change the quantity manually.

Deliver remainder

The quantity, in inventory units, that will remain back-ordered if the line is updated by using the quantity that is entered in the Update field.

The calculation for this field is based on the Deliver remainder field for the packing slip and is multiplied by the unit conversion factor that is specified for the product. You can change the quantity manually.

Packing unit

If the sales order line is only partially delivered or invoiced, select a packing unit other than the packing unit that is already specified for the selected item.

Packing unit quantity

If the sales order line is only partially delivered or invoiced, modify the quantity of the packing unit.

Name

The name or company name of the delivery address.

Address

View the formatted information for the selected address. This is the address that will appear on a printed document. The original address record may contain information that is not included in this view, depending on the specific country/region format.

Mode of delivery

The mode of delivery.

Sales order

The order number that corresponds to the number in the Sales order field on the sales order. This line displays only one sales order at a time. Because the line depends on the sales order that you selected on the Overview tab, you cannot create a new line.

Name

The order name that corresponds to the name in the Name field on the sales order.

Consolidated picking method

Select this check box to use the consolidated picking method for this sales order line. For more information about picking methods, see Picking methods.

Compiler

Select the name of the person who is creating the transportation delivery document.

Note

(ITA) This control is available only to legal entities whose primary address is in Italy.

Contractor

Select Carrier, Legal entities, Customer, or Vendor as the type of contractor, and then select the name of the contractor.

Note

Loader

Select Carrier, Legal entities, Customer, or Vendor as the type of loader, and then select the name of the loader.

Note

Owner

Select Carrier, Legal entities, Customer, or Vendor as the type of owner, and then select the name of the owner.

Enter any additional declarations to print on the packing slip.
