Contacts (form)

Click Sales and marketing > Common > Contacts > All contacts. On the All contacts list page, double-click a contact.

Use this form to record contact information for individuals.

The following tables provide descriptions for the controls in this form.

Set the status of the selected contact record to inactive.

Create a new contact record.

Add to Microsoft Outlook contacts

Add the selected contact to the list of contacts in Microsoft Outlook.

Customer

View the customer record that the selected contact is a contact for.

Vendor

View the vendor record that the selected contact is a contact for.

Prospect

View the prospect record that the selected contact is a contact for.

Attachments

View documents or notes that are attached to the selected contact.

Interests

View or enter the personal interests of the selected contact.

Professional experience

View or enter information about the selected contact’s professional experience.

Certificates

View or enter professional or educational certificates that the selected contact has acquired.

Courses

View or enter professional or educational courses that the contact has attended.

Education

View or enter information about the selected contact's education.

Positions of trust

View or enter information about any position or role that the contact performs that is outside the responsibilities of the contact's primary position.

Project experience

View or enter information about the projects that the selected contact has contributed to.

Skills

View or enter the skills of the selected contact. These skills can be used when you perform skill mapping.

Campaigns

View the campaigns that include the selected contact.

Calls

View the selected contact’s call log.

Call lists

View the call lists that include the selected contact.

Mailings

View the mailing lists that include the selected contact.

Quotations

View the quotations that have been created for the selected contact.

Sales orders

View the sales orders that have been created for the selected contact.

Leads

View the lead records that are associated with the selected contact.

Opportunities

View the opportunity records that are associated with the selected contact.

Transaction log

View the transaction log for the selected contact.

Activities

View, create, or update activities for the selected contact.

Description

Change name

Open the Name details form to change the name of the selected contact.

Note

This control is not available if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

Map

Open an online map for the selected address.

More options 
(On the Address FastTab)

Select the action to perform for an address record.

In Microsoft Dynamics AX 2012 R2, select from the following options:

  • Remove – Mark the selected address record as inactive.

    You can delete all inactivated addresses by running a batch job in the Delete inactivated addresses form.

  • Set defaults – Select the default address.

  • Advanced – Open the Manage addresses form.

In Microsoft Dynamics AX 2012, select from the following options:

  • Remove – Delete the selected address record from the list.

  • Deactivate – Set the status of the selected address record to inactive. The address record is not deleted.

  • Advanced – Open the Manage addresses form.

Select the action to perform for a contact information record.

In Microsoft Dynamics AX 2012 R2, select from the following options:

  • Remove – Delete the selected contact information record.

  • Set defaults – Select the default contact information record.

  • Advanced – Open the Edit contact information form.

In Microsoft Dynamics AX 2012, select from the following options:

  • Remove – Delete the selected address record from the list.

  • Deactivate – Set the status of the selected address record to inactive. The address record is not deleted.

  • Advanced – Open the Edit contact information form.

Fields

Description

Contact ID

The unique identification number of the selected contact.

Contact for

Enter the name of the party that the selected contact is the contact for.

Personal title

Select the personal title of the selected contact.

Display as

Select how the contact name is displayed. For example, a contact name can be displayed in the following order: last name, first name, middle name.

Address books

Select the address books that the contact is assigned to.

Language

Select the preferred language for the selected contact.

Address

View the formatted information for the selected address. This is the address that will appear on a printed document. The original address record may contain information that is not included in this view, depending on the specific country/region format.

Purpose

View the purpose of the selected address. For example, the address may be used for deliveries only, or for deliveries and services.

Primary

View whether the address is primary. A primary address is the principal postal address for the selected party. A primary address can also be the default address for the party.

Type

Select the method that is used to contact or communicate with the selected contact.

Contact number/address

Enter the number or address that corresponds to the type of contact information. For example, enter a telephone number or an e-mail address.

Primary

If this check box is selected, the contact information is primary. Primary contact information is the principal form of communication for the selected party. To select or clear this check box, click More options and then select Advanced.

Microsoft Outlook categories

Select the categories in Microsoft Outlook that include the selected contact.

Sensitivity

Select the sensitivity level of the projects that the selected contact is involved in.

Manager

Select the name of the selected contact's manager.

Employee responsible

Select the name of the employee in your organization who is responsible for working with the selected contact.

Direct mail

Select this check box to indicate that postal mail can be sent directly to the contact.

Organizational ID

Enter the organizational identification number that is assigned to the contact's organization.

Government ID

Enter the governmental identification number that is assigned to the contact's organization.

Mileage

Enter the distance, in miles, of the selected contact from your organization.

Skill mapping

Select this check box to include the selected contact in skill mapping.

Reason code

If you are excluding the selected contact from skill mapping, select the reason for the exclusion.

Loyalty

Select the loyalty level of the selected contact.

Decision

Select the level of input that the selected contact is allowed to have in decisions.

Character

Select a character assignment for the selected contact.

VIP

Select this check box to indicate that the selected contact is a VIP.

The value of the VIP check box can be used as a criterion to select contacts when you create campaign targets, mailings, and so on.
