Click Project management and accounting > Common > Projects > Project contracts. Select a project contract, and then click Edit in the Maintain group, or double-click the project contract.

Use this form to create and maintain project contracts. You can enter sources of funding, maintain the status of a contract, accrue revenue, post project costs, and create project invoices.

Additionally, you can specify details about funding for projects that are associated with a contract. For example, if a contract has multiple funding sources, you can set up a percentage of the total contract sales price for each funding source by project. You can also set up billing rules to automatically create preliminary project invoices when the work on a project reaches an agreed-upon status or milestone.

Project contracts contain invoicing information, such as accounts payable information and addresses. By using a project contract, you can invoice several projects at the same time. A project contract also helps guarantee that the same invoicing procedure is used for each subproject in a project structure. However, if you create a forecast on a subproject, the elimination date that is applied is the end date of the parent project.

Note

A subproject can inherit the project contract of the parent project. If you change the project contract of a parent project, you can manage which subprojects are affected by using the Update subprojects form. This form opens when you modify a project that has one or more subprojects.

View or modify the invoice frequency and language settings for the customer. Also view or modify settings for invoices, payments, currency, the project sales tax, and the price group for the customer.

Billing rules

View existing billing rules for projects, or open the Billing rules form to create or modify a billing rule.

You can use billing rules to automatically calculate the amount to bill a customer for work that is completed on a project. You can also add details to a billing rule, so that a customer invoice is automatically created for project transactions when a project reaches a specified status.

Funding sources

Specify funding sources for the project contract.

Funding limits

Set up and maintain funding limits for a project contract that has more than one funding source.

Funding rules

Set up and maintain funding rules and funding rule allocations for a project contract that has more than one funding source.

Enter Intrastat information and information about list codes for invoices.

Delete a forecast model, or delete specific transaction types from a forecast model.

Copy from forecast

Copy all transaction types or specific transaction types from one model to another.

Copy forecasts to ledger

Copy all transaction types or specific transaction types from a forecast model to a budget model for the general ledger.

Adjustment

Adjust project transactions that have been posted to a time and material project or the fixed-price project, but that are not yet included in an invoice proposal. You can adjust a whole transaction on one adjustment line. You can also adjust part of the transaction by dividing the transaction into multiple lines.

Manage contract status

Open the Contract status form, where you can add and modify the details and billing rules for the contract, such as the percentage of work completed on a project or the number of units delivered for a project.

Note

In Microsoft Dynamics AX 2012 R3, if a milestone billing rule is associated with a contract, you can set the status of a milestone to complete in the Contract status form.

Accrue revenue

Open a menu that contains the following items:

  • Time and material – Post accrued revenue transactions for a time and material project.

  • Accrue subscription revenue – Post or reverse accrued revenue for fee transactions. You can post accrued revenue per period or per individual subscription.

Post costs

Move costs that are related to transactions that have been posted, but not invoiced, between Profit and loss accounts and Balance accounts.

Index subscription

Update the base price and indexes for subscriptions.

Change BLWI code

Change the Belgisch-Luxemburgs Wisselinstituut (BLWI) code.

Note

(BEL) This control is available only to legal entities whose primary address is in Belgium.

Invoice proposals

View, edit, and post invoice proposals for the current project contract.

Invoice journals

View historical information about invoicing.

On-account transactions

Create on-account transactions for the current project contract.

Request retained amount

Open the Request for customer retained amount form, where you can create an invoice proposal to request payment from a customer for amounts that were withheld by the customer until work on a project reached a specified stage of completion.

Item tasks

View item requirements, purchase requisitions, purchase orders, production orders, sales orders, requests for quotations, and sales and purchase agreements for a project.

Pending transactions

View project transactions that are pending.

Posted transactions

View project transactions that have been posted.

Service

Open a menu that contains the following items:

  • Service agreements – View service agreements that are attached to the selected project contract.

  • Service orders – View service orders that are attached to the selected project contract.

  • Service subscriptions – View service subscriptions that are attached to the selected project contract.

Cases

View cases that are created for projects.

Project statements

View statements for a defined combination of project types and transaction types that are related to the selected project contract.

Invoice control

Calculate and display posted transactions types that are related to the selected project contract.

Cost control

Calculate and analyze the costs of a project or a set of projects that are related to the selected project contract.

Hour utilization

Calculate the rate of hour utilization for projects that are associated with the selected project contract.

Cash flow

Calculate forecasted and actual cash flow as it relates to the selected project contract.

Committed cost

View committed costs as they relate to the selected project contract.

Fields

Field

Description

Project contract ID

The identifier for the project contract.

Name

Enter the name of the project contract.

Sales currency

Select the currency code for the project contract. This currency is used as the sales currency for all projects that are attached to the current project contract. The sales currency is applied when hours, expenses, or fees are posted to a journal. The sales currency is also applied when sales orders and on-account transactions are registered.

