Request for quotation details (form)

Click Procurement and sourcing > Common > Requests for quotations > All requests for quotations. To create a new request for quotation (RFQ), on the Action Pane, on the Quotation tab, click Request for quotation. To modify an RFQ, select an RFQ in the list, and then on the Action Pane, on the Quotation tab, click Edit.

Use this form to create and manage a request for quotation.

View the information in the RFQ header.

Request for quotation lines

View, and add or remove products in the lines of an RFQ.

Vendor

Select vendors to send the RFQ to.

Address

Enter the address for delivery of the products.

Price/discount

Enter the currency, terms of payment, and method of payment for the RFQ.

Financial dimensions

View information about financial dimensions, such as the default dimensions and where the dimensions are used in account structures and advanced rule structures.

Copy from

Open the Copy from all (form), where you can copy lines from another RFQ or other vendor document.

Configure request for quotation reply

Select the type of information that you want to receive from vendors when they reply to RFQs.

Compare replies

Open the Compare request for quotation replies (form), where you can compare replies from vendors to an RFQ.

Totals

Open the Request for quotation totals (form), where you can view the total for a selected field in the lines of an RFQ, such as the total quantity of products.

Manage charges

Open the Charges transactions (form), where you can manage incidental charges, such as freight, on an RFQ.

Request for quotation journals

Open the Request for quotation journal (form), where you can view the postings for an RFQ.

Planned purchase orders

Open the Planned purchase orders list page, where you can view the purchase order, if any, associated with the selected RFQ.

Add line

Add another product to the RFQ.

Remove

Delete the selected line.

Details

Open the Line details view, where you can view information for the line, such as prices, discounts, associated project, product dimensions, project and financial dimensions. See the descriptions for the tabs and fields that are specific to the Line details view, in the Line details section later in this topic.

Set up

Open the Charges transactions (form), where you can add charges, such as freight, to the line.

Functions

Open a menu with the following items:

  • Copy from lines – Copy lines from another document into the RFQ.

  • Explode BOM - Display the underlying bill of materials (BOM) lines in the selected RFQ.

Inventory

Open a menu with the following items:

  1. Transactions – Open the Inventory transactions (form), where you can view transaction details for an inventory item line.

  2. On-hand – Open the On-hand inventory (form), where you can view the current on-hand quantity of an inventory item line.

  3. Lot – Open the Lot (form), where you can view transactions for the lot that contains the selected inventory item.

  4. Trace - Open the Trace inventory dimensions (form), where you can select inventory dimensions to display for an inventory item.

  5. Dimensions display – Open the Dimensions display (form), where you can select dimensions to display on the RFQ reply.

Vendor search

Open the Vendor search criteria (form), where you can search for a specific vendor name or a vendor attribute, such as an address.

Add address

Open the Address form to create a new delivery address record for the selected RFQ.

Other address

Open the Address selection form to select a different delivery address for the selected RFQ.

Buyer group

Select the buyer group assigned to the requester.

Requester

The person who requested the products in the RFQ.

Language

Enter the language for the RFQ. The default is the company language.

Expiration date

The date by which you want to receive vendor replies to the RFQ or RFQ line.

Prices include sales tax

Select this check box to include sales tax in prices.

Delivery date

Enter the date by which you want vendors to deliver the items in the RFQ.

The delivery date applies to the RFQ as a whole. When you create RFQ lines, the delivery date is automatically copied from the RFQ header to the lines. You can change the delivery date on the lines.

Mode of delivery

Select a mode of delivery for the products in the RFQ.

If you leave the field blank, the mode of delivery is retrieved from the profile of each vendor to whom you send the RFQ, and copied to the RFQ reply header. If you select a mode of delivery, the selected mode of delivery is copied to the RFQ reply, and not retrieved from the profile of each vendor.

Delivery terms

Select the delivery terms.

If you leave the field blank, the delivery terms are retrieved from the profile of each vendor to whom you send the RFQ, and copied to the RFQ reply header. If you select delivery terms, the selected delivery terms are copied to the RFQ reply, and not retrieved from the profile of each vendor.

Vendor account

Select a vendor account from a list of all vendors.

Lowest status

Highest status

The lowest and highest statuses indicate whether an RFQ has been sent to vendors and at what stage in the process it is.

