Print/post collection letters (form)

Click Accounts receivable > Periodic > Collections > Print/post collection letters.
Use this form to change, print, and post the collection letters that you generate in the Creation of collection letter form.

Navigating the form
The following tables provide descriptions for the controls in this form.

Overview |
View the collection letters that are not posted. These are sorted first by collection letter code, and then by the date when they were automatically generated. Note Each collection letter displays the highest collection letter code that is associated with the transactions that it includes. For example, if a transaction for a customer was included on a previous collection letter, the collection letter code is 2. Another transaction was not included on any other collection letters, and its collection letter code is 1. The collection letter proposal line displays 2, because that is the highest collection letter code for the transactions for the customer. |
General |
View or change additional information about the selected collection letter. |
Address |
View or change the address information for the selected collection letter. |
Transactions |
View or change the transactions that are included on the selected collection letter. For example, if the same customer has an invoice that was due 180 days ago and another invoice that is not yet due, you can exclude the invoice that is not yet due from the collection letter. |
Note |
View or change the note that is attached to the selected collection letter. |
Financial dimensions |
View information about financial dimensions, such as the default dimensions and where the dimensions are used in account structures and advanced rule structures. |

Voucher |
Open the Voucher transactions form, where you can view, by voucher number, the ledger transactions that are related to the selected collection letter. |
Cancel |
Open the Cancel collection letter note form, where you can cancel the selected collection letter. |
Post |
Open the Post collection letter note form, where you can post the selected collection letter. |

Select this check box to enable the Status and Printed fields. You can use these fields to filter the information that is shown in the form. |
Status |
Select a status to view collection letters for only the selected status. |
Printed |
Select this check box to view only printed collection letters. |
Collection letter |
The number of the current collection letter. |
Billing classification |
The billing classification for the collection letter. Note This control is available only if the Public Sector configuration key is selected. |
Date |
The transaction date of the current collection letter. This date is specified in the Collection letter date field in the Creation of collection letter form when you generate collection letters. |
Collection letter code |
The collection letter code for the collection letter. |
Customer account |
The customer account for the collection letter. |
Status |
The status of the current collection letter.

Printed |
If this check box is selected, the current collection letter has been printed. |
Name |
The name of the customer for the collection letter. |
Language |
The language of the collection letter. |
Payment ID |
The payment ID for the collection letter. |
Block |
Select this check box to block the customer from additional invoicing. Note Blocking must be canceled manually by clearing the Invoicing and delivery on hold check box in the Customers form. |
Posting profile |
The posting profile for the collection letter transaction. |
Currency |
The currency code for the collection letter. Note The currency used for the collection letter is always the currency that is specified in the Customers form. |
Fee |
The charge for the collection letter, excluding any sales tax. Note The currency used for the collection letter fee is always the currency that is specified in the Customers form. |
Voucher |
The voucher number in the ledger. When the collection letter is posted, this field is updated automatically. |
Reference |
The number sequence from which the current collection letter number originates. |
Terms of payment |
Select the payment terms for the collection letter transaction. Payment terms are set up in the Terms of payment form. |
Due date |
The due date of the collection letter transaction. |
Total |
The total amount for the collection letter transaction. |
Sales tax group |
The sales tax code for the collection letter. Specify the sales tax code for the customer in the Customers form. |
Item sales tax group |
The item sales tax group of the current transaction. Specify the item sales tax group for collection letters in the Collection letter form. |
Print code |
The sales tax code that is printed on the voucher. |
Sales tax amount |
The sales tax amount for the collection letter transaction. |
Printed |
The date that the collection letter was printed. |
Updated |
The date that the collection letter was posted. |
Canceled |
The date that the collection letter was canceled. |
Location ID |
The location identifier of the address. |
Name or description |
The name or description of the address. For example, a customer might have a billing address and a shipping address. |
Address |
The customer's address. This information is retrieved from the address that is associated with the invoice account and cannot be changed on the collection letter. |
Voucher |
The ledger voucher number for the transaction. |
Date |
The date of the transaction for which a collection letter is being issued. |
Invoice |
The invoice number for the transaction, if any. |
Due |
The due date for the transaction. |
Currency |
The currency code of the original transaction. |
Calculation amount |
The amount that the collection letter is calculated from. |
Balance |
The amount of the original transaction that is not yet settled. |
Issue collection letter |
Select this check box if you want the current overdue sum to be collected. |
Collection letter code |
The collection letter code to be included in the collection letter. |
Description |
The description from the transaction that is the basis of the collection letter. |
Note |
The note that is attached to the collection letter. |
Default financial dimensions |
The default financial dimensions for the main account. When you select a financial dimension value, the Where the %1 dimension is used field group displays where the dimension is used in account structures and advanced rule structures. |
Where the %1 dimension is used |
The account structures and advanced rule structures that use the financial dimensions that you selected in the Financial dimensions or Default financial dimensions field group. Note The name of the field depends on the selection in the Financial dimensions or Default financial dimensions field group. |
