Project quotation (form)

Click Project management and accounting > Common > Quotations > Project quotations. Select a project quotation. On the Action Pane, on the Quotation tab, in the Maintain group, click Edit.

Use this form to create or update project quotations and inquire about project quotations for customers or prospects. By default, the form opens in line view. Only limited information about the header is displayed, and you can enter detailed information about lines. To view or change information about the header, click Header view on the Action Pane.

Note

A project quotation can’t be modified if it has been sent to the customer and the project quotation's status is Sent.

View the header and line information together. You can view more information about lines in the Lines table and on the Line details FastTab.

Copy all information from an existing project quotation to a new project quotation.

Totals

View the totals values of the project quotation.

Attachments

View documents that are already attached to a selected record, or attach documents to the selected record.

Sales tax

View the sales taxes for items that will be included in the order.

Send quotation

Send a project quotation to a customer and update the quotation status from Created to Sent.

Simulate delivery dates

View possible ship and receipt dates for item lines. These dates are calculated by using the shipping, transport, and customer calendars.

Customer

View information about the customer who is associated with the project quotation.

Prospect

View information about the customer who is associated with the project quotation.

Prices

View the trade agreements that are associated with the customer for whom the quotation has been prepared.

Quotation journal

View related project quotations that have been sent or confirmed.

Quotation confirmation journal

View related quotations that have been confirmed.

Confirm

Confirm a quotation that has a status of Created or Sent and update the status to Confirmed.

Cancel

Update the status of a canceled project quotation from Created or Sent to Canceled.

Lost quotation

Update the status of a lost project quotation from Created or Sent to Lost.

Convert to customer

Convert a prospect to a customer.

Change reason code

Update the reason code for the project quotation.

Transfer to project

Link a quotation to a project and transfer the quotation to a project forecast.

Print management

Set up print options for originals and copies of project quotations. This information controls the way that project quotations are printed during the posting and confirmation process.

Activities

Open a menu that contains the following items:

  • View activities – View a list of activities that are assigned to you or another worker.

  • New action – Create an action.

  • Schedule appointment – Create an appointment.

  • Record event – Create an event.

  • New task – Create a task.

Contact details

Record or view contact information for the project quotation.

Supplementary sales items

Create and manage extra items to be added to the project quotation lines when a certain quantity of an item is purchased.

Alternative quotations

Create one or more alternative quotations that you want to link to an original project quotation.

This tab is displayed only in the line view of the form.

Create a new address record for the project quotation.

Select another delivery address for the project quotation.

Description

Name

The name of the customer or prospect that is associated with the project quotation.

Postal address

View or select an address that is associated with the customer or prospect.

Project ID

View or select the project that is associated with the project quotation. If you do not select a project, you can link it to a new or existing project after it is confirmed.

Transferred to forecast

If the check box is selected, the project quotation lines have been copied to a project forecast.

Transferred to item requirement

If the check box is selected, the project quotation lines have been copied to project item requirements.

Lines

This tab is displayed only in the line view of the form.

Add line

Add a new line to the project quotation.

Remove

Delete the selected project quotation line.

Project quotation line

Open a menu that contains the following items:

  • Copy from all – Copy lines from another quotation.

  • Supplementary items – View the mandatory and optional supplementary items that are associated with the selected line.

  • Attachments – View the document references and notes that are attached to the selected line. You can also display and create notes and documents, and modify and print existing documents.

  • Dimensions display – View the inventory dimensions that are associated with the selected line.

Inventory

Open a menu that contains the following items:

  • On-hand – View on-hand inventory for the current item by product and storage dimensions

  • Lot – Query receipt and issue transactions for the same lot number.

  • Transactions – View all of the inventory transactions for the item, represented as receipt or issue transactions.

  • Dimensions – Track inventory dimensions in one window.

Product and supply

For an item transaction, open a menu with options that allow you to configure the product model of the selected item or to view a report of the configuration.

Update line

Open a menu with the following item:

  • Based on BOM – Perform BOM calculations for a costing version.

Field

Description

Transaction type

(Required) View or select the transaction type for a new quotation line.

Project category

(Required) View or select the project category for a quotation line item. The options are based on the selected transaction type.

Sales category

View or select the sales category for an item transaction. This field is required for item transactions and will be automatically entered when an item number is selected.

Item number

View or select the item number for an item transaction. This is not required for category-based lines.

Worker

View or select the worker who is associated with the quotation line.

Quantity

View or select the quantity for an item transaction.

Unit price

View or select the proposed unit price for an item transaction.

Net amount

The extended amount for an item transaction.

