Journal lines for hours (form)

Click Project management and accounting > Journals > Hour. On the menu bar, click Lines.

In Microsoft Dynamics AX, use this form to enter, revise, and delete hours on a project for an individual worker for a specific period of time. You can also use the form to record accrued hours for a project, and then automatically reverse the accrued hours on a specified date.

Fields

Field

Description

Project date

The hour registration date. If the field is left blank, the current date is automatically entered.

Project ID

The project number of the journal registration line.

Filter the list of projects to view.

Add an asterisk (*) to the end of a number to view a list of specific projects. For example, enter 21* to view a list of all projects that have 21 as the first two digits.

Tip

Select the Autocomplete check box in the Options form to enable the filtering feature.

Activity number

The identifier of the project activity.

Category

Select the category of the transaction. Only categories that are related to the transaction type are available. For example, for an hour journal line, only categories of the hour type are presented.

Worker

The identifier of the worker who is associated with the fee transaction.

Description

Enter a transaction text to describe the transaction. Alternatively, if you enter a predefined search name from the Journal descriptions text, a description of the transaction is automatically entered in the field.

You can use notes as an alternative to transaction text.

Transaction texts that are entered in this field are limited to 30 characters. To enter more text, you can apply the Document handling feature to attach a note to the transaction line.

To enable the Document handling feature, on the Microsoft Dynamics AX Tools menu, click Options..., and then select the Document handling active check box.

A note that is attached to a transaction line can be viewed on the hour registration, on an invoice proposal, and on the invoice.

Hours

Enter the quantity of hours to register on the current transaction line.

Line property

Select the line property that is attached to the journal line.

Reversing entry

Select this check box to create a reversing entry for the line. The line properties in the reversing entry are copied from the original entry. For example, if the line property for a line in the original entry is chargeable, the line property for the reversing entry is also chargeable.

If indirect costs are associated with the hours that you are reversing, the postings for the indirect costs are also automatically reversed.

This control is not available in versions of Microsoft Dynamics AX 2012 prior to cumulative update 6 for AX 2012 R2.

Reversing date

Select the date on which to automatically create and post a reversing entry. This field is available only if you select the Reversing entry check box.

Voucher

The ledger voucher number for the current line. The voucher is associated with the line's period and is updated when a new period is selected.

Example

A journal line has the voucher number 012456_1112 for week 39. When you update the transaction with a project date that is in week 40, the voucher number is changed to 012456_1113.

Voucher date

Enter the hour registration date. If the field is left blank, the current date is automatically entered.

Cost price

Enter the cost price per hour for the worker. Default cost prices are derived from the cost price that is set up for the current worker or from cost prices that are set up for the company.

Sales currency

The currency of the sales price. By default, the currency is derived from the invoice project to which the project is attached. This field is read-only if the Lock sales currency check box in the Project contracts form has been selected.

Sales price

Enter the sales price per hour for the transaction.

In Microsoft Dynamics AX 2012 and Microsoft Dynamics AX 2012 Feature Pack, manually entering a sales price overwrites any default sales price that has been set up for the worker.

In Microsoft Dynamics AX 2012 R2, if a worker’s cost price has been set up as an effective labor rate, the default cost price is always applied. Changes that you make in the Sales price field are not applied when you post the transaction.

The default sales price is derived from the sales price that was set up for either the current worker or the company.

Sales prices are set up in the Sales price form.

Note

The sales price only applies to and material projects.

Sales tax group

Select a sales tax group.

A default sales tax group can be derived from the project, project contract, or accounts receivable, depending on the selection in the Item sales tax group method field in the Project management and accounting parameters form.

Item sales tax group

Select an item tax group.

Start date

The start date of the period. If a period is attached to the worker specified on the line, the start date for the current period is entered here.

End date

The end date of the period.

Department

Select one of the three predefined dimensions in Microsoft Dynamics AX. Dimensions can be used in many locations throughout the system as sorting criteria.

The current definition of the three dimensions, Department, Cost center, and Expense purposes, can be changed in the database. You can also increase or reduce the number of dimensions. However, in order to guarantee uniform tracking functionality, you must decide how dimensions will be used before you start working with them.

Example

You can define your dimensions as follows:

  • Department: Sales department

  • Cost center: Retail sales group

  • Expense purposes: Sales representative number

With this setup, you can analyze the sales progress of individual sales representatives in the company.
