Plan for OneDrive for Business in SharePoint Server 2013

In SharePoint Server 2013, OneDrive for Business functionality lets users store and synchronize files between SharePoint Server 2013 and computers and mobile devices. This article describes the planning options and other important considerations when you're setting up or administering OneDrive for Business. Before you read this article, you should read Overview of OneDrive for Business in SharePoint Server 2013.

If you want to redirect your users to OneDrive for Business in Office 365, you need an Office 365 tenant where your users are licensed and at least Service Pack 1 installed on your farm.

For Office 2013 to display the user's My Site as a default save or open location, you must configure SharePoint Server 2013 to use Exchange Autodiscover.

To support system generated email notifications from SharePoint Server 2013 when a user shares a document with another user, make sure outgoing email is configured for your SharePoint Server 2013 farm.

The OneDrive for Business document library is part of a user's My Site. Users can optionally synchronize the files in this library to their local computer or mobile device.

Library quotas

By default, the quota for each user's My Site in SharePoint Server 2013 is 100 MB. If you plan to use the OneDrive for Business document library for users to store their files, you should increase this default quota limit. If your organization uses SharePoint Online, a user's My Site quota is set to 25 GB and is configurable to 50 GB or 100 GB per user.

Library customization

Although the OneDrive for Business document library supports many of the features of a standard document library, a user shouldn't customize the OneDrive for Business document library because it might affect synchronization.

For example, if a user modifies the document library to require that metadata be filled in, the files are synchronized with SharePoint Server 2013, however, the document remains checked out. To check-in the document, the user has to fill in the required metadata either through SharePoint Server 2013 using the browser, or by opening the file with the Office 2013 client.

In addition, keep permission levels at the default settings of Can edit and Can view.

The OneDrive for Business sync clients give users the convenience of local storage of their files. Sync clients also enable users to take documents offline. Users then can use those documents when they're disconnected from SharePoint Server 2013. Later, when the client computer or device reconnects to SharePoint Server 2013, the files are synchronized.

The OneDrive for Business Windows Sync client installs either with Office 2013 Standard or with Office 2013 Professional Plus. Or you can download the stand-alone OneDrive for Business Windows Sync client.

By default, files are synchronized every 10 minutes. If the server is too busy to handle the sync request, the sync client skips that synchronization and waits for the next scheduled attempt. Users can also force a file synchronization by using the Sync Now function in the sync client.

For Office 2013 files, sync clients perform a differential synchronization, which is a synchronization of only the changes that were made to the document between the last synchronization and the current synchronization. For other files, the entire file is synchronized.

Changes in file location

If a user wants to change the location on their computer or device to which data is synchronized, they must stop synchronizing the folder and then set up a new synchronization. Setting up a new synchronization allows them to choose a new location.

Similarly, if you change the URLs of your SharePoint Server 2013 My Site host, users must stop the synchronization to the old location and set up a new synchronization to the new URL.

Stopping a synchronization and starting a new one to the same OneDrive for Business library won't cause the loss of any data in the OneDrive for Business library. But users must re-synchronize all files to their local computer or device. This process may take some time and shouldn't be interrupted.

Network bandwidth considerations

There are several situations in which OneDrive for Business sync clients can cause unusually high network bandwidth usage:

  • When you first roll out OneDrive for Business and users are synchronizing all of their files for the first time.

  • When you change the URL of the My Site host and users are required to re-synchronize their files.

Be mindful of the potential impact of these changes on your network. You can use the OneDrive for Business synchronization calculator to help calculate OneDrive for Business network usage.

Sync clients use the http:// or https:// protocol of the site that they're synchronizing with to transfer data. If the OneDrive for Business site uses a Secure Socket Layer (SSL) connection (https://), then the data being transferred by the sync client is encrypted; otherwise, it's not.

Office 365 uses SSL for OneDrive for Business connections by default. If you're using SharePoint Server 2013, we recommend configuring your My Site host to use SSL for any connections that will occur outside your corporate domain. If you’re using Active Directory directory services, you can configure the Group Policy setting Sync Only On Domain Network. The setting requires an SSL connection for OneDrive for Business clients that connect to SharePoint Server 2013 from outside the organization’s intranet.

Data on local disks on both server and Windows client computers can be encrypted by using Windows BitLocker Drive Encryption.

Data on local devices

Once a document library is synchronized with a computer or mobile device, the files continue to exist there. Files remain on the computer or device even if the user's My Site and their user account are deleted. In this situation, although the files remain on the computer or device, the user can't synchronize the files with SharePoint Server 2013 again.

If storing files on a client workstation is against your corporate policy, you can remove synchronization functionality from document libraries in SharePoint Server 2013.