Project date

The expected project quotation transaction date. Open the calendar to change the date.

Description

View or enter the description for a quotation line.

Line property

(Required) View or select the line property for the quotation line.

Site

View or select the site where the items are located. This field is required for an item transaction.

This tab is displayed only in the line view of the form.

(Required) The transaction type for a quotation line.

Project category

(Required) View or select the project category for a quotation line item. The options are based on the selected transaction type.

Worker

View or select the worker who is associated with the quotation line.

Description

View or enter a description for the quotation line.

Project date

The current date. Open the calendar to change the date.

Line property

(Required) View or select the line property for the quotation line.

Transferred to forecast

The check box is selected if the quotation line has been copied to a project forecast.

Transferred to item requirement

The check box is selected if the quotation line has been copied to item requirement.

Setup

Item sales tax group

View or select an item sales tax group for an item-type quotation line.

Sales tax group

View or select a sales tax group for an item-type quotation line.

Created date and time

The date and time that a quotation line was created.

Address

Name

View or enter the name of the customer or prospect that is associated with the project quotation.

Delivery address

View or select the delivery address identification for the customer or prospect delivery address that is associated with the project quotation line.

Address

The delivery address for the project quotation.

Price

Price unit

View or enter a price per unit for the quotation line.

Cost price

View or enter a cost price for the quotation line.

Financial dimensions

View information about financial dimensions, such as the default dimensions and where the dimensions are used in account structures and advanced rule structures.

Delivery

Requested receipt date

View or enter the date on which the order should be delivered to the customer.

Requested ship date

View or enter the date on which order should be shipped to meet the customer's requested receipt date.

Delivery date control

View or select a value to use to automatically calculate possible shipping and receipt dates.

Site

View or select the site where the selected item is located.

Warehouse

The warehouse where the selected item is located.

Location

The location in the warehouse where the selected item is located.

Pallet ID

The unique identifier for the pallet on which the selected item is located.

Overdelivery

View or enter a percentage by which the number of items that the customer receives can exceed the order quantity.

Underdelivery

View or enter a percentage by which the number of items that the customer receives can be fewer than the order quantity.

Mode of delivery

View or select the mode of delivery according to the means of transport that is relevant for the current quotation.

Product

Configuration

The model configuration for an item.

Size

The size of an item.

Color

The color of an item.

Batch number

Enter the batch number dimension. If you select Edit lines and Explode lines in the upper section of the Shipment form or the Receive form, you can change the batch number for the transfer order line.

Serial number

The serial number dimension. If you select Edit lines and Explode lines in the upper section of the Shipment form or the Receive form, you can change the serial number for the transfer order line.

Sub-BOM

View or select the BOM number for the specific sub-BOM. If this field is left blank, the active number is used.

Subroute

View or select the route number for a specific subroute. If this field is blank, the active number is used.

Product model number

View or select the product model identification.

Packing

Bar code

View or select the item's bar code in numbers. For information about setting up and using bar codes, see Bar codes (setup) (form).

Bar code setup

View or select the item's bar code type. For information about setting up and using bar codes, see Bar codes (setup) (form).

Item tagging

Select the check box if items must be tagged.

Case tagging

Select the check box if cases must be tagged.

Pallet tagging

Select the check box if pallets must be tagged.

Foreign trade

Transaction code

View or select the terms of trade for the current quotation line for use with the Intrastat form.

Transport

View or select a means of transport for the project quotation for Intrastat reporting.

Port

View or select the port where the current delivery is loaded. The port is used in Intrastat reporting.

Statistics procedure

View or select a code for the current statistical procedure for Intrastat reporting.

Triangular deal

Select the check box to indicate whether the project quotation is a triangular deal.

Commodity

The commodity code for an item.

Country/region of origin

The region for delivery.

State of origin

The state for the delivery.

Unit weight

The unit of weight for an item

General

Quotation

The unique identification number for the project quotation.

Name

View or enter the name of the customer or prospect that is associated with the project quotation.

Prospect

View or select the prospect for the project quotation.

Type ID

The selected prospect type.

Customer account

View or select the customer account that is associated with the order.

Invoice account

View or select the customer account number that will be invoiced for the project if the project quotation is accepted.

Contact

View or select the name of the contact.

Project ID

View or select the project that is associated with the project quotation.

Transferred to forecast

The check box is selected if a project quotation line is copied to a project forecast.

Transferred to item requirement

The check box is selected if a project quotation item is copied to item requirements.

Forecast model

The forecast model that will be used when quotation lines are copied to forecasts.

Quotation status

The status of the active project quotation.

Quotation type

The type of quotation. Quotation types include sales quotations, various project quotations, and service quotations.

