Billing rules (form)

Click Project management and accounting > Common > Projects > Project contracts. On the Project contracts list page, select a project contract. Depending on the version of Microsoft Dynamics AX that you’re using, do one of the following:

  • In Microsoft Dynamics AX 2012 R3:

    On the Project contracts list page, in the Billing rules preview pane, click a billing rule number.

    –or–

    Open a project contract. In the Project contracts form, on the Billing rules FastTab, click a billing rule number.

  • In Microsoft Dynamics AX 2012 R2:

    On the Action Pane, on the Project contract tab, in the Set up group, click Billing rule.

Use this form to set up billing rules for projects. You can use billing rules to automatically calculate the amount to bill a customer for work that is completed on a project. You can also add details to a billing rule, so that when a project reaches a specified status, a customer invoice is automatically created for project transactions.

Note

If you are using Microsoft Dynamics AX 2012 Feature Pack or Microsoft Dynamics AX 2012, this form is available only if the Project Management and Accounting Add-in is installed.

Select a billing rule type to which the fee billing rule is applied.

This FastTab is displayed only if you select a Fee line type for a billing rule.

Payment retention terms

Enter information about amounts withheld by a customer or other funding source until the project is partially or fully completed.

Financial dimensions

View information about financial dimensions, such as the default dimensions and where the dimensions are used in account structures and advanced rule structures.

Chargeable categories 
(On the Project FastTab)

Open the Billing rules setup for project / category form, where you can assign chargeable categories to a project. When chargeable transactions are posted to a project, the billing rule automatically includes the transactions in customer invoices. You can assign chargeable categories only to billing rules with a Time and material or Progress line type.

Open the On-account form, where you can view and enter on-account transactions for projects.

When you open the On-account form, the information in the form is already filtered to display only transactions for the selected milestone, if any.

Billing rule

The identification number for the billing rule. The number is automatically assigned.

Description

Enter a description of the billing rule.

Line type

Select the type of billing rule from the following options:

  • Milestone – Create an on-account invoice for the sales value of a milestone on a date that you specify. You can set up multiple milestone dates for a project contract.

  • Progress – Create an invoice when a predetermined percentage of work is completed.

  • Time and material – Create an invoice for hours, expenses, and materials that are spent for a project.

  • Fee – Create an invoice for administrative fees based on a percentage of other costs on a project.

    A Fee type billing rule must be associated with another billing rule type. For example, a project contract has a Time and material billing rule. Create a fee billing rule to calculate a fee that is equal to 10 percent of the sales value of actual Time and material transactions that are posted to the project. The total invoice amount is equal to the sales value of the actual costs plus the 10 percent fee.

  • Unit of delivery – Create an invoice when a unit of delivery is completed as specified in the contract.

Unit

Select the appropriate unit of measure for the item. For example, if the project consists of a series of seminars, the unit of measure is a seminar.

This field is enabled only if you select a Unit of delivery line type.

Quantity

Enter the number of units, such as hours, to include in the billing rule.

This field is enabled only if you select a Unit of delivery line type for a billing rule.

Unit sales price

Enter the sales price for each unit of delivery.

This field is available only if you select a Unit of delivery line type for a billing rule.

Contract value

The calculated total amount to include in customer invoices for the billing rule.

This field is available only if you select a Progress or Unit of delivery line type for a billing rule.

Change order number

Enter the change order number, if any, for a modification to the original project contract.

Project 
(In the Posting section of the Billing rule line details FastTab)

Select the project that the billing rule applies to.

This field is available only if you select a Progress or Time and material line type for a billing rule. If you select a Progress billing rule and then select a project, the progress calculation is automatically completed as a percentage of budget consumed as compared to the total budget. This percentage is then applied to the contract value to calculate the amount for invoicing. If you do not select a project, you must manually update the progress.

Category

Select the category to which the fee transactions are posted.

Note

This field is available only if you select a Progress, Fee, or Unit of delivery line type for a billing rule.

Fee percentage 
(In the Other section of the Billing rule line details FastTab)

Enter the percentage of the transaction amount to charge for management fees.

Note

This field is available only if you select a Fee line type for a billing rule.

Include indirect costs

Select this check box to include indirect costs for any transactions that use this billing rule.

Note

This field is available only if you select a Time and material line type for a billing rule.

Sales tax group

Select the sales tax code to use to calculate the taxes for the billing rule.

Note

This field is enabled only if you select a Progress, Fee, or Unit of delivery line type for a billing rule.

Project ID 
(On the Project FastTab)

The identification number of the project that was selected for the billing rule.

Warning

This field is available only if you select a Progress or Time and material line type.

Project stage

Select an option to filter the projects in the list by the project status.

Project date 
(On the Milestone FastTab)

Enter a date for the project milestone as described in the project contract. On the date that you enter, an on-account project invoice is created for the specified sales amount.

Note

This field is enabled only if you select a Milestone line type.

Sales amount

The amount to invoice the customer when this project date is reached.

Billing rule 
(On the Fee calculation rule FastTab)

The identifier of the billing rule to use when fees are calculated for a project invoice.

Funding source 
(On the Payment retention terms FastTab)

The identification number of the customer or other funding source for which a payment amount is retained. The customer payment retention terms are entered in the Customer retention terms form.

Retention percentage

The percentage of the invoice amount to retain before the project is completed.
