Loan items (form)

Click Human resources > Setup > Workers > Loan > Loan items.

Use this form to maintain a list of items that you can lend to workers. Some examples of items that companies may lend to workers included in the following list:

  • Mobile phones

  • Company cars

  • Computer equipment

  • Access cards

  • Uniforms

You can use the Loan form to track which workers borrow items.

Because you can lend an item to only one worker at a time, you must set up loaned items as individual items. For example, each key or access card that you lend to a worker must be set up as an individual item. Using a serial number to identify an item can help you manage items r and can be useful if an item is stolen or lost.

Some examples are listed below:

  • Set up mobile phones as loaned items and use the telephone number as a code and the loan type as “Cell phone.”

  • Set up automobiles as loaned items and use the license plate number as a code and the loan type as “Automobile.”

  • Set up keys as loaned items and use the key number as a code and the loan type as “Key.”

Tip

You cannot delete an item if a worker is currently borrowing it. To delete a loaned item that has been lost or misplaced, specify that the item was returned by entering an Actual return date and then either delete it or add a comment to its description.

Fields

Field

Description

Loan item

Enter a unique identifier for the loaned item. For example, enter the serial number of the item.

Description

Enter a description of the loaned item.

Person in charge

Select the person who is responsible for the item. For example, this might be someone responsible for maintaining the item.

Status

The status of the loaned item. The information in the Loan form determines the value of this field.

Tax information

Specify tax information related to the item.

Serial number

Use this field provide additional identification information if it is necessary for an item. Enter the serial number, or other identification number, for the loaned item.

This might be, for example, access card numbers, key numbers, or the vehicle identification number of a company car.

Loan type

Select the type of the loaned item.

Grace period

Enter the number of days that may pass after the return date before a reminder is sent to the borrower for the return of the item.

Number of days

Enter the number of days the item can be on loan. The default value of the Planned return field on the Loan form, is calculated as the current date plus this number.
