Journal descriptions (form)

Click Project management and accounting > Setup > Journals > Journal descriptions.

Use this form to set up journal descriptions. A journal description is standard text block that can be applied as a transaction description when you create transaction lines in hour and fee journals.

By using standard journal descriptions that you create, you ensure that your transaction descriptions are consistent throughout your journals. They also save you time because the identifier or the search name of the journal description can work as a shortcut for inserting the transaction description.

Example

In the Project journal description form, you create standard journal descriptive text that can be used when entering hours for the month of January by entering the following values in the form fields.

Later, when you are creating lines for an hours journal, in the Journal lines for hours form, you type January or Jan in the Description field. When you move the cursor out of the field, this text is automatically replaced with the phrase that you entered in the Description form, “Hours entered for January”.

Identification

Identifier for the transaction description. The identifier can be used as a shortcut to enter a transaction description.

Search name

Enter a short search name for the transaction description that is easy to remember.

You can enter this short name in the Description field in a journal lines form instead of the full identification name.

Description

Enter the description that you want displayed in the Description field in the current journal. The maximum length is 30 characters.

To enter longer descriptions, you can apply the Document handling feature to attach a note to the transaction line.

To enable the Document handling feature, on the Microsoft Dynamics AX File menu, click Tools > Options. On the Miscellaneous tab, select the Document handling active check box.

A note that is attached to a transaction line can be viewed on the hour registration, on an invoice proposal, and on the invoice.
