Reply To or Forward a Meeting Request

Other people may invite you to meetings. These invitations appear in your Inbox as meeting requests.

How do I respond to a meeting request?

  1. Click the meeting request to view it in the Reading Pane.

  2. Click one of the following options at the top of the meeting request.

    accept meeting invitation

    Accept

    Accepts the meeting and adds it to your calendar. Other people looking at your schedule can see that you're busy during the meeting time.

    tentatively accept

    Tentative

    Accepts the meeting but indicates you may not attend it. The meeting is also added to your calendar. But other people looking at your schedule can see you have only a tentative engagement at that time.

    decline

    Decline

    Declines the meeting. Nothing is added to your calendar. This also deletes the meeting request from your Inbox.

  3. Clicking accept meeting invitation Accept, tentatively accept Tentative, or decline Decline opens a menu that lets you select Edit the response before sending, Send the response now, or Don't send a response. Click the option you want to use.

  4. If you have a conflict or an adjacent meeting, you'll see a banner in the heading of the meeting request. Click the banner to view the details of the conflicting or adjacent meeting.

  5. If you select Edit the response before sending, a message window that's addressed to the sender of the meeting request opens. To add more recipients to your meeting response, type their names on the To and Cc lines. Type a message in the text box. For example, you can explain why you may not attend the meeting.

  6. When you're finished writing your response, click send Send.

How do I reply to a meeting request with a message?

You can reply to a meeting request without accepting or declining the invitation.

  1. To send a message only to the meeting organizer, click Reply reply in the meeting request.
  2. To send a message to everyone who was invited, click Reply All .
  3. In the message body, type your reply, and then click send Send.

How do I forward a meeting request?

You can forward a meeting request to someone who should attend the meeting but didn't receive the original invitation.

  1. In the meeting request, click Forward forward.
  2. On the To line, type the name or alias of the recipient, and then click Check Names to resolve the name. If you don't know the recipient's name, click To so you can open the Address Book and search for the recipient in your organization's shared address book or your Contacts folder.
  3. Click send Send.

What else do I need to know?

  • To check your schedule for the day of a meeting before you accept the meeting invitation, click Calendar in the Navigation Pane. The meeting appears in your Calendar marked as Tentative.
  • You can respond to a meeting request by opening it and selecting the accept meeting invitation Accept, tentatively accept Tentative, or decline Decline button at the top of the request.
  • After you've accepted a meeting request, you can decline it or change your response to Tentative by right-clicking the meeting in your calendar.
  • If you select Don't send a response when you accept or decline a meeting, the meeting organizer won't know whether you're going to attend.
