Global address book parameters (form)

Click Organization administration > Setup > Global address book > Global address book parameters.

Use this form to set the default values and security policies for address books and to select privacy settings for address and contact information records.

Set up global address book parameters

The following tables provide descriptions for the controls in this form.

General

Select the default name sequence, party type, and other default parameters for new records that are added to the global address book.

Security policy options

Select whether security policies and access to address books are enforced by team or by legal entity.

Private location security

Add or remove user privileges to view address and contact information records that are marked as private, as well as information about a worker’s personal contacts.

Assign teams

Select the teams to which you want to grant privileges to an address book.

Name sequence

Select how the directory record name appears by default, if the record name represents a person.

Delete parties with no roles

Select this check box to delete a party record from the address book if the record has been deleted as another entity. For example, if you delete Party 123’s customer record from the All customers list page, Party 123 is no longer a customer in your organization but Party 123 is still in your address books. If you select the Delete parties with no roles check box, Party 123’s party record will be deleted from any address books with which it is associated.

Use duplicate check

Select this check box to search for duplicate records in the address book when a new record is created.

Display DUNS number on addresses

Select this check box to display the organization’s Data Universal Numbering System (DUNS) number on the address record.

Check for unique DUNS number

Select this check box to verify that a DUNS number is unique when it is entered for a party record.

Select default record type for entities

Select the default party record type to use when you create a new record.

Secure by legal entity

Select this check box to restrict access to the address books by legal entity. If you select this check box, when a new party record is created, workers can view only those parties that play a role in the legal entities that they have access to. This is also true when workers view records in a party list page.

Secure by address book

Select this check box to restrict access to the address books by team. If you select this check box, you must select the teams that can access each address book. When you grant a team access to an address book, team members can view the records in that address book.

Available roles

Select the available roles that you want to allow access to private address and contact information. You can allow access to a role at any time.

Selected roles

The roles that have been granted access to private address and contact information. These roles can be removed at any time.
