Vendor invoice journal (form)

Click Accounts payable > Inquiries > Journals > Invoice journal.

Use this form to view all posted vendor invoices. You can view information about each invoice, such as invoice number, invoice currency, and totals.

Overview

View a list of posted vendor invoices.

Lines

View the invoice lines for the selected invoice.

Remittance

View the name that was specified for the location where payments are sent and the mailing address of that location. This is the mailing address that is printed on remittances and checks.

Mandat de paiement

View information related to the mandat or bordereau de mandat to which the invoice line is assigned.

This control is available only if the following conditions are met:

  • The Public Sector configuration key is selected.

  • The French regulatory configuration subkey is selected.

  • In Microsoft Dynamics AX 2012 R3 Cumulative Update 8, the Commitments (France) regulatory document type is selected in the Budget parameters form, when the following hotfix is installed: KB3047235

  • In cumulative update 7 for Microsoft Dynamics AX 2012, the Use French public sector accounting rules check box is selected in the Budget parameters form.

In versions of Microsoft Dynamics AX 2012 prior to cumulative update 7, only the Public Sector configuration key must be selected, but the primary address of the legal entity must be in France.

Preview/Print

Open a menu that contains the following items:

  • Copy preview – View or print a copy of the printed vendor invoice that uses the current form setup parameters.

  • Original preview – View or print the original printed vendor invoice that uses the current form setup parameters.

  • Use print management – Reprint the vendor invoice that uses the current form setup parameters.

Voucher

View ledger transactions.

View distributions

Open the Accounting distributions form, where you can view accounting distributions for the vendor invoice journal header or line.

Subledger journal entries

Open the Subledger journal form, where you can preview the accounting entries of a document before it is journalized.

Charges

Open a menu that contains the following items:

  • Charges – Create, edit, or view any charges that were added to the selected invoice or the selected vendor invoice line.

  • Adjustment – Create, edit, or view adjustments to the charges that were added to the selected vendor invoice.

Transactions

View all posted transactions that are associated with the vendor account for the selected vendor invoice.

Posted sales tax

View posted sales tax transactions for the selected vendor invoice.

View Intra-Community invoice

View the intra-community invoice for the selected vendor invoice.

History

View any payment holds that are associated with this vendor invoice.

This control is available only if the following conditions are met:

  • The Public Sector configuration key is selected.

  • The French regulatory configuration subkey is selected.

Inventory

Open a menu that contains the following items:

  • Lot transactions – View the expected lot transactions for the item on the selected vendor invoice line.

  • Dimensions display – Select the inventory dimensions to display for items on the vendor invoice lines.

Purchase cost transactions

Open the Cost transactions form, where you can view cost transactions for the selected line. The cost transactions make up the invoice amount.

Tip

The total of the purchase cost transactions and the purchase indirect cost transactions is the inventory value of the associated inventory item.

Purchase indirect cost

Open the Indirect cost transactions form, where you can view indirect cost transactions for the selected line. The indirect cost transactions include costs for things such as transportation and insurance.

Tip

The total of the purchase cost transactions and the purchase indirect cost transactions is the inventory value of the associated inventory item.

Description

Invoice group

The invoice group that this invoice belongs to.

Note

This field is available only if the Activate invoice payment groups check box is selected in the Accounts payable parameters form.

Invoice account

The customer or vendor account number.

Purchase order

The purchase number that the invoice is attached to.

Date

The date of the invoice.

Invoice

The invoice number.

Voucher

The voucher number that the transaction is attached to.

Currency

The currency used for invoicing.

Sales tax

The total sales tax amount of the invoice.

Invoice amount

The total amount of the invoice.

Company

The identifier of the legal entity for an intercompany transaction.

Sales order

The identifier of the intercompany sales order.

Voucher

The identifier of the intercompany purchase order.

Payment group code

The payment group that this invoice belongs to.

Note

This field is available only if the Use invoice groups for this company check box is selected in the Accounts payable parameters form.

Purchase order

The purchase that the line is generated from.

Line number

The line number of the order line. The line number identifies the position of the order line in the list of order lines.

Item

The item number. This is a unique, user-defined code that is assigned when items are created.

Note

We recommend that you do not use special characters or spaces in the item number. Item numbers can be system-generated by linking the item number to the Number sequences form. For more information, see Number sequences (list page).

