Budget plan (form)

Applies To: Microsoft Dynamics AX 2012 R3, Microsoft Dynamics AX 2012 R2

Click Budgeting > Common > Budget plans > All budget plans. To open an existing budget plan, double-click the budget plan. To create a new budget plan, on the Action Pane, in the New group, click Budget plan. Enter or select information in the fields that are displayed, and then click Create.

Budget plans are documents that are used to develop budgets for the budget cycle and ledger that are specified in a budget planning process. After budget planning is configured, and a budget planning process is set up and activated, you can use this form to create a budget plan and route it through your organization for reviews and approvals. In the Budget plan line grid in this form, you can select a budget plan scenario and enter information for the budget plan lines. The budget plan scenario that you select in the Filter by scenario list must be configured for editing, and it must be in a budget planning stage in which you can add or modify lines. For more information, see “Budget planning stage rules and scenario constraints” in About budget planning configuration and setup.

Budget plans are reviewed and approved by using workflows. After you save the budget plan line information, a workflow message bar is displayed at the top of the Budget plan form. You can click the View workflow instructions icon in the workflow message bar to view any instructions that were included when the workflow was set up. You might see a Submit or Actions button, depending on whether you are a user who can submit the budget plan or take the next action in the workflow, such as an approval. This topic includes information about features that were added or changed for cumulative update 7 or later for Microsoft Dynamics AX 2012 R2. This information also applies to AX 2012 R3.

Budget plan header

Enter and view information about the budget plan. When you create a budget plan, you enter information such as the budget plan name and the budget planning process for the whole budget plan.

Budget plan lines

Enter and view the budget plan lines for the selected budget plan scenario.

Line details

Enter and view options for the selected budget plan line. You can enter comments and make selections for projects, fixed assets, and forecast positions for each line.

Modify the budget plan if it has any document status other than Finalized.

Associate budget plans

If the budget planning process is set up for parent and associated budget plans, select budget plans to associate with the current budget plan.

Delete

Delete the selected budget plan. You cannot delete budget plans that have associated budget plans, or that have a document status of Finalized.

Reset

Reset a finalized or rejected budget plan to have a status of Draft. You then can update the budget plan and resubmit it to workflow.

Budget plan

Create a budget plan. Enter or select information in the following fields that are displayed:

  • Budget planning process – Select an active budget planning process for the budget plan.

  • Responsibility center – Select your responsibility center in the budgeting organization.

  • Parent budget plan – Select a parent budget plan, if there is one.

  • Budget plan preparer – Select the name of the user who will prepare the budget plan. Your name is displayed by default.

  • Budget planning user group – Select the user group whose members will have access to the budget plan.

  • Document number – The unique identifying number for the budget plan.

  • Budget plan – Enter a descriptive name for the budget plan.

  • Budget plan priority – Select the budget plan priority to use if your organization evaluates budget plans by priority.

Associate plan

If the budget planning process is set up for parent and associated budget plans, associate a new budget plan with the current one.

Copy of

Create a copy of the budget plan.

Budget plan hierarchy

Open the Budget plan hierarchy form, where you can view the budget plan hierarchy for the selected budget plan. The hierarchy shows the parent budget plan and any associated budget plans. You can move the pointer over a budget plan to see its details in the preview pane. You can click a budget plan to open it in another Budget plan detail form.

Open a worksheet or justification document for the budget planning stage.

Use the Budget plan documents FactBox to view file names, template types, and stages for the worksheets and justifications that are attached to the budget plan.

Refresh

Update the lines in the form for different scenarios, allocations, or worksheets.

Export to Microsoft Excel

Export information from the selected line or lines to Excel.

This control is available only in versions of Microsoft Dynamics AX 2012 prior to cumulative update 7 for AX 2012 R2.

Attachments

Open the Document handling form, where you can create or view attachments for the budget plan.

Add line

Add a line to the budget plan.

Remove

Remove the selected lines from the budget plan.

Allocate budget

Allocate the selected line or lines. You can create budget plan lines for the allocation in the selected budget plan scenario or in another scenario. For more information, see “Add or modify budget plan lines and line details” in Key tasks: Create and process budget plans.

Enter or select information in the following fields that are displayed:

  • Allocation method – Select one of the following allocation methods:

    • Allocate across periods – Allocate the budget plan lines from the source budget plan scenario across periods in the destination scenario. Select the period allocation key in the Period key field.

    • Allocate to dimensions – Allocate the budget plan lines from the source budget plan scenario across the financial dimensions in the destination scenario. Select the budget allocation term in the Allocation term field.

    • Aggregate – Aggregate all the budget plan lines from the source scenario in the associated budget plans to the destination scenario in the parent budget plan.

