Applicant (form)

Applies To: Microsoft Dynamics AX 2012 R3, Microsoft Dynamics AX 2012 R2, Microsoft Dynamics AX 2012 Feature Pack, Microsoft Dynamics AX 2012

Click Human resources > Common > Recruitment > Applicants. On the Action Pane, click Applicant to create a new applicant record, or select an applicant, and on the Action Pane, click Edit.

Use this form to enter information about people who seek employment in your company or organization, or people whom you have contacted to fill a position.

Image

Open the Image form, where you can add an image file to the applicant record.

Applicant

Create a new applicant record.

Application

Open the Application form, where you can enter information for the applicant’s application for employment.

Applications

Open the Applications list page, where you can view a list of applications that the applicant has on record with the company.

Identification

Open the Identification, where you can enter identification information for the applicant.

Note

This control is not available if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

Interviews

Open the Applicant interviews form, where you can maintain an interview schedule for the applicant.

Accommodations

Open the Accommodations form, where you can enter an accommodation request for the applicant.

References

Open the Applicant references form, where you can maintain a list of references for the applicant.

Professional experience

Open the Professional experience form, where you can maintain information about the professional experience that the applicant has.

Education

Open the Education form, where you can maintain education information for the applicant.

Tests

Open the Tests form, where you can maintain information about tests that the applicant has taken or might need to take.

Note

This control is available only if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

Skills

Open the Skills form, where you can maintain information about the applicant’s skills.

Certificates

Open the Certificates form, where you can maintain a list of the certificates that the applicant has earned.

Courses

Open the Courses form, where you can maintain a list of the courses that the applicant has registered for.

Project experience

Open the Project experience form, where you can enter information about projects that the applicant is currently or has been involved in.

Positions of trust

Open the Position of trust form, where you can enter information about past positions or roles that the applicant has held outside of the responsibilities of their primary position.

Attachments

View documents that are already attached to a selected record, or attach documents to the selected record.

Some of the following controls are displayed only when you click Show more fields.

Description

Change name

Open the Change name form, where you can modify the name of the applicant.

Note

This control is not available if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

Field

Description

Applicant

Enter a unique identifier for the applicant.

If a number sequence code is specified for the applicant reference in the Human resources shared parameters form in the Number sequence area, you cannot modify the information in this field.

Applicant type

Indicates if the applicant is an external applicant or if the applicant is already an employee or contractor in the companies that you have access to.

Personal title

Select a personal title for the applicant.

The information in this field is maintained in the following form:

 Name title or suffix (form).

First name

Enter the first name of the applicant or look up a person in the address book. If you select a person from the address book to be the applicant, additional fields in this form will be updated with information from the address book.

Middle name

Enter the middle name of the applicant or look up a person in the address book. If you select a person from the address book to be the applicant, additional fields in this form will be updated with information from the address book.

Last name

Enter the last name of the applicant or look up a person in the address book. If you select a person from the address book to be the applicant, additional fields in this form will be updated with information from the address book.

Personal suffix

Select a suffix for the name of the applicant.

The information in this field is maintained in the following form:

 Name title or suffix (form).

Search name

Enter a search name for the applicant. Use this name when you search for the applicant using a list page.

Initials

Enter the initials of the applicant’s name.

Known as

If the applicant is known by another name, enter that name in this field. For example, if the applicant’s legal first name is Elizabeth but she prefers to be called Beth, enter Beth in this field.

Professional title

Enter a professional title for the applicant.

Professional suffix

Enter a professional suffix for the applicant.

Phonetic first

Enter the phonetic pronunciation of the applicant’s first name. For example, if the applicant’s first name is Christine, you could enter Krissteen.

Phonetic middle

Enter the phonetic pronunciation of the applicant’s middle name. For example, if the applicant’s middle name is Philip, you could enter Fillip.

Phonetic last

Enter the phonetic pronunciation of the applicant’s last name. For example, if the applicant’s last name is McCormic, you could enter MickKormick.

