Mailings (form)

Click Sales and marketing > Periodic > Mailings > Mailings.

Use this form to display an overview of the status of existing mailings in the system and to create mailing files or e-mail distribution groups.

The following tables provide descriptions for the controls in this form.

Filters

Description

Show all

Select this check box to view all the mailings that are registered in the system, regardless of status.

Status

Select a status to view only the mailings that currently have that status.

View more detailed information about the selected mailing and its mailing data, status data, and business-relation data.

Inquiry

Open a menu that contains the following items:

  • Prospect details – Open the Prospects form, where you can view the prospects to which the selected mailing recipient is attached.

  • Customers – Open the Customers form, where you can view the customers to which the selected mailing recipient is attached.

  • Vendors – Open the Vendors form, where you can view the vendors to which the selected mailing recipient is attached.

  • Contact details – Open the Contacts form, where you can view the contact-person data for the selected mailing recipient.

  • History – Open the History form, where you can view all prior mailing files that contain the selected mailing recipient.

Functions

Open a menu that contains the following items:

  • Create mailing file – Create a mail-merge file that is based on all the recipients who are displayed in the grid.

    If the grid is filtered to display specific mailing lists, only those mailing lists are used to create a mail-merge file.

  • Create e-mail group – Create an e-mail distribution group that is based on all the recipients who are displayed in the grid.

    If the grid is filtered to display certain mailing lists, only those mailing lists are used to create the e-mail distribution–group file.

  • E-mail distribution – Open the E-mail distribution form, where you can select an e-mail distribution group and send an e-mail message to the members of that group.

Icons

If a mailing has a Status of Not sent and a Planned date of today or tomorrow, an icon that is a yellow triangle with an exclamation mark appears in the column on the left side of the grid.

When the system date exceeds the value in the Planned date field, the icon changes to a red circle with a white cross.

Fields

Field

Description

Category

An abbreviation or code for the mailing category.

Item

Select the item for a given mailing. For each category, there is a separate list of mailing items.

Use the Mailing items (form) to add a new item to a category. Use the Mailing category (form) to add new categories.

Recipient

The name of the mailing recipient and the contact who is associated with the recipient.

Status

Indicates whether the mailing is sent, is not sent, or is a regular mailing.

A regular mailing is a mailing that is sent more than one time, such as a newsletter or a holiday greeting.

Planned date

The date on which the mailing is planned to be sent.

Date sent

The date on which the mailing is sent.

Contact

The name of the contact for the mailing.

Mailing number

The number for the mailing.
