(RUS) Officials (modified form) [AX 2012]

This topic applies to features in the Inventory management module. It does not apply to features in the Warehouse management module.

Click Organization administration > Setup > Contacts > Officials.

Use this form to set up the names of company officials for various transactions.

The following table provides descriptions for the controls in this form.

Tab

Description

General

Add the position and related information for the officials who can sign all kinds of primary document. The Chief accountant and Director options in the Position field work across all modules.

Ledger

Add the position and related information for the officials who can sign outgoing primary documents that are related to customers. Positions can be added for the following documents:

  • Cash slips

  • Advance report

  • Page of cash book

  • Count statement

  • Deferrals

Sales orders

Add the account code and related information for the officials who can sign sales orders that are related to customers. Positions can be added for the following documents:

  • Invoice for payment

  • Invoice

  • Facture

  • Invoice - credit-note

  • Facture - credit-note

  • Tax transaction facture (client)

Inventory

Add the position and related information for the officials who can sign inventory statements orders that are related to items. Positions can be added for the following documents:

  • Issue statement

  • Transfer slip

  • Requirement slip

  • Collation statement

  • Counting list (INV-3)

  • Counting act (INV-6)

  • Counting list (INV-5)

Purchase orders

Add the account code and related information for the officials who can sign purchase orders that are related to vendors. Positions can be added for the following documents:

  • Invoice

  • Facture

  • Invoice - credit-note

  • Facture - credit-note

  • Invoice for payment

  • Invoice for payment

  • Tax transaction facture (vendor)

Inventory item management

Add the position and related information for the officials who can sign warehouse documents for tangible assets that are issued to a customer or received from a vendor. Positions can be added for the following documents:

  • Issue slip for sales order (M-15)

  • Rmb. slip/Receipt order

  • Issue slip for transfer order (M-15)

Fixed assets

Add the position and related information for the officials who can sign fixed assets documents that are issued to a customer or received from a vendor. Positions can be added for the following documents:

  • Inventory act INV-1

  • Inventory act INV-1a

  • NVFA Statement of writing-off (No. MB-8)

Field

Description

Position

Select the position title of the official.

Name

Select the name of an official in the list of organization employees.

NoteNote

Enter the full name of the official if the official is not registered in the employee directory.

Job title

Select the job title of the employee.

Account code

Select the relation type with the counteragent, from the following options:

  • Record − Setup is done for a specific counteragent.

  • All − The account is for all counteragents.

Account relation

Select the customer or vendor account that is related to the selected account code.

NoteNote

This field is available only if you selected Record in the Account code field.

Our

A selected check box indicates that the enabled, depending on the employee who is selected as the official signing the document.

Association with warehouse

Select the relationship type with the warehouse, from the following options:

  • All − Setup is done for all warehouses.

  • Record − Setup is done for a specific warehouse.

Warehouse

Select the code of the warehouse for which the officials are set up. Warehouse codes are specified in the Warehouses form.

This field is available only if you selected Record in the Association with warehouse field.
