Editing SharePoint Workspace account configuration e-mail

The article describes how to create and manage Groove Server Manager e-mail templates for the e-mail that Groove Server Manager sends to users to configure their Groove account or to recover an account.

These procedures require that Groove Server Manager is installed as described in Install and configure Groove Server 2010 Manager.

Creating Groove Server Manager e-mail templates

The domain E-mail tab lets server and domain administrators create templates for the e-mail that the Groove Server Manager sends to SharePoint Workspace users so that they can configure their accounts or recover a backed up account file. You also have the option of saving this e-mail as a default template.

To create a Groove Server Manager e-mail template

  1. Log on to the Groove Server Manager administrative Web site and select your management domain in the navigation pane.

  2. Click the E-mail tab for the domain. The domain E-mail page appears with a list of previously defined e-mail templates.

  3. Select Add E-mail in the toolbar. The Add E-mail window appears.

  4. Enter the requested information in the fields as shown in the following table, and then click OK. Only the Save E-mail As field is required to save this e-mail; all fields are required to send:

    E-mail Type

    Select one of the following e-mail types from the drop-down menu:

    Account Configuration E-mail - E-mail sent to SharePoint Workspace users to accompany Groove account configuration codes.

    Account Restoration E-mail - E-mail sent to SharePoint Workspace users to accompany a file that contains backed up account information needed to restore the user account.

    Save E-mail as

    Required Field. Enter the name of the e-mail message that you want to create. You can then use this e-mail when you want to send a SharePoint Workspace user a managed identity or account backup file.

    Note

    When you enter a name in this field to save an edited e-mail, clicking OK renames the edited e-mail to the new name, instead of creating a copy and saving it under the new name.

    E-mail From

    Enter your e-mail address if you want.

    E-mail Subject

    Enter the subject of the e-mail, such as Account Configuration.

    E-mail Body

    Enter the desired text explaining that you are sending an account configuration code that will supply a new SharePoint Workspace identity that enables access to the enterprise SharePoint Workspace environment.

    When this message goes out as default e-mail, the Groove Server Manager automatically includes the account configuration code, Groove Server Manager name, and new identity name.

    Make this e-mail the default for this activity

    Select this option to make this e-mail message the default e-mail for distributing account configuration codes or account backup files. This message will replace the current default e-mail.

    Leaving this check box unchecked retains the current default e-mail.

Editing or deleting Groove Server Manager e-mail templates

You can edit or delete Groove Server Manager e-mail templates from the E-mail tab, as described in the following procedure.

To edit or delete a Groove Server Manager e-mail template

  1. Log on to the Groove Server Manager administrative Web site and select your management domain in the navigation pane.

  2. Click the E-mail tab. The domain E-mail page appears with a list of e-mail templates.

  3. To edit e-mail templates that you have created and saved, click the e-mail template that you want to edit. In the resulting Edit E-mail page, edit the fields as described in Creating Groove Server Manager e-mail templates and then click OK.

  4. To delete Groove Server Manager e-mail templates that you have created and saved, select the e-mail templates that you want to delete, and then click Delete Selected E-mail in the toolbar. Note that clicking the top box selects all the templates.
