Benefits (list page)

Click Human resources > Common > Benefits > Benefits.

View a list of benefits and the workers who are enrolled in a specific benefit. You can also filter the list and export it to Microsoft Excel for additional analysis.

Current records

Click the arrow button to display the following options if you are currently viewing active benefits:

  • Display the records as of – Enter a date and then click Apply to view all the benefits that were or will be active on the date that you entered.

  • Display all records – Select this check box and then click Apply to view all expired, current, and future benefits.

Note

This control is not available if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

Benefit

Create a new benefit:

  • Plan – Select the name of the benefit.

  • Option – Select an option to add to the benefit.

  • Effective – Enter the first date when the option is available to the worker.

  • Expiration – Enter the last date when the option is available to the worker.

If you are using a version of Microsoft Dynamics AX earlier than Microsoft Dynamics AX 2012 R2, this button opens the Benefit elements form, which was previously called the Benefits form.

Edit

Modify the selected benefit.

Note

This control is available only if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

Delete

Delete the selected benefit.

This control is available only if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

Note

You can delete only benefits that do not have any workers enrolled in them.

Benefit elements

Open the Benefit elements form, where you can view and define benefit types, plans, and options.

This control is available only if Microsoft Dynamics AX 2012 R2 or AX 2012 R3 is installed.

Maintain versions

Open the Maintain benefit versions form, where you can define the dates when the benefit is available and assign eligibility rules to the benefit.

Enrolled workers

View all the enrolled workers who are assigned to the selected benefit.

Tip

The first 10 enrolled workers are also displayed in the Enrolled workers area of the list page. To view all the enrolled workers, click &More... You can also highlight a worker name in this list to view details about the worker, or click the worker name to open the Worker form.

Mass benefit enrollment

Open the Mass benefit enrollment form, where you can enroll multiple workers in the selected benefit or modify the benefit.

Mass benefit expiration

Open the Mass benefit expiration form, where you can take the following actions:

  • Expire a benefit and the enrollments for all affected workers.

  • Extend the expiration date of a benefit and the enrollments for selected workers.

  • Expire benefit enrollments for selected workers.

  • Extend benefit enrollments for selected workers.

This control is not available in versions of Microsoft Dynamics AX 2012 prior to cumulative update 6 for AX 2012 R2.

Update benefit rates

Update the benefit rates for the workers who are enrolled in the selected benefit. The current rate is visible in the preview pane at the bottom of the list page.

If the Rate source field in the Maintain benefits form for a worker is set to Custom, the deduction or contribution and the related basis for the benefit are not updated.

Tip

The first 10 enrolled workers who have custom rates are displayed in the Payroll details custom rates area of the list page. To view all the enrolled workers who have custom rates, click &More.... You can also highlight a worker name in this list to view details about the worker, or click the worker name to open the Worker form.

This control is available only if the Payroll - USA configuration key is selected and Microsoft Dynamics AX 2012 R3 or cumulative update 7 or later for AX 2012 R2 is installed. It is not available for garnishments or tax levies.

Create eligibility event

Create an event that lets you determine which workers are eligible for the selected benefits:

  • Event – Enter a name for the event.

    It is helpful to use a naming scheme that causes similar events to be sorted together on the Eligibility events list page. For example, the open enrollment events might be OE plus the year, such as OE2013, OE2014, and OE2015.

  • Description – Enter a brief description of the event.

  • Event type – Select the type of event to create.

  • Coverage start date – Enter the date that eligibility for the event is based on.

  • Enrollment period start date – Enter the first day of the period when a worker can sign up for benefits.

  • Days to enroll – Enter the number of calendar days in the enrollment period.

Export to Microsoft Excel

Export all the records to a new worksheet in Excel.

  • From the Enrolled workers area, open a form where you can export a list of workers who are enrolled in the selected benefit.

  • From the Payroll details custom rates area, open a form where you can see the records for custom rates that are currently active or that are scheduled to become active.

    The Payroll details custom rates area is available only if the Payroll - USA configuration key is selected and Microsoft Dynamics AX 2012 R3 or cumulative update 7 or later for AX 2012 R2 is installed.

The type of benefit, such as life insurance or a parking benefit.

Plan

The name of a benefit plan, such as Humongous Insurance.

Plan description

The description of the benefit plan.

Option

The benefit option that is assigned to the plan, such as three times an employee’s salary or a one-month parking pass.

Option description

The description of the benefit option.

Effective

The first date when a benefit is available to a worker.

Expiration

The last date when a benefit is available to a worker.
