Adding an Organization Profile

You use the Organizations module to add organization profiles to your site. You can specify information for the organizations, such as their identification and contact information, and the catalog set that you are making available to them.

You must have access to the Profiles modules to make changes to site terms, profile definitions, and profiles. For information about Business Desk permissions, see About Business Desk Security.

  • Your New Organization screen might not contain the same properties that are shown in this procedure. If you have changed the properties in the Organization profile definition, those changes appear in the New Organization screen. For information about changing the properties of a profile definition, see Managing Profile Definitions.

To add an organization profile

  1. In Profiles, click Organizations.
  2. In the Organization screen, click Add on the toolbar.
  3. In the New Organization screen, in the General information section, do the following:
    Use this To do this
    Name Type the name of the organization. Organization names can be up to 53 alphanumeric characters long. The name can contain spaces.
    Trading partner number Type the number of the organization or trading partner.
    Administrative Contact From the drop-down list, specify if you want to Create a new profile or Insert an existing profile in the Administrative Contact property.

    If you select Create a new profile, the New User Object screen is displayed. For information about creating a new user profile, see Adding a User Profile.

    If you select Insert an existing profile, the User Object screen is displayed. To embed the user profile in the Administrative Contact property, select the user from the Filtered View list, and then click Select on the toolbar. For information about finding a user, see Finding a User Profile.

    Receiver From the drop-down list, select the person to receive products shipped from the supplier for the organization. If the user is not in the drop-down list, specify if you want to Create a new profile or Insert an existing profile for the receiver of the new organization.

    If you select Create a new profile, the New User Object screen is displayed. For information about creating a new user profile, see Adding a User Profile.

    If you select Insert an existing profile, the User Object screen is displayed. To embed the user profile in the Receiver property, select the user from the Filtered View list, and then click Select on the toolbar. For information about finding a user, see Finding a User Profile.

    Organization catalog set From the drop-down list, select the catalog set you want the organization to have access to.
  4. In the Purchasing section, do the following:
    Use this To do this
    Purchasing manager From the drop-down list, specify if you want to Create a new profile or Insert an existing profile in the Purchasing manager property.

    If you select Create a new profile, the New User Object screen is displayed. For information about creating a new user profile, see Adding a User Profile.

    If you select Insert an existing profile, the User Object screen is displayed. To embed the profile in the Purchasing manager property, select the user from the Filtered View list, and then click Select on the toolbar. For information about finding a user, see Finding a User Profile.

  5. To save the organization and return to the Organization screen, click Save and go back on the toolbar.

The organization profile is saved with a specified administrative contact, receiver, and purchasing manager.