    • Distribute – Distribute the budget plan lines from the source budget plan scenario in the parent budget plan to the destination scenario in the associated budget plans.

    • Use ledger allocation rules – Starting with cumulative update 7 for Microsoft Dynamics AX 2012 R2, you can use ledger allocation rules for budget plan lines. Distribute the budget plan lines from the source budget plan scenario to the destination budget plan scenario according to the ledger allocation rule that is selected. Select a ledger allocation rule in the Allocation rule field.

  • Budget plan scenario (in the Source field group) – The budget plan scenario that you selected in the Filter by scenario list, unless you selected Aggregate. If you selected Aggregate, select the source scenario.

  • Budget plan scenario (in the Destination field group) – Select the destination budget plan scenario, unless you selected Aggregate. If you selected Aggregate, the destination is the budget plan scenario that you selected in the Filter by scenario list.

  • Multiply by – Enter a value by which to multiply the currency amounts or quantities for the selected lines.

Select forecast positions

Open the Select forecast positions form, where you can select forecast positions to use as a source for the budget plan lines.

Description

Document number

The unique identifying number that is automatically assigned to the budget plan.

Budget plan

The name for the budget plan. This name was entered when the budget plan was created.

Budget cycle

The budget cycle that is associated with the budget planning process.

Budget planning process

The budget planning process for the budget plan.

Responsibility center

The responsibility center for the budget plan.

Parent budget plan

The parent budget plan, if there are associated budget plans. Use the Associated budget plans FactBox to view the document numbers and stages for the associated plans.

Budget planning stage

The current budget planning stage for the budget planning process.

Budget plan preparer

The name of the user who prepares the budget plan.

Budget planning user group

The user group for users who are outside the budgeting organization hierarchy, and who have to access the budget plan.

Document status

The status of the budget plan. The status is either Draft or Finalized.

Workflow status

The status of the workflow.

Is historical

If this check box is selected, historical data was generated from the general ledger, and the document status of the budget plan is Finalized. When the budget plan is submitted to workflow, it will not follow the review and approval process that is associated with the workflow. This check box is selected if the Historical field is set to Yes in the Generate budget plan from general ledger form.

Budget plan priority

The priority for the budget plan. Priorities were set up during budgeting planning configuration, and the priority was selected when the budget plan was created.

Rank

Enter a number that can be used to sort budget plans. For example, you can rank all the budget plans that have the same priority, and then see the results on budget planning reports. You can also use this field to sort budget plans if you personalize one or all of the Budget plan list pages and add the Rank field. You can change the rank of a budget plan regardless of the budget planning stage.

Budget plan lines

Filter by scenario

Select the budget plan scenario to use for the budget plan lines. The budget plan scenario that you select must be configured for editing, and it must be in a budget planning stage in which you can add or modify lines. For more information, see “Budget planning stage rules and scenario constraints” in About budget planning configuration and setup.

Account structure

Select the account structure for the budget plan line.

Dimension values

Enter the financial dimension values for the budget plan line.

Effective date

Enter the date when the budget plan line takes effect.

Budget class

Select an account type to use. This is either Expense or Revenue.

Quantity

Enter the estimated number of units. The quantity is multiplied by the unit price to get the amount.

Unit of measure

Select the unit of measure in which the item is estimated. This is typically Monetary or Quantity. This field is displayed when the Unit of measure class field in the Scenarios area of the Budget planning configuration form is set to a value other than Monetary.

Unit price

Enter the estimated price per unit. Use the Estimates by units FactBox to view the unit totals for the budget plan scenarios.

Currency

Select another currency for the amount, if you have to. If more than one currency is specified, the currency exchange rates for the date at the start of the budget cycle for the budget planning process are used.

Amount

Enter the budget estimate. Use the Estimates by amount FactBox to view the amount sums for the budget plan scenarios.

Proposed project

Select a proposed project for the budget plan line. For more information, see “Add or modify budget plan lines and line details” in Key tasks: Create and process budget plans and Budget planning process (form).

Asset

Select an acquired asset for the budget plan line. For more information, see “Add or modify budget plan lines and line details” in Key tasks: Create and process budget plans and Fixed assets (form).

Proposed asset

Select a proposed asset for the budget plan line. For more information, see “Add or modify budget plan lines and line details” in Key tasks: Create and process budget plans and Budget plan proposed assets (form).

Position

Select a forecast position for the budget plan line. For more information, see “Add forecast positions to budget plan lines” in Key tasks: Create and process budget plans.

Comment

Enter a brief, optional description for the budget plan line.

Is recurring

Select this check box to indicate that the budget plan line recurs each year.

New request

Select this check box to indicate that the budget plan line is a new request. New requests have not been requested in previous budget plans for the responsibility center.
