Audit policy (form)

Applies To: Microsoft Dynamics AX 2012 R3, Microsoft Dynamics AX 2012 R2, Microsoft Dynamics AX 2012 Feature Pack, Microsoft Dynamics AX 2012

Click Compliance and internal controls > Common > Policies > Audit policies. Select the policy to open. On the Action Pane, click Edit, or, to create a new policy, click Policy.

Use this form to define audit policies, associate the policies with specific organization nodes, and then create policy rules to audit source documents for those nodes.

Note

This topic includes information about features that were added or changed for cumulative update 6 or later for Microsoft Dynamics AX 2012 R2. This information also applies to AX 2012 R3.

General

Enter a name and description for the policy.

Policy organizations

Select the organization type and the organization nodes that the policy applies to. For example, if you have two companies that require audit policies, the policy you are creating might apply to only one of those companies.

Policy rules

Define the rules that are associated with the policy.

For example, you might specify that all expense reports from a particular employee, or all vendor invoices over 500.00, must be audited.

Open a form where you can create a policy and its associated policy rules.

Note

You can audit only source documents that are created after the audit policy is created.

Retire policy

Retire the selected policy. When you retire a policy, all the rules that are contained in the policy are retired as well. Retired policies remain in the system for auditing purposes, but they cannot be reactivated.

Parameters

Open a form where you can define the organizational structure that policies apply to and the order of precedence for those policies.

Note

The order of precedence settings in the Policy parameters form does not apply to audit policies. For more information, see Policy parameters (form).

Additional options

Open the Additional options form, where you can set up the document selection date range and batch processing parameters for this policy.

In Microsoft Dynamics AX 2012 or Microsoft Dynamics AX 2012 R2, you can also use the Additional options form to set up monitored entities and prohibited words to use with policy rules that are associated with this policy. In cumulative update 6 for Microsoft Dynamics AX 2012 R2 or later, use the Audit policy rule form to set up monitored entities and prohibited words.

Attachments

View the list of documents that are attached to the selected policy.

Create policy rule

Create a policy rule for this policy, based on the selected policy rule type.

Retire policy rule

Retire the selected policy rule. Unlike other retired policy rules, retired audit policy rules can be reactivated. To reactive a retired policy rule, open the policy rule and change the date in either the Effective date or Expiration date field.

Change date

Change the expiration date of the selected policy rule.

Name

Enter the name of the policy.

Description

Enter a description of the policy.

Select organization hierarchy

Select the organization hierarchy to which this policy will apply. Policies apply to organization nodes in an organization hierarchy. First you select the organization hierarchy, and then you select the nodes that are affected by the policy. Policies are applied based on the organization node that the user belongs to.

When the audit policy is run, it uses the organization node that was associated with the policy on the last day of the document selection date range. For more information, see Additional options (form).

Policy rule type:

The types of policy rules that have been defined for the policy. When a policy rule type is selected, the policy rules and related fields are displayed in the policy rules grid.

Filter by

Select a filter option to display a subset of policy rules.

  • All – All policy rules that are defined for the policy

  • Current – All policy rules that are currently in effect

  • Future – All policy rules that have been defined to go into effect on a future date

  • Past – All expired policy rules

Policy rules

The individual policy rules that have been defined for the selected policy rule type.

Effective

The date when the selected policy rule instance becomes active.

When the audit policy is run, it uses the version of the policy rule that is effective on the last day of the document selection date range. For more information, see Additional options (form).

Expiration

The last date when the selected policy rule instance will be active.

Include parent rule

This field is not used for audit policies.
