Understanding the Synchronize E-mail task

To immediately send SMTP e-mail, use the Synchronize E-mail task. If the Microsoft Connector for POP3 Mailboxes is configured, the Synchronize E-mail task also retrieves e-mail from POP3 mailbox accounts and delivers it to Exchange user accounts through either a user mailbox or a global mailbox.

Using the Synchronize E-mail task does not affect the regular schedule that you set up for sending and receiving e-mail.

Task requirements

To run the Synchronize E-mail task, you must be a member of the Domain Admins security group.

If you run the Synchronize E-mail task and receive an error that the command could not be sent to the Exchange server, verify that Exchange server services are running, and ensure that you have run the Configure E-mail and Internet Connection Wizard (CEICW) to configure your SMTP e-mail connector. For more information about running the wizard, see Connect to the Internet.

The following services must be running for e-mail transfer to occur:

  • Microsoft Exchange Information Store
  • Microsoft Exchange Routing Engine
  • Microsoft Exchange System Attendant
  • Simple Mail Transfer Protocol (SMTP)
  • Microsoft Connector for POP3 Mailboxes

To verify that these services are running, use the Services snap-in. To open the Services snap-in, click Start, click Run, and then type Services.msc.

If verifying that the services are running does not resolve the problem, review the Application log in Event Viewer. To open Event Viewer, click Start, click Run, and then type Eventvwr.msc.