The hierarchical order of statuses is as follows:

  • Created

  • Sent

  • Received

  • Accepted

  • Canceled

  • Rejected

E-mail

Enter the e-mail address for the vendor contact.

Vendor portal

Indicates if the vendor has access to RFQs in the vendor portal. For more information about the vendor portal, see Key tasks: Manually set up user access to the Vendor portal.

Delivery name

The name or company name on the delivery address.

Delivery address

Select the delivery address for the items that are listed in the RFQ.

Address

View the formatted information for the selected address. This is the address that will appear on a printed document. The original address record may contain information that is not included in this view, depending on the specific country/region format.

Currency

The currency code of your company. The currency is automatically copied from the RFQ header to each line. You can change the currency on each line.

Terms of payment

The terms of payment are automatically copied from the Procurement and sourcing parameters (form). You can change the payment terms for each line.

Method of payment

Select the method of payment.

Template ID

Select an allocation template to distribute the cost of a product to multiple dimensions. For example, you can use a template to allocate the cost of office supplies to multiple cost centers.

Line type, on the Request for quotation lines FastTab

Select the line type:

  • Item – An item that is tracked as inventory in Microsoft Dynamics AX and has an item number.

  • Category – An item selected from a procurement category.

Procurement category

Select a procurement category for the line, if the line is for a category item.

Product name

Enter a name for the product, if the line is for a category item.

Configuration

The configuration of an item.

Batch number

The item batch number. The batch number is automatically assigned.

Serial number

The item serial number. The number is automatically assigned.

Discount percent

The line discount as a percentage of the net amount.

Net amount

The total line amount, after subtracting any discounts.

Documents

Indicates whether a document file is attached to the RFQ. Click to open the Document handling (form), where you can view and manage the attachment.

Line details

The following tables provide descriptions for the controls in the Line details view. To close the view and return to the RFQ reply, on the Action Pane, click Line details.

Item

Enter the description, unit of measure, and other product information for the selected RFQ line.

General

Enter the external product number and delivery date of a line.

Address

Enter the address for delivery of the product.

Price/discount

Enter the price, discounts, and incidental charges for the line.

Other

Enter the master plan and fixed asset details, if applicable, for the product.

Project

Enter the project information, if applicable, for the line.

Product dimensions

Enter the dimensions for an inventory item line, and the location where the product, if purchased, will be stored.

Financial dimensions

View information about financial dimensions, such as the default dimensions and where the dimensions are used in account structures and advanced rule structures.

Enter the item number assigned by the vendor for the product, if applicable.

Reason

Select a reason code that describes why the RFQ reply line was accepted or rejected. You can also enter a comment about the reason.

Text

Enter the description of the item for the RFQ and the RFQ reply.

Charges on purchases, on the Price/discount FastTab

Enter the charges, such as freight, on the RFQ line.

Multiline discount

Enter a multiline discount. The multiline discount can be granted when one or more lines added together meet a discount requirement set by the vendor.

Multiline discount percentage

Enter the multiline discount percentage, calculated as a percentage per price unit.

Lead time

Enter the number of days in the period from placing a purchase order with the vendor until receiving the products.

Working days

Select this check box to use working days from the company calendar instead of all calendar days when calculating the lead time.

Item sales tax group

Enter the item sales tax group code assigned to the line. For more information, see Item sales tax groups (form).

Number

The identification number of the planned purchase order that generated the RFQ line.

Master plan

The identification number of the master plan that generated the RFQ line.

Fixed asset number

Select the identification number of a fixed asset, if applicable. When you enter a fixed asset number of an existing asset, you create an association between the RFQ line and the fixed asset.

Value model, on the Other FastTab

Select the value model that is related to the fixed asset. For more information about value models, see About derived value models.

Transaction type, on the Other FastTab

Select the type of fixed asset transaction that is created if the RFQ leads to a purchase.

Project ID

Select the identification number of the project that is related to the line.

Activity number

Select the identification number of the project activity that is related to the line.

Project category

Select the project category that the product is attached to.

Line property

Select the project line property for the transaction.

Transaction ID

The project identification number of the transaction. The number is automatically assigned.

Sales currency

Select the currency in which the project is invoiced.

Sales price

Select the sales price per unit, calculated in the sales currency of the project.
