Project budget balances (form)

Click Project management and accounting > Common > Projects > All projects. Select or open a project. On the Action Pane, on the Control tab, in the Monitor group, click Project budget balances.

Click Project management and accounting > Common > Projects > All projects. Select or open a project. On the Action Pane, on the Plan tab, in the Budget group, click Project budget. In the Project budget form, on the Action Pane, on the Budget tab, in the Related information group, click Project budget balances.

Click Project management and accounting > Common > Projects > All projects. Select or open a project. On the Action Pane, on the Plan tab, in the Budget group, click Project budget. In the Project budget form, on the Action Pane, on the Budget tab, in the Revise group, click New revision. In the Project budget revision form, in the Related information group, click Project budget balances.

Use this form to view the balances of budgeted and actual revenues and costs for a project.

If any subprojects exist, you can view them in the left pane. If you select a subproject, the Project budget balances form displays information only for the subproject that you selected. If you select the parent project, the form displays information for the project and all of its subprojects.

The right side of the form displays the following three types of information:

  • Revenues – The revenue part of the budget.

  • Costs – The cost part of the budget.

  • Net performance – The difference between the total revenues and total costs.

    Note

    If no revenues are budgeted for the project, the Net performance list contains no information.

The following tables provide descriptions for the controls in this form.

Group by

This control is available only if Microsoft Dynamics AX 2012 R3 is installed.

Select the view by which you want to see budget balances summarized.

For example, if you select Transaction type, the form displays budget balance amounts for each type of transaction that has been incurred on the project.

Cost template

This control is available only if Microsoft Dynamics AX 2012 R3 is installed.

Select the cost template that you want to base your view of the budget balances on.

This control is available only if you select Cost template in the Group by field.

Show carry-forward amounts

Select the check box to add a column that displays the amount that was carried forward from the previous budget year for each transaction type.

Filter

Specify the period that you want to display the budget for.

  • None – Do not filter transactions by date. Include all project transactions.

  • Project-to-date – Include transactions from the start of the project to the current date.

  • Current year – Include only transactions that occurred during the current project year.

  • Custom range – Include transactions that occurred during a specified range of dates.

    Note

    To display the filtered settings, click Filter after you enter the starting and ending dates.

Start

The first date in a custom range of dates. Only transactions that occurred on or after this date are displayed.

Note

This field appears only if you select Custom range in the Filter field.

End

The last date in a custom range of dates. Only transactions that occurred on or before this date are displayed.

This field appears only if you select Custom range in the Filter field.

Description

The transaction type.

  • Expense – Amounts that are related to expense transactions.

  • Fee – Amounts that are related to fee transactions.

  • Hour – Amounts that are related to hour transactions.

  • Item – Amounts that are related to item transactions.

  • Total revenue – The total amount of each column in the Revenues section.

  • Total cost – The total amount of each column in the Costs section.

Original budget

The amount that was originally budgeted for a transaction type.

Approved revisions

The sum of all revisions for a transaction type.

Unapproved revisions

The sum of all revisions that have not yet been approved for a transaction type.

Carry-forward

The sum of all amounts that were carried forward for a transaction type.

Note

This column appears only if you select the Show carry-forward amounts check box.

Approved budget

The current budget amount for a transaction type. This amount includes the original budget and any approved revisions or amounts that were carried forward.

Actual revenues

The sum of all revenue transactions for a transaction type.

Commitment

The sum of all committed costs for a transaction type. For revenues, this amount represents the expected revenues that are associated with committed costs.

Remaining budget

The amount that remains in the budget for a transaction type.

Actual costs

The sum of all cost transactions for a transaction type.

Amount

Select this option to display the information in the Net performance section in currency amounts.

Percentage

Select this option to display the information in the Net performance section as percentages.

Original target profit

The difference between the total revenues and total costs in the Original budget column.

Revised target profit

The difference between the total revenues and total costs in the Approved budget column.

Current performance

The difference between the actual total revenues and actual total costs.

Variance from revised targets

The difference between the amounts in the Current performance and Revised target profit columns.