Type

View or select the type of sale that the project quotation is for.

Expiration date

View or select the date by which the project quotation must be accepted.

Follow-up date

View or select the date on which to follow up on the project quotation with the customer.

Created date and time

The date and time that the project quotation was created.

Setup

This tab is displayed only in the header view of the form.

Field

Description

Sales tax group

View or select the customer’s sales tax group.

Tax exempt number

View or select the customer’s tax exempt number if the ordered goods are exempt from taxes.

Sales taker

View or select the worker who received the project quotation.

Sales responsible

View or select the worker who is responsible for the order.

Language

View or select the language for the project quotation. This language will be used for processing the quotation.

Sales unit

View or select a team of sales representatives who are responsible for a common project target.

Sales origin

View or select the default code for the sales origin. This code is copied from the Sales parameters field.

Group ID

The main categorization of a quotation template.

Template name

The unique name for the quotation template. The template name identifies the template so that you can select it when you create new quotations that are based on templates.

Active

Select this check box to activate the quotation template. Clear the check box to inactivate the quotation template. You cannot use a quotation template that has been inactivated.

Address

This tab is displayed only in the header view of the form.

Other address

Select a different address that the project quotation can be sent to.

View or enter the name of the customer or prospect that is associated with the project quotation.

Postal address

View or select an address to use as the delivery address.

Mode of delivery

View or select the mode of delivery according to the means of transport that is relevant for the current quotation.

Delivery terms

View or select the terms of delivery for the current quotation, such as FOB (free on board) or CIF (cost, insurance, freight). The terms of delivery specify delivery terms that are related to the change of ownership and costs of the delivery. The terms of delivery must exist in the Terms of delivery form.

Mode of delivery

View or select the mode of delivery according to the means of transport that is relevant for the current quotation.

Delivery terms

View or select the terms of delivery for the current quotation, such as FOB (free on board) or CIF (cost, insurance, freight). The terms of delivery specify delivery terms that are related to the change of ownership and costs of the delivery. The terms of delivery must exist in the Terms of delivery form.

Delivery reason

View or select the purpose of this order, such as sales, transfer to warehouse, or sample.

Reason for export

View or enter an explanation of why the goods are exported.

Price/discount

This tab is displayed only in the header view of the form.

Description

Currency

View or select the currency code that is used for the amounts and prices of the selected project quotation.

Payment

View or select the terms of the invoice payment for the project quotation.

Cash discount

View or select the cash discount terms of the invoice for the project quotation.

Price group

View or select the price group from which pricing on the quotation lines should be derived. This field is used for pricing on the quotation lines. This includes all line types.

The price group that you select is copied to a new project when you use the Link/Transfer wizard to create a new project. However, it does not change the project group selection when quotation lines are copied into an existing project. If you select a project ID on the quotation header, the price group will automatically be selected from the project. You can change that selection in this field.

This tab is displayed only in the header view of the form.

Time zone

The time zone of the shipping location.

Item tagging

Select the check box to indicate that item tagging is mandatory.

Case tagging

Select the check box to indicate that pallet tagging is mandatory.

Posting

This tab is displayed only in the header view of the form.

Reason

View or select the reason why a project quotation was won or lost or why a lead was qualified or disqualified.

Confirmation date

View or enter the date of the project quotation transaction.

Document title

View or select the title of the project quotation to include in the quotation document.

Document introduction

View or enter the introduction that you want to include in the quotation document.

Document conclusion

View or enter the conclusion that you want to include in the quotation document.

Foreign trade

This tab is displayed only in the header view of the form.

Transaction code

View or select the transaction code for the current quotation line. This information is used in the Intrastat form.

Transport

View or select the means of transport for shipments that are associated with the selected quotation line. This information is used in the Intrastat form.

Port

View or select the port where shipments that are associated with the current quotation line are to be loaded. This information is used in the Intrastat form.

Statistics procedure

View or select a code for the current statistical procedure for Intrastat reporting.

List code

View or select the list code for the current invoice. The list code is used in conjunction with the EU sales list report.

Reference

This tab is displayed only in the header view of the form.

Customer requisition

View or enter the customer requisition number.

Customer reference

View or enter the customer's reference information for the project quotation.

Sales order

The sales order number for the confirmed project quotation. This field contains a value only if the sales quotation has been converted to a sales order.

Campaign ID

View or select the unique identification for the campaign.

Call list ID

View or select the call list name that is used for telemarketing.

Opportunity ID

View or select the identification number of the opportunity for which the project quotation has been created.

Financial dimensions

This tab is displayed only in the header view of the form.