Lock sales currency

Select this check box to indicate that journals must use the sales currency that is specified for this project contract.

Invoice frequency

Select the frequency with which the project is invoiced. The value that you select is used to calculate the invoice date for forecast transactions. The value is also used as a filter when invoices are generated.

Sales tax group

Select a sales tax group.

Price group

Enter the price group for the project contract.

Billing rule

Note

This control is available only if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

The identification number for the billing rule. The number is automatically assigned.

Billing rule type

Note

This control is available only if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

The type of billing rule that is represented by the billing rule line.

  • Milestone – Creates an on-account invoice for the sales value of a milestone on a specified date. Multiple milestone dates can be set up for a project contract.

  • Progress – Creates an invoice when a predetermined percentage of work is completed.

  • Time and material – Creates an invoice for hours, expenses, and materials that are spent for a project.

  • Fee – Creates an invoice for administrative fees based on a percentage of other costs on a project.

    A Fee type billing rule must be associated with another billing rule type. For example, a project contract has a Time and material billing rule. A fee billing rule can be created to calculate a fee that is equal to 10 percent of the sales value of actual Time and material transactions that are posted to the project. The total invoice amount is equal to the sales value of the actual costs plus the 10 percent fee.

  • Unit of delivery – Creates an invoice when a unit of delivery is completed as specified in the contract.

Unit

Note

This control is available only if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

The appropriate unit of measure for the item. For example, if the project consists of a series of seminars, the unit of measure is a seminar.

Note

This field is enabled only for a Unit of delivery line type.

Quantity

Note

This control is available only if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

The number of units, such as hours, included in the billing rule.

Note

This field is enabled only for a Unit of delivery line type for a billing rule.

Unit sales price

Note

This control is available only if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

The sales price for each unit of delivery.

Note

This field is available only for a Unit of delivery line type for a billing rule.

Contract value

Note

This control is available only if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

The calculated total amount to include in customer invoices for the billing rule.

This field is available only for a Progress or Unit of delivery line type for a billing rule.

Category

Note

This control is available only if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

The category to which the fee transactions are posted.

Note

This field is available only for a Progress, Fee, or Unit of delivery line type for a billing rule.

Fee percentage

Note

This control is available only if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

The percentage of the transaction amount to charge for management fees.

Note

This field is available only for a Fee line type for a billing rule.

Funding type

Select the type of funding that was received.

Customer

Select the identifier of the customer, organization, or grant that is serving as a funding source.

Grant customer

The organization that is the source of the grant.

Funding source ID

Enter an ID or name to help you identify this funding source when you set up funding rules and funding limit rules. The name or ID also identifies this funding source on reports.

Invoice address

Select the address to which project invoices are sent.

Language

Select the language that associated invoices are prepared in.

Customer payment retention terms

Select the customer payment retention terms that apply to the selected funding source.

Note

You can select customer payment retention terms only for a customer funding source.

Funding source

Select the name of the funding source for which you want to define a funding limit.

Project ID

Select the identifier of the project to which the funding rule or funding limit applies.

Activity number

Select the identifier of the activity to which the funding rule or funding limit applies.

Transaction type

Select the transaction type or types to which the funding rule or funding limit applies.

Category group

(Optional) Select a category group to which the funding rule or funding limit applies.

Category

If you specified a category group for the funding limit, select a category to which this funding rule or funding limit applies.

Worker

Select a worker to which this funding rule or funding limit applies.

Item number

Select an item number to which this funding rule or funding limit applies.

Amount

Enter the maximum amount that can be invoiced for the selected funding source for the selected funding limits line. Enter 0 (zero) to prevent transactions from being posted against the selected line.

Spent amount

Of the amount in the Amount field, the amount that has been allocated to date.

Priority

Enter a number to define the priority for applying the funding rule.

Project ID

(Optional) Specify the project that the selected funding rule is limited to.

Activity number

(Optional) Specify the activity that the selected funding rule is limited to.

Transaction type

Specify the transaction type or types that the selected funding rule is limited to.

Category group

(Optional) Specify the category group that the selected funding rule is limited to.

Category

(Optional) Specify the category that the selected funding rule is limited to.

Worker

(Optional) Specify the worker that the selected funding rule is limited to.

Item number

(Optional) Specify the item that the selected funding rule is limited to.

Start date

Enter a start date if you want the funding rule to apply only on or after this date.

End date

Enter an end date if you want the funding rule to apply only on or before this date.

Transaction code

Enter Intrastat information and information about list codes for invoices. An Intrastat declaration is the compulsory declaration of the movement of goods to or from other member states of the EU.

List code

The list code that is used in conjunction with the EU sales list.