Display as

Select a format to use when the applicant’s name is displayed in Microsoft Dynamics AX.

Current job title

Enter a job title for the applicant. This could be a job title that the applicant currently has or that the applicant had in their last job.

Highest degree

Select the highest level of education that the applicant has earned.

The information in this field is maintained in the following form:

 Degrees (form).

Number of applications

The number of applications that the applicant has submitted to the companies, legal entities, or organizations that you have access to.

Total applications

The number of applications that the applicant has submitted to any of your companies, legal entities, or organizations.

Future consideration

Indicate if the applicant should be considered for a future job opening.

Previous employee

Indicate if the applicant was a previous worker within any of your companies, legal entities, or organizations.

Include in skill mapping

Select this check box to include the applicant in skill mapping results.

Reason code

Select a reason code that indicates why the applicant is or is not included in skill mapping results.

Address books

Select each address book that the applicant should be included in.

Map

Open an online map for the selected address.

More options

Select the action to perform for an address record.

In Microsoft Dynamics AX 2012 R2, select from the following options:

  • Remove – Mark the selected address record as inactive.

    You can delete all inactivated addresses by running a batch job in the Delete inactivated addresses form.

  • Set defaults – Select the default address.

  • Advanced – Open the Manage addresses form.

In Microsoft Dynamics AX 2012, select from the following options:

  • Remove – Delete the selected address record from the list.

  • Deactivate – Set the status of the selected address record to inactive. The address record is not deleted.

  • Advanced – Open the Manage addresses form.

Field

Description

Address

View the formatted information for the selected address. This is the address that will appear on a printed document. The original address record may contain information that is not included in this view, depending on the specific country/region format.

Purpose

View the purpose of the selected address. For example, the address may be used for deliveries only, or for deliveries and services.

Primary

View whether the address is primary. A primary address is the principal postal address for the selected party. A primary address can also be the default address for the party.

Select the action to perform for a contact information record.

In Microsoft Dynamics AX 2012 R2, select from the following options:

  • Remove – Delete the selected contact information record.

  • Set defaults – Select the default contact information record.

  • Advanced – Open the Edit contact information form.

In Microsoft Dynamics AX 2012, select from the following options:

  • Remove – Delete the selected address record from the list.

  • Deactivate – Set the status of the selected address record to inactive. The address record is not deleted.

  • Advanced – Open the Edit contact information form.

Field

Description

Contact number/address

The phone number, web address, or email address for the selected contact.

Primary

If this check box is selected, the contact information is primary. Primary contact information is the principal form of communication for the selected party. To select or clear this check box, click More options and then select Advanced.

More options

Select the action to perform for a contact information record.

In Microsoft Dynamics AX 2012 R2, select from the following options:

  • Remove – Delete the selected contact information record.

  • Set defaults – Select the default contact information record.

  • Advanced – Open the Manage addresses form.

In Microsoft Dynamics AX 2012, select from the following options:

  • Remove – Delete the selected address record from the list.

  • Deactivate – Set the status of the selected address record to inactive. The address record is not deleted.

  • Advanced – Open the Filter form.

Birth date

Enter a date of birth for the applicant.

Ethnic origin

Select the ethnic origin of the applicant.

The information in this field is maintained in the following form:

 Ethnic origin (form).

Gender

Select the gender of the applicant.

Applicant's marital status

Select the marital status of the applicant.

Citizenship country/region

Select the country or region the applicant has citizenship in.

The information in this field is maintained in the following form:

 Address setup (form).

Native language

Select the language that the applicant is most comfortable speaking.

The information in this field is maintained in the following form:

 Language codes (form).

Veteran status

Select the veteran status of the applicant.

The information in this field is maintained in the following form:

 Veteran status (form).

Screenings

Open the Screenings form, where you can maintain information about screenings that the applicant has taken or might have to complete.
