Collaboration workspace settings (form)

Click System administration > Setup > Enterprise Portal > Collaboration workspace settings.

Use this form to specify how collaboration workspaces are created and maintained for projects, opportunities, and campaigns.

Select preferences for collaboration workspaces

The following table provides descriptions for the controls in this form.

Description

Business area

Select the business area or areas that this collaboration workspace configuration applies to.

SharePoint implementation type

Specify whether you are using Microsoft SharePoint Online or an on-premises implementation of Microsoft SharePoint Server.

This control is not available in versions of Microsoft Dynamics AX 2012 prior to cumulative update 7 for AX 2012 R2.

Workspace home page

Type or select the default home page URL for collaboration workspaces in your organization.

Note

Enterprise Portal for Microsoft Dynamics AX must be installed on the Microsoft SharePoint Server 2010 or Microsoft SharePoint Server 2013 computer where the collaboration workspace sites are created.

If one or more Enterprise Portal sites are configured in the Web sites form, a default record for all business areas is provided in the Create collaboration workspace form.

Tip

To open the Web sites form: Click System administration > Setup > Enterprise Portal > Web sites.

Template

Select a template to use for creating workspaces for the selected business area.

In AX 2012 R3 and cumulative update 7 or later for AX 2012 R2: If you want to store a Microsoft Project MPP file in a Microsoft SharePoint implementation, you must select either a project site template or team site template.

Note

The templates that are available in this list are created and maintained on the Microsoft SharePoint Foundation 2010 or Microsoft SharePoint Foundation 2013 team site, and in Microsoft SharePoint Server 2010 or Microsoft SharePoint Server 2013. The list may include templates that are not designed for collaboration workspaces.

Synchronize the SharePoint task list with the project WBS structure

Select this check box if you want to keep the task list in SharePoint in sync with the work breakdown structure in projects. This option is available only if you selected Project in the Business area field.

This control is not available in versions of Microsoft Dynamics AX 2012 prior to cumulative update 7 for AX 2012 R2.

Create workspace automatically

Select this check box if collaboration workspaces are to be created automatically when the selected business areas are created.

Note

If Project is selected in the Business area list, select the check box for each type of project that you want automatic creation to apply to.

Prompt to create workspace

Select this check box if users should be prompted with an option to create workspaces when they are creating business areas of the type selected in the Business area list.

Prompt to delete workspace

Select this check box if users should be prompted with an option to delete workspaces when the business area that they are associated with is deleted.
