Invoice proposals (form)

Click Project management and accounting > Common > Project invoices > Project invoice proposals. In the Invoice proposals list, open an invoice proposal.

Click Project management and accounting > Common > Projects > All projects. On the Action Pane, on the Manage tab, in the Bill group, click Invoice proposals. In the Invoice proposals list, open an invoice proposal.

Click Project management and accounting > Common > Projects > Project contracts. On the Action Pane, on the Maintain tab, in the Bill group, click Invoice proposals. In the Invoice proposals list, open an invoice proposal.

Use this form to create and modify project invoice proposals. In Microsoft Dynamics AX, an invoice proposal is a pro forma invoice for chargeable project transactions. When you create an invoice proposal, you can select some or all the project transactions that were posted to the project since the last project invoice. You can also add lines for amounts that were retained by a customer from previous payments on project invoices.

In Microsoft Dynamics AX 2012 R3, when you create an invoice proposal for a Time and materials project, you can modify the sales price for lines in the invoice proposal. You can also add a new project transaction for fees to an invoice proposal.

View the project number, project funding source, and sales currency for the invoice proposal.

Invoice proposal transaction summaries

View a summary of the invoice amount, indirect costs that are included in the costs that are associated with the invoice amount, and any amount that was withheld or retained by the customer for a project and billing rule.

Note

This tab is displayed only if a billing rule is assigned to a project.

The tab is not displayed for invoice proposals that were created in versions of the product earlier than Microsoft Dynamics AX 2012.

Invoice proposal transactions

View additional details about an invoice proposal by transaction type. The transaction types, such as hours, expenses, fees, and items, are displayed for the selected invoice proposal.

Invoice proposal

Open the Create invoice proposal form, where you can create a new invoice proposal for the selected project.

Invoice proposal from billing rule

Open the Create invoice proposal form, where you can create a new invoice proposal for the selected project if a billing rule is assigned to the project. For more information about billing rules, see About billing rules.

Post

Post the invoice. After the invoice is posted, you can print it and send it to the customer.

Sales tax

Open the Temporary sales tax transactions form, where you can view the amount of sales tax that is calculated for the selected lines in the invoice proposal.

Payment schedule

View or modify the details about the payment schedule for the invoice proposal.

Totals

View the totals for the selected invoice proposal. The totals are an accumulated view of freight and other costs that are assigned to the invoice proposal lines.

Open the Indirect component transaction form, where you can review indirect costs that are allocated to the selected transaction.

Open the Create fees form, where you can create a fee transaction and then add it to the invoice proposal.

Description

Invoice proposal

The ID of the invoice proposal.

Invoice date

The date of the invoice proposal.

Project contract ID

The ID of the project contract that is attached to the invoice proposal.

Invoice

The ID of the project invoice. Invoice numbers are automatically assigned when you post an invoice proposal.

Funding source

The customer or other party who pays for the project.

Billing rule

The identification number of the assigned billing rule.

Amount invoiced

The total amount to date on customer invoices, excluding the current invoice proposal.

Invoice line amount

The amount of direct transactions on the invoice proposal.

Indirect costs

The amount of indirect transactions on the invoice proposal. The indirect costs are calculated based on the number of hours that are posted to the project by workers who are associated with the indirect costs. For more information about how to associate indirect costs with a worker, see Indirect cost component group assignment rules (form).

Retention percentage

Enter the percentage of an invoice proposal that the customer withholds from payment. The amount in the Customer retained amount field is calculated from this percentage.

Customer retained amount

The amount that the customer withholds from payment on the invoice. The amount is calculated by using the percentage that you enter in the Retention percentage field. You can modify this amount.

Invoice line amount

The total sales value of direct and indirect costs after any retained amounts are subtracted.

Invoice format

Select the format in which the invoice is printed. You can print all the lines, a summary total for the lines, or a summary by project category.

Sales currency

The sales currency that is specified for the funding source.

Project date

The date that the transaction was posted to ledger accounts.

Project category

The project category that is assigned to the transaction.

Activity

The name of the project activity for the transaction. An activity is a task that is assigned to a project or subproject.

Resource

The name of the employee or vendor who added the transaction to a project.

Quantity/Hours

The number of hours or quantity of units in the transaction.

Unit price

The sales price per hour or unit in the transaction.

In AX 2012 R3, you can modify the unit price. If a budget is set up for the selected project, the modified value is subject to budget verification.

Line amount

The total sales value of the transaction. The value is calculated as Quantity * Unit price.

In AX 2012 R3, you can modify the total sales value. If a budget is set up for the selected project, the modified sales value is subject to budget verification.

Line-specific

A selected check box indicates that you must specify the dimension account for electronic invoicing for each invoice line.

If this check box is cleared, you must specify the dimension account for electronic invoicing for the invoice header.

Note

(DNK) This control is available only to legal entities whose primary address is in Denmark.

The dimension account for the invoice header. This account is used for electronic invoicing.
