Create invoice proposal (form)

Applies To: Microsoft Dynamics AX 2012 R3, Microsoft Dynamics AX 2012 R2

Click Project management and accounting > Common > Project invoices > Project invoice proposals. On the Action Pane, in the New group, click Invoice proposal.

Use this form to select criteria to search for project transactions, and then create a preliminary invoice for selected project transactions. You can include customer advances as a reduction of an invoice proposal. After you review an invoice proposal, you can create invoices to send to one or more project funding sources.

Search

Search for project transactions within the invoicing method, transaction types, date range, and other criteria that you specify.

Review indirect components

Open the Indirect component transaction form, where you can review indirect costs allocated to the selected transaction based on the number of worker hours added to the project.

Split advance amount

Open the Split customer advance transaction form, where you can enter the amount of a customer advance to include in the invoice proposal. The amount that you select is a reduction of the invoice proposal amount.

Project contract

Select the project contract for which to create an invoice proposal.

Project

Select a project that is associated with the selected contract. If you do not select a project, all transactions for the selected project contract are displayed in the search results.

Invoice date

Select the date on which to post the invoice proposal. By default, today’s date is displayed.

Include subprojects

Select this check box to search for transactions in subprojects of the selected project.

Funding source

Select the customer or other funding source for the invoice proposal. If the project has multiple funding sources, and you selected allocation percentages for the funding sources, an invoice proposal is automatically created for each funding source by using the percentages that you specify in the project contract.

Start date

Select the earliest transaction date to include in the search.

End date

Select the most recent transaction date to include in the search.

Hour

Select this check box to include hour transactions in the search.

Fee

Select this check box to include fee transactions in the search.

Expense

Select this check box to include expense transactions in the search.

Fee subscription

Select this check box to include fee subscription transactions in the search.

Item

Select this check box to include item transactions in the search.

On-account

Select this check box to include on-account transactions in the search.

Invoicing method

Select transaction types to include in the proposal.

  • Invoices – Include transactions that have been posted from journals and are ready to be invoiced.

  • Credit notes – Include transactions that were originally included on an invoice, but are now selected to be updated through a credit note.

  • Both - Include both transaction types in the proposal.

Sales order line

Select this check box to include sales order lines.

Update item quantity

Select the status of the sales order lines to include in the invoice proposals.

Note

The Update item quantity field is available only if you select the Sales order line check box.

Transaction origin

The type of journal or other source document used to create the transaction.

Activity

The name of the project activity, if any, for the transaction.

Transaction date

The date on which the transaction was posted to the project.

Currency

The currency used in the posted transaction journal.

Category

The project category assigned to the transaction.

Quantity

The number of hours, items, or other unit of measure in the transaction.

Unit price

The cost per hour, item, or other unit of measure for the transaction.

Indirect costs

The sales value of indirect costs, if any, included in the transaction.

Line amount

The total sales value of the transaction. This includes indirect costs, if any.

Project date

The date on which a customer advance was posted to the project.

Line amount

The amount of the customer advance, expressed as a negative number. A customer advance that is included in an invoice proposal is deducted from the project transaction amounts.

Total invoice amount

The total amount of the selected project transactions, before customer advance amounts, if any, are deducted.

Total deductions

The total amount of the selected customer advances.

Net invoice amount

The total amount of the selected project transactions, after customer advance amounts are deducted.
