Configuring Desktop Sharing

In order to support desktop sharing for users of the 2007 R2 version of Communicator Web Access, you must create DNS host (A) and canonical name (CNAME) records as described in Active Directory and Domain Name Service Requirements. You must create and install certificates with the appropriate subject name and subject alternate name as described in Preparing Certificates for Communicator Web Access. You must also configure the Office Communications Server meeting policy as described in Managing Support for On-Premise Web Conferencing Meetings in the Office Communications Server 2007 documentation.

Communicator Web Access applies the following Office Communications Server meeting policy settings to desktop sharing sessions:

  • Maximum meeting size. This setting must be configured.
  • Enable web conferencing. This setting must be enabled.
  • Enable program and desktop sharing. This setting must be enabled.
  • Allow control of shared programs or desktop. This setting must be enabled to allow users outside your organization (anonymous participants) to take control of a shared program or desktop in a sharing session.

If you want to support desktop sharing for anonymous participants, which include federated users and users of a public IM service provider, you must create an external virtual server and the required DNS records for that server.

The Microsoft Office Communicator Web Access Plug-in must be installed on any computer that hosts desktop sharing. The files required to run the Office Communicator Web Access Plug-in are automatically installed with each Communicator Web Access server. The first time a user initiates desktop sharing, Communicator Web Access will run the installer for the plug-in. Authenticated users will access the plug-in installer files on the Communicator Web Access server, while anonymous users can download the plug-in installer files from Microsoft Download Center.
