Customer aging snapshot (form)

Click Accounts receivable > Periodic > Collections > Customer aging snapshot.

Use this form to create aging snapshots for customers. An aging snapshot contains the calculated aged balances for a group of customers at one point in time. Aging snapshots provide quick access to aging information for collections agents using the Collections form and related list pages.

For each customer, an aging snapshot contains the following elements:

  • Aging snapshot header

  • One or more legal entity aging snapshot headers

  • Detail records for each aging period in the aging period definition

The calculations for the legal entity aging snapshot headers include all customer transactions for that legal entity. The calculation for the aging snapshot detail records contains only transactions with dates that are in the aging period.

The aging snapshot header record contains the following information:

  • Customer ID

  • Aging period definition ID

  • Aging date from the Aging as of field

  • Type of date from the Criteria field

  • Date and time when the aging snapshot was processed, based on the system date and time of the user who performed the task

  • Legal entities that are included in the aging snapshot

Each legal entity aging snapshot header record contains the following information:

  • Total amount due, in the accounting currency of the legal entity you are logged on to when the snapshot is created

  • Credit limit, in the accounting currency of the legal entity you are logged on to when the snapshot is created

  • Credit limit remaining, in the accounting currency of the legal entity you are logged on to when the snapshot is created

  • Packing slip amount, in the accounting currency of the legal entity you are logged on to when the snapshot is created

  • Sales order amount, in the accounting currency of the legal entity you are logged on to when the snapshot is created

  • Total number of disputed transactions

  • Total amount of disputed transactions, in the accounting currency of the legal entity you are logged on to when the snapshot is created

For each customer and legal entity combination, the detail records contain the following information:

  • Aging period ID

  • Total amount of the transactions with dates that are in the aging period

If transactions exist for customer accounts in the set of companies that are set up to use centralized payments, those transactions can be included in the aging snapshot. Currency amounts are converted to the currency of the legal entity that you are logged on to when you create the aging snapshot.

Note

The total amount due (balance), packing slip amount, and sales order amount are calculated for all dates. The amounts for each aging period are calculated by using the starting and ending dates, based on the aging period definition that is selected. Therefore, the total amount due for the customer might not equal the total of the aging period amounts. For example, if the aging period definition contains only past periods, transactions with future dates are not included in the aged amounts.

Select the companies to include in the aging snapshot. The customer ID, credit limit, and other account information is taken from the legal entity that you are logged on to.

Only the companies that are set up for centralized payments are available on this tab.

Aging period definition

Select an aging period definition. The aging snapshot process ages transactions according to the aging periods that are defined in the selected aging period definition.

Note

Aging period definitions that contain more than six periods do not appear in the list.

Pool ID

Select a customer pool or leave this field blank to create an aging snapshot for all customers. If a customer pool is selected, the aging snapshot process is applied only to the customer accounts that are part of the customer pool. The selected customer pool must be of the Aging snapshot type.

Criteria

Select the type of date to base the aging snapshot on.

  • Transaction date – Age each transaction based on its transaction date.

  • Due date – Age each transaction based on its due date.

  • Document date – Age each transaction based on its document date.

Aging as of

Select the date to use as the current date for the aging snapshot. Aging periods are calculated based on this date.

  • Today's date – Use the system date. Use this option if processing is set up to occur in a recurring batch. If you use this date, the recurring batch can be run periodically and the system date at that time is used.

  • Selected date – Use a date that you specify. If you select this option, enter an aging date.
