Delegate work items (Enterprise Portal)

If you will be out of the office for a period of time or will be unavailable to act on work items, you can delegate, or reassign, your work items to another user.

You can configure the system to delegate your work items, or you can manually delegate a specific work item to another user.

Set up automatic delegation

Use the following steps to configure the system to delegate your work items to another user. You can specify which types of items to delegate and select the time frame when work items will be delegated.

  1. Click Home on the top link bar, and then click Workflow delegates on the Quick Launch.

  2. On the Action pane, click Delegation. The New delegation form is displayed.

  3. From the Scope list, select one of the following options:

    • All – Delegate all work items that are assigned to you.

    • Module – Delegate only the work items related to a specific type of workflow. In the Name field, select the specific type of workflow.

    • Workflow – Delegate only the work items related to a specific workflow. In the Name field, select the specific workflow.

  4. From the Delegate list, select the user who you are delegating your work items to.

  5. Use the Start date/time and End date/time fields to specify when the work items should be delegated.

  6. To activate these delegation settings, select Yes in the Enabled field.

  7. Enter a comment that explains your reason for delegating the work items.

  8. Click Save and close.

Manually delegate a work item from a document

Use the following steps to manually delegate a work item when you are viewing a document.

  1. View the document for which you are assigned a work item.

  2. On the workflow message bar, click Actions > Delegate. A dialog box appears.

  3. Select the user to delegate the work item to.

  4. Enter a comment that explains your reason for delegating the work item.

  5. Click Delegate.

Manually delegate a work item from a work list

If your organization uses Role Centers, you can use the Work list Web part to view the work items assigned to you. Use the following steps to manually delegate a work item from the Work list Web part.

  1. Click Home on the top link bar. Your Role Center is displayed.

  2. In the Work list Web part, select the work item to delegate.

  3. On the workflow message bar, click Actions > Delegate. A dialog box appears.

  4. Select the user to delegate the work item to.

  5. Enter a comment that explains your reason for delegating the work item.

  6. Click Delegate.
