Create invoice proposals for projects that have billing rules (form)

Applies To: Microsoft Dynamics AX 2012 R3, Microsoft Dynamics AX 2012 R2

Click Project management and accounting > Common > Project invoices > Project invoice proposals. On the Action Pane, in the New group, click Invoice proposal from billing rule.

Use this form to search for transactions that were posted to a project that has billing rules. Select project transactions from the search results, and then create an invoice proposal, or preliminary invoice, for the project. An invoice proposal can also include credit notes and customer advances as reductions.

After you review and post an invoice proposal, a customer invoice is automatically created for the project transactions in the invoice proposal. If the project has multiple funding sources, an invoice is automatically created for each funding source in the proportional amount that is specified in the project contract.

In Microsoft Dynamics AX 2012 R3

In AX 2012 R3, you can also use this form to do the following in an unposted invoice proposal:

  • Modify the sales price in the lines.

  • Create a fee transaction.

When you post the invoice proposal, the modified sales price and fee amount are added to project transactions. For more information about how to modify an unposted invoice proposal, see Create and post invoice proposals.

Search

Search for project transactions based on a specific date range and other criteria that you specify. When you click this button, the project transactions that meet your search criteria are displayed in the Details section.

Indirect components

Open the Indirect component transaction form, where you can review indirect costs that are allocated to the selected transaction based on the number of worker hours that were added to the project.

Split advance amount

Open the Split customer advance transaction form, where you can select a part of a customer advance to include in the invoice proposal. The amount that you select is a reduction of the invoice proposal amount.

Project contract

Select the project contract that you want to create an invoice proposal for.

Invoice date

Select the date on which to post the invoice proposal. By default, the current date is displayed.

Start date

Select the earliest transaction date to include in the search.

End date

Select the most recent transaction date to include in the search.

Sales order line

Select this check box to include sales order lines in the search criteria.

Update item quantity

Select the status of the sales order lines that you want to include in the invoice proposal.

Note

This field is available only if you select the Sales order line check box.

Billing rule line

The identification number of the billing rule.

Billing rule type

The billing rule type that is assigned to a project, depending on the project type. For example, a Milestone type of billing rule specifies that you create an invoice for a project that has milestones when a milestone is reached.

Change order description

The change order identification number for a project, if any.

Billing rule value

The contract value that is specified in the billing rule.

Invoice amount

The amount to invoice to the customer, based on the billing rule.

Amount available to invoice

The invoice amount, after deducting any amounts that were already invoiced to the customer.

Invoiced

The total amount that was included in prior invoices to the customer.

Transaction date

The date when the transaction was posted to the project.

Transaction type

The transaction is for hours, items, fees, or other type of project activity.

Currency

The currency that is used in the posted transaction journal.

Project category

The project category that is assigned to the transaction.

Quantity

The number of hours, items, or other unit of measure in the transaction.

Unit price

The cost per hour, item, or other unit of measure for the transaction.

Line amount

The total sales value of the transaction, calculated as Quantity * Unit price.

Indirect costs

The sales value of indirect costs, if any, that are included in the transaction.

Project date

In the Reconciliation with customer advances section, the project date is the date when a customer advance was posted to the project.

Activity

The name of the project activity, if any, for the transaction. An activity is a task that is assigned to a project or subproject.

Transaction origin

The type of journal or other source document that the transaction was posted from.

Line amount

The amount of the customer advance, expressed as a negative number. A customer advance that is included in an invoice proposal is deducted from the project transaction amounts.

Amount

The total amount of the selected project transactions before deducting customer advance amounts, if any.

Total deductions

The total amount of the selected customer advances.

Net invoice amount

The total amount of the selected project transactions after deducting customer advance amounts, if any.