Procurement category

The category from the procurement category hierarchy. For product-based lines that are identified by a unique product number, the category is automatically derived from the product catalog. For description-based lines that are identified by a description and a category only, the category must be selected on the line.

Note

The procurement category is used to group similar goods for statistical purposes and might also govern how the transaction is posted and processed in the system.

Description

A free text description of the item. This is copied from the Text field on the purchase order. The item description is used on reports and on documents.

Quantity

The number of purchase units.

Unit price

The price per purchase unit.

Discount

The discount expressed as a currency amount.

Discount percent

The discount expressed as a percentage.

Amount

The total amount for the line in the currency of the transaction.

Sales tax included in amount

The sales tax that is included in the amount because sales tax is included in prices.

1099 box

Select the 1099 form on which to print the 1099 amount.

Note

(USA) This field is available only to legal entities whose primary address is in the United States. If the Public Sector 1099G or Public Sector 1099S configuration keys are selected, 1099-G or 1099-S options are displayed in this list. If you select G-2 or S-2, use the 1099 tab to enter additional details. For more information, see (USA) About year-end 1099 reporting.

1099 amount

The amount to be reported on the 1099 form.

Note

State/province

Specify the state for the delivery.

1099 state amount

The amount to be reported on the 1099 form.

Reason code

The reason for the transaction. For more information, see About financial reason codes.

Reason comment

The reason description, if one was provided.

Remittance location

The name that was specified for the location where remittances are sent.

Address

The mailing address that is printed on remittances and checks.

French public sector fields

Field

Description

Commitment

The identification number of the commitment that is referred to by this vendor invoice journal line, together with the commitment line number.

Reason code

If you selected the Invoice payment hold check box, select a code for the reason that the invoice payment was put on hold.

Reason codes can be created in the reasons forms. For more information, see Reasons (form).

Reason comment

A brief description of the reason code, if one was selected.

This is the default comment that was entered when the reason code was created in a reasons form. For more information, see Reasons (form).

Invoice payment hold

Select this check box to put the vendor invoice payment on hold.

For more information, see (FRA) Place or release vendor invoice payment holds (Public sector).

Mandat

The mandat that the invoice line is assigned to.

Invoice lines are assigned to mandats and bordereaux de mandat on the Maintain mandats de paiement form.

Bordereau de mandat

The bordereau de mandat that the invoice line is assigned to.

Invoice lines are assigned to mandats and bordereaux de mandat on the Maintain mandats de paiement form.

Date of issue

The date when the invoice line was assigned to the mandat.

If the invoice line includes a date of issue, but does not include a mandat number, that indicates that the accountant rejected the mandat, and the director has not yet assigned a new mandat number.

Withholding codes

The codes that indicate the reasons that the amount paid to the vendor was reduced by the director.

Withholding amount

The total amount that the accountant is to withhold from the payment. When the mandat is printed, this amount is combined with the Deduction amount to show the total amount by which the payment is reduced.

Deduction codes

The codes that indicate the reasons that the amount paid to the vendor was reduced by the accountant.

Deduction amount

The total amount that the accountant is to deduct from the payment. When the mandat is printed, this amount is combined with the Withholding amount to show the total amount by which the payment is reduced.

Director authorization status

The authorization status that the director assigned to the mandat de paiement.

There are three possible values:

  • Not reviewed – The director has neither authorized the accountant to pay the amount shown on the invoice line nor rejected the mandat.

  • Authorized – The director has authorized the accountant to pay the amount shown on the invoice line associated with the mandat.

  • Rejected – The director has rejected the mandat.

Director

The user who assigned the director authorization status.

Director date and time

The date and time when the director assigned the authorization status.

Accountant acceptance status

The acceptance status that the accountant assigned to the mandat de paiement.

There are three possible values:

  • Not reviewed – The accountant has neither accepted the invoice line for payment nor rejected the mandat.

  • Accepted – The accountant has agreed to pay the invoice line associated with the mandat.

  • Rejected – The accountant has rejected the mandat.

    When the accountant rejects the mandat, the Director authorization status changes to Not reviewed, and following fields are cleared:

    • Mandat

    • Bordereau de mandat

    • Director

    • Director date and time

Accountant

The user who assigned the accountant acceptance status.

Accountant date and time

The date and time when the accountant assigned the acceptance status.

Requisition order

Select this check box if the director requires that the mandat be paid after the accountant has rejected the mandat.

Memo

An explanation of, or supporting text about, the mandat or the requisition order.
