Closed vendor transaction editing in several currencies (form)

Click Accounts payable > Common > Vendors > All vendors. On the Action Pane, on the Invoice tab, click Closed transaction editing.

Click Procurement and sourcing > Common > Vendors > All vendors. On the Action Pane, on the Invoice tab, click Closed transaction editing.

Use this form to view closed, also called settled, transactions for the vendor account that is selected on the All vendors list page. You can also reverse a settlement.

When you reverse a closed transaction, the following processes occur:

  • Foreign currency revaluations, penny differences, and cash discounts that are related to the transaction are reversed.

  • Due-to and due-from amounts are reversed, if the settlement includes one or more payments in one legal entity and one or more invoices in another legal entity.

  • A new voucher number is assigned to the transaction.

You can view the result of the transaction reversal in the Settle open transactions form. (Click Accounts payable > Common > Vendors > All vendors. On the Action Pane, on the Invoice tab, click Settle open transactions.)

Note

If an icon is displayed in the Is marked field, the transaction is already marked for reversal, and it will be reversed when you click Reverse.

View the name that was specified for the location where payments are sent and the mailing address of that location. This is the mailing address that is printed on remittances and checks.

View information about financial dimensions, such as the default dimensions and where the dimensions are used in account structures and advanced rule structures.

Reverse

Reverse the settlement of the transaction that is selected on the Overview tab.

Inquiry

Open a menu that contains the following items:

  • Voucher – Open the Voucher transactions form, where you can view ledger transactions for the selected transaction.

  • History – Open the Vendor settlement form, where you can view settlement history for the selected transaction.

Settlement reversal posting date

Select how to determine the posting date if the settlement reversal creates an exchange difference:

  • Latest date – Use the original settlement date of the most recent transaction that was involved in the settlement.

  • Today's date – Use today's date.

  • Selected date – Use the date that you specify. The date must be the same as, or later than, the date of the most recent transaction that was involved in the settlement.

Date

Specify the posting date for the selected transactions. This field is available only if you selected Selected date in the Settlement reversal posting date field.

Show

Select one of the following filter settings:

  • All – Display all transactions.

  • Letter of credit – Display only letter of credit transactions.

  • Import collection – Display only import collection transactions.

The default selection is All.

Is marked

If an icon is displayed, the transaction is marked for reversal.

Mark

If this check box is selected, the closed transaction will be reversed when you click Reverse. For more information, see Reverse settlements.

Voucher

The voucher number for the ledger transaction.

Account

The vendor account that is associated with the transaction.

Company accounts

The legal entity that is associated with the vendor account for the transaction.

Date

The posting date of the transaction. This date is often the invoice date from the vendor.

Due date

The due date of the transaction.

Invoice

The invoice number that the transaction is attached to.

Amount

The amount settled in the transaction currency.

Note

If the transaction is reversed, this is the amount being reopened.

Bank document number

The bank document number for the letter of credit.

Shipment number

The shipment number for the letter of credit.

Currency

The currency code for the transaction.

Cash discount date

The cash discount date for the vendor transaction.

Discount used

The cash discount that was received from the vendor.

Description

The description for the current transaction. The description can be inserted automatically when invoices are posted, or you can enter it manually before updating.

Transaction type

The transaction type, such as a payment, invoice, or interest note, that is attached to the transaction when it is posted. The type is determined by the function that originated the transaction.

Correction

If this check box is selected, the current transaction is a correction of another transaction. Debit amounts are reversed using negative debit amounts and credit amounts are reversed using negative credit amounts. This method of transaction reversal is known as Storno. When credit notes are updated, ledger transactions are debited or credited as reverse entries.

Posting profile

The posting profile that was used for this transaction.

A posting profile can be attached to selected vendors, groups of vendors, or all vendors.

Unrealized exchange rate adjustment

The unrealized foreign exchange revaluation amount of the transaction.

Realized exchange rate adjustment

The realized foreign exchange revaluation amount of the transaction.

Exchange rate adjustment amount

The amount of the transaction's foreign exchange revaluation.

Approved by

The user who approved the transaction.

Approved

If this check box is selected, the transaction has been approved. The default value for payments is from the payment journal.

Document

The number of the document that the transaction is based on, such as a check or promissory note.

Document date

The document date for the transaction.

Approved date

The date that the transaction was approved.

Tax invoice ID - purchase

The identifier for the tax invoice that is generated when value added tax (VAT) is realized. This ID is automatically assigned when the invoice is posted. The ID uses the number sequence that is specified in the General ledger parameters form.

Note

(THA) This control is available only to legal entities whose primary address is in Thailand.

Invoice payment release date

Enter a release date to put the invoice payment on hold. If you enter a date, the payment will not be generated until that date. This field is available only if the invoice is approved.

To remove a payment hold, clear the entry in this field. Any user can clear the release date, regardless of which user entered it.

Release date comment

Enter a comment for the Invoice payment release date field.

Payment group code

The payment group that this invoice belongs to.

Note

This field is available only if the Activate invoice payment groups check box is selected in the Accounts payable parameters form.

Note ID

A unique identifier for promissory notes that is used when promissory notes are created.

Note

This field is available only if the Promissory note configuration key is selected.

Sequence number

Displays 1 for the first cycle and 2 for the first redraw action.

Note

This field is available only if the Promissory note configuration key is selected.

Status

The status of the promissory note:

  • None

  • Drawn

  • Remitted

  • Redrawn

  • Honored

  • Invoiced

  • Invoice remitted

Note

This field is available only if the Promissory note configuration key is selected.

Remittance number

The unique identifier of the remittance file.

Note

This field is available only if the Promissory note configuration key is selected.

Settled currency

The settled part of the amount in the transaction currency.

Amount settled

The amount that is being settled in the accounting currency.

Settled amount in standard currency

The settled part of the amount in the accounting currency.

Last settlement voucher

The most recent settlement voucher.

Last settlement voucher account number

The vendor account for the most recent settlement voucher.

Last settlement voucher company account

The legal entity that is associated with the most recent settlement voucher.

Last settlement

The most recent settlement date.

Settlement

If this check box is selected, the transaction has been settled automatically.

Settled federal 1099

The amount that has been paid for federal 1099 purposes.

Note

(USA) This control is available only to legal entities whose primary address is in the United States.

Settled state 1099

The amount that has been paid for state 1099 purposes.

Note

(USA) This control is available only to legal entities whose primary address is in the United States.

Closed date

If the transaction has been settled, the date for the full settlement is displayed. This date corresponds to the transaction date of the final settlement. If the field is empty, the transaction has not yet been fully settled.

Note

For example, if a prepayment posted on January 1 is settled against an invoice that is posted on February 1, the invoice date is displayed.

Close

The posting profile that is used when settling the transaction.

Remittance location

The name that was specified for the location where remittances are sent.

Address

The mailing address that is printed on remittances and checks.

Financial dimensions

The financial dimensions that were set up in the Financial dimensions form.

Where the %1 dimension is used

The account structures and advanced rule structures that use the financial dimensions that you selected in the Financial dimensions or Default financial dimensions field group.

Note

The name of the field depends on the selection in the Financial dimensions or Default financial dimensions field group.
