Project budget settings for user groups (form) [AX 2012]

Click Project management and accounting > Setup > Project management and accounting parameters. Click Cost control, and then, in the Budget control group, click Settings....

Click Project management and accounting > Common > Projects > All projects. Double-click a project. On the Budget and forecast tab, click Settings.

Use this form to set up user rights for project budgeting for all projects or for selected projects. You can prevent or allow entering transactions that would cause the budget for the project to be exceeded. If you allow such transactions to be entered, you can specify whether to display a warning to the user.

The following table provides descriptions for the controls in this form.

Field

Description

User group

Select the group of users for which you want to provide permissions for project budget options.

This field is empty unless you are a user who has at least View permissions for the Groups table.

Valid for

Select one of the following options:

  • Table – The overrun option applies only to a specific project.

  • Group – The overrun option applies only to a specific project group.

  • All – The overrun option applies to all projects that do not have another option specified.

If a different option is defined for a project and for the group that contains the project, the option for the project is used.

Project/Project group

Select the project or project group that this overrun option applies to. If the overrun option applies to All, this field is empty and you cannot select a project or project group.

Overrun option

Select the overrun option for the members of the selected user group.

  • Disallow overruns – Users cannot enter a transaction when the remaining budget balance is insufficient to cover the transaction.

  • Warn of overruns – Users can enter a transaction when the remaining budget balance is insufficient to cover the transaction. These users receive a warning about the overrun, and the transaction is processed normally.

  • Allow overruns – Users can enter transactions when the remaining budget balance is insufficient to cover the transaction. The transactions are processed normally, and the user does not receive a warning.

ImportantImportant

If a user is a member of two groups that have different options for the same project or project group, the user is granted the more permissive option.

NoteNote

If an administrator deletes a user group, that user group is automatically deleted from this form.
