Document handling (form)

Click File > Command > Document handling.

Use this form to view the document references and notes attached to a selected record. You also can display and create notes and documents, and edit and print existing documents from this form.

Note

When you select the URL option, you are attaching a reference to a document that is stored on a network server. This document is not stored in the Microsoft Dynamics AX database.

Open

Open the attached document.

Setup

Set up default options for document handling. For more information, see Options (class form).

Functions

  • Lock/Unlock - Lock or unlock the information in this form.


     Example

    If this form and the Worker form are open at the same time, the document references for the worker are displayed, and then the information changes when you select another worker. If you select a worker and then lock the view of this form, you can select another worker without changing the view in the form.

  • Copy - Copy the selected document reference to another record or to several other records. To copy, select the document reference that refers to the file, and then click Copy.

  • Paste - Add the copied document reference to the selected record. Note that if this form is locked, the document reference is pasted into the original worker’s document references, but not into the worker’s document references that are currently displayed.

  • Paste to all - Add a single copied document reference to multiple documents. To select multiple records, press CTRL while you select additional records.

Inquiries

  • References - View all records that refer to the same document.

  • Temporary files - View document reference files that are in use, but not yet stored or written to the database. Select the temporary files individually or as a group to write them to the database.

Select All to view all document references, or select User to only view the document references that you created.

Show references only

Select this check box to hide the tabs and buttons and display only the document references and notes.

Show file

Select this check box to display the selected document reference attachment or note in the note pane of this form.

You can display all file types supported by Microsoft Internet Explorer, such as .gif, .doc, .xls, and .txt files.

Created date and time

The date and time that the document reference was created.

Type

The type of attachment.

You cannot change the attachment type after the record has been created.

Description

Enter the description of the document reference.

Restriction

Specify if the document reference should be used only internally or externally. For example, an external document might be an invoice.

Attached

Indicates if a document or file is attached to the selected document reference.

Note

URL type documents cannot be attached and stored in the Microsoft Dynamics AX database. The documents can only be referenced via a URL.

Reference table ID

The ID of the table that contains the reference transaction.

Reference record ID

The record ID of reference transaction.

Company account

The ID of the company accounts that the record refers to.

Created by

The user name of the person who created the document reference.

File type

The file name extension of the attached file.

File name

The path for the original file.
