Managed content settings help you control how the contents of managed folders are handled. By applying managed content settings to managed folders, you can control the contents in ways that are not possible with folders that do not have managed content settings. For example, the managed content settings that you apply to a user's Inbox folder could specify that its contents should be automatically deleted or moved to another folder after 60 days. For more information about managed folders and managed content settings, see Understanding Messaging Records Management.

Use the Introduction page of the New Managed Content Settings wizard to specify the name, message type, and expiration settings of new managed content settings.

Note

You can also use the Exchange Management Shell to create new managed content settings. For more information, see New-ManagedContentSettings.

  • Name of the managed content settings to be displayed in the Exchange Management Console
    Use this box to type the name of the new managed content settings. The name can be up to 64 characters in length.
  • Message type
    Use this list to select the message type to which the new managed content settings will apply. The options are:

    • All Mailbox Content (default)

    • Calendar Items

    • Contacts

    • Documents

    • Faxes

    • Missed Calls

    • Voicemail

    • Journal Items

    • Meetings Requests, Responses, and Cancellations

    • Notes

    • Posts

    • RSS Items

    • Tasks

    Note

    You can use the Exchange Management Shell to apply managed content settings to message classes that are not listed on this wizard page. By using the New-ManagedContentSettings cmdlet with the MessageClass parameter, you can specify a custom message class or a message class such as IPM.NOTE.SMIME. For more information, see New-ManagedContentSettings.

  • Length of retention period (days)
    Select this check box to specify that items have a retention period. In the box to the right of the check box, type the number of days of the retention period. (The range of values is from 1 through 24,855 days).
  • Retention period starts
    After selecting the Length of retention period (days) check box, you can use this list to select when the retention period starts. The choices are:

    • When delivered, end date for calendar and recurring tasks (This is the default choice.)

    • When item is moved to the folder

  • Action to take at the end of the retention period
    After selecting the Length of retention period (days) check box, you can use this list to select what should happen to an item when the retention period is exceeded. The choices are:

    • Move to the Deleted Items Folder (This is the default choice.)

    • Move to a Managed Custom Folder

    • Delete and Allow Recovery (Recovery is by means of the Recover Deleted Items feature in Microsoft Outlook.)

    • Permanently Delete

    • Mark as Past Retention Limit (This setting makes items render as gray, strikethrough text in Microsoft Outlook.)

  • Move to the following managed custom folder
    If you select Move to a managed custom folder in the Action to take at the end of the retention period list, click Browse to select the managed custom folder to which items that are past their retention settings will be moved.

    Note

    You can only select managed custom folders that already exist. You cannot create a new managed folder in this step. You can create managed custom folders by using the New Managed Custom Folder wizard or by using the New-ManagedCustomFolder cmdlet in the Exchange Management Shell.
