Create budget transfer (form)

Click Budgeting > Common > Budget register entries > All budget register entries. Double-click a budget register entry or click Budget register entry on the Action Pane to create a budget register entry. In the Budget account entries grid, click Create transfer.

Use this form to transfer budget amounts from one financial dimension value to another. For example, if the budget is low for the travel expense account, you can transfer budget funds from other financial dimension values.

This form can also be opened from purchase requisitions, purchase orders, vendor invoices, and the journals that can be enabled for budget control.

Prerequisites

When you open this form from the Budget register entry form, the fields in this form use the information from the budget register entry. When you open this form from a source document or journal, you will have to enter information for some of the fields.

You can transfer budget funds only for financial dimensions that are set up to allow transfers. You must be a member of a user group that has permission to make budget transfers for at least one of the accounts in the transfer.

Update budget balances

Update the budget balances for the specified amount.

Note

If workflow is activated for the selected budget code, the budget transfer will be submitted to workflow. You can view the transfer budget register entry on the Budget register entries list page.

Save without update

Save the transfer without updating the budget balances. The budget register entry is saved as a draft. You can later open it from the Budget register entries list page and then click Update budget balances on the Action Pane to update the budget balances.

Fields

Field

Description

Entry number

The document number for the transfer. The number is generated from the number sequence for budget register entries, which are set up in the Number sequences area of the Budget parameters form.

Transaction date

The date from the budget register entry, source document, or journal. You can enter a different date to use as the default date for the budget register entry lines.

Account structure

The account structure from the budget register entry. If you are creating a transfer from a source document or journal, select the account structure.

To dimension values

The financial dimension values from the budget register entry. If you are creating a transfer from a source document or journal, select the financial dimension values that the budget amount will be transferred to.

Amount

Enter the amount that will be transferred.

Budget model

The budget model from the budget register entry. If you are creating a transfer from a source document or journal, select the budget model.

Budget code

The default budget code for the Transfer budget type. You can select a different code. Only codes that have a budget type of Transfer are available.

Note

If workflow is activated for the selected budget code, the budget transfer will be submitted to workflow when you click Update budget balances.

Posting definition

The posting definition that was selected for the Transfer budget type, if posting definitions are being used.

Note

This field is displayed only if the Use posting definitions and Enable budget appropriation check boxes are selected in the General ledger parameters form.

Currency

The currency from the budget register entry, source document, or journal. You can select a different currency.

Amount type

Select either the Expense or Revenue amount type.

From date

Enter the date when the transfer amount will be moved from the budget of the accounts in the From dimension values field.

Account structure (grid)

Select the account structure that the amount will be transferred from.

From dimension values

Enter the financial dimension values that the amount will be transferred from.

Amount (grid)

The amount that will be transferred from the financial dimension values. You must enter a negative amount to decrease the budget for the financial dimension values in the From dimension values field group.

Important

The amount that is being transferred from one or more financial dimension values must equal the amount that is being transferred to the selected financial dimension value. The overall transaction total at the bottom of the form must be 0 (zero).

Currency (grid)

The currency from the budget register entry, source document, or journal. You can select a different currency.

Transaction total

The overall total for the transaction, which must be 0 (zero). The negative amounts for the values in the From dimension values field must equal the positive amount for the values in the To dimension values field.
