–or–

Click Accounts receivable > Journals > Payments > Payment journal. Click Lines. Select an account and an invoice, and then click Mark invoice lines.

Use this form to mark invoice lines for settlement and modify the amounts to settle for those lines.

This form is available if all of the following circumstances apply:

  • The Mark lines on free text invoices and interest notes check box is selected in the Accounts receivable parameters form.

  • The total amount of the selected customer transactions must be greater than zero; it is not a credit memo or a credit interest note.

  • The selected transaction contains more than one transaction line available to be marked.

The following table provides descriptions for the controls in this form.

Field

Description

Customer

The customer account that is associated with the selected transaction.

The customer name is displayed next to the customer identifier. The legal entity of the customer is displayed in the field to the left of the customer account.

Invoice

The number of the transaction that you selected in the previous form.

Currency

The currency that is used for the selected transaction.

Total amount currency

The unsettled amount for the selected transaction, in the transaction currency.

This is the sum of the Amount in transaction currency field values from all transaction lines in this form. Both marked and unmarked lines are included in this total.

Total amount to settle

The total amount that is specified for settlement from the marked lines in this form.

NoteNote

If you change the amount to settle for a marked transaction line in this form, the value in this field changes to reflect the new total. The new total is displayed in the Amount to settle field for the transaction that you selected in the Settle open transactions form, or the Amount to pay field in the Enter customer payments form.

Mark

Select this check box to mark the transaction line for settlement.

When you mark a line, the Amount to settle value for that line is added to the Total amount to settle value in this form.

By default, all the transaction lines that have an amount to settle are marked when you open this form. Lines that have negative amounts are marked by default, but you cannot modify the amount to settle for lines that have negative amounts.

Description

The description of the selected invoice line.

Line amount

The original amount for the selected invoice line.

Amount in transaction currency

The remaining unsettled amount for the selected invoice line. This amount includes taxes for the selected invoice line.

Discount to take

The cash discount that is offered for the payment.

This amount is subtracted from the Amount in transaction currency value to result in the Amount to settle value for the selected invoice line.

Amount to settle

View or modify the amount to settle for the selected invoice line.

If you change this amount, the Total amount to settle field changes to reflect the sum of the Amount to settle values from all the marked lines.

NoteNote

The default amount for this field is the Amount in transaction currency value minus the Discount to take value for the selected line. You can decrease the default amount, but you cannot increase it. You cannot specify an overpayment for a line. Also, you cannot modify the amount to settle for lines that have negative amounts.
